Reports for Hotel Owners and Managers
These reports are drawn from the bookings, folios, room status and counter bills already entered. Owners and managers read them without joining registers by hand.
The reports
Every line below names the records behind it. Nothing is keyed in twice.
Who acts on them
The owner reads occupancy, amount realised and outstanding, then decides whether a weekend amount should move. The counter works from arrivals, departures and the folio balance list, and a clerk coming on duty can see within a minute what the previous shift left unfinished. Housekeeping reads its own status report. The accounts desk reads collection and account outstanding before statements go out to agencies.
What the figures reflect
Figures follow what was recorded. A room marked ready but never actually cleaned still reads as ready. A counter charge taken in cash and left unentered leaves the day’s sales short. A report that looks wrong usually traces back to an entry nobody made at a counter.
What the hotel decides
A further report can come out of what the system already holds. Ask for one. Which properties a manager may read, and whether the accounts desk sees agent contract amounts, are settled with the owner.
Frequently asked questions
Are the figures live?
Yes. They move as the counter and the floor make entries, so collection at closing matches the receipts in the drawer.
Can a report go into a sheet?
Yes. Reports download for the accountant or for the owner’s own working.
Does a manager see only one property?
Yes, where you set it that way. An owner reads every property together.
Can new reports be added later?
Yes, for anything already recorded. A new report is sized during implementation or afterwards on request.
