Room Types and Room Inventory for Hotels

The room list is the base every booking sits on. Floors, numbers, categories and bed configuration are entered once, and the chart and the rate plans read from them.

How the property is described

Rooms are described the way the staff already describe them at handover.

Floors and blocks

Wings, blocks, cottages or floors are named as the staff name them, so a row on the chart matches the key hanging at the counter.

Room numbers

Each sellable room carries its own number or name. A heritage property can use names instead of numbers.

Categories

Standard, deluxe, suite, cottage or villa. Every category holds its own occupancy, bed layout and base rate.

Bed configuration

Single, double, twin or triple, with the maximum adults and children the room takes and the extra bed it allows.

Amenities by category

Air conditioning, geyser, balcony, sea view or kitchenette. Counter staff can then promise only what the category actually carries.

Rooms that cannot be sold tonight

A room leaves sale when it is under repair, being painted or kept for staff. It is blocked with a reason and a return date, so the chart stops offering it and occupancy counts it apart from a room nobody wanted. Housekeeping and maintenance both read the same block.

Every room becomes a row against the dates, and availability by category is counted from this list rather than typed in.

Rate plans

A rate attaches to a category, not to one room, so a change in the season amount reaches every room inside it.

Housekeeping rounds

Cleaning lists group by floor and block, and linen quantities follow the bed configuration.

Folios and key cards

The number printed on the folio is the number used on the chart and on the key card.

Yes. Numbering, names and categories are changed on request, and bookings travel with the room they point to.

Does a new category need its own rates?

Usually. A category holds its own base amount, so the plans that apply to it are entered when it is created.

Is a whole cottage block sold as one unit?

Yes, where the property sells it that way. The block is set up as its own category with its own occupancy.

How are rooms under repair treated?

They sit blocked with a reason and a return date. Occupancy keeps them apart from rooms that were simply unsold.
