Reservation Chart for Hotel Room Bookings
One chart shows every room against every date, so an availability question is answered while the caller waits. Bookings, holds and blocked rooms all appear on it.
Reading the chart
This is the screen the counter keeps open all day. Little else is needed to answer a caller asking about next Saturday.
What a reservation record holds
Changes before arrival
Dates are stretched or pulled back, a guest moves from a deluxe room to a suite, and a group drops two rooms out of a block. Each change is made on the same booking and the chart redraws. A cancellation carries a reason. A no show is marked, so that night is not reported as sold. Whether an advance is refunded, held or forfeited follows your own cancellation terms.
What the hotel decides
- How long a tentative booking is held before it drops
- Who may confirm, shift, cancel or mark a no show
- Whether a room number is allotted at booking or at arrival
- Your cancellation and refund terms for advances
- What happens when a group releases rooms late
Frequently asked questions
Can one room be booked twice for the same night?
No. The chart holds that room for the nights confirmed, and a second booking on them is refused until the first is released.
Is a group block kept as a single booking?
Yes. A block sits under one booking. Rooms inside it can be confirmed or released in part, which is what a tour operator usually asks for.
What happens when a guest extends a stay?
Nights are added to the same booking if the room is free. If it is not, the guest shifts and the folio follows.
Are cancelled bookings kept on record?
Yes. A cancellation stays with its reason, and no show nights are reported apart from rooms that nobody asked for.
