Guest Folio and Billing for Hotels
Everything a guest owes gathers on one folio from the night of arrival. Room charges, counter postings, advances and settlements all read from the same page.
What lands on a folio
Lines arrive from the booking and from the counters, not from a clerk copying chits.
Splitting a bill
A company often pays the room and the plan while the guest pays what was drunk at the bar. The folio splits into two parts, one billed to the account and one to the guest, and each prints on its own. Where a group travels under a single booking, rooms can roll into a master folio with every room still readable separately.
Settlement and what follows
At departure the folio is totalled and the advance is set off. The balance is taken by cash, card or UPI. A folio billed to an agent or a company moves to that account instead of closing, where it waits for the monthly statement the agency asks for. A part settlement leaves the rest outstanding, which the owner reads on the folio balance list. How tax appears on the printed bill is set up with you and your accountant.
What this module does not do
- Decide your tax treatment, which your accountant settles
- Post a charge nobody entered at a counter
- Reopen a settled folio without an approved correction
- Write into Tally directly, which is quoted on its own
- Chase an agent balance by itself
Frequently asked questions
Can one bill be split between a guest and a company?
Yes. The folio divides into parts, and each part prints as its own bill. The split is set during the stay.
Do restaurant charges appear without a chit?
Yes. A counter posts against the room number, and the amount shows on the folio straight away.
What happens when a guest pays only part?
The rest stays outstanding on the folio or on the account, and it appears on the owner’s balance list.
Can a wrong posting be corrected?
Yes, through a correction entry carrying a reason. The original line is not quietly removed.
Is a group billed as one folio?
Yes. Rooms roll into a master folio, and each room can still be read on its own.
