Rate Plans and Season Rates for Hotels

Rates are held as plans with date ranges rather than one printed tariff. Season, weekend, agent and corporate amounts can all apply to the same room category.

What a rate plan carries

One plan answers four questions at once: what is included, for which nights, for which category and at what occupancy. Nothing is typed afresh per booking.

Meal plan

Room only, with breakfast, half board or full board. The plan settles what the amount includes before any counter charge is posted. Kitchen counts read from it.

Date range

A plan runs between two dates. Peak season, off season, a long weekend and a festival week each take their own range.

Category

Amounts are set per category, so a deluxe room and a suite differ under the same plan.

Occupancy slabs

Single, double and triple occupancy, with the extra bed and child rate the property charges. Children follow their own slab.

Account rate

A travel agent or company contract rate sits beside the counter tariff and applies only to bookings marked to that account.

How a rate is picked for a booking

Enter the dates and the category, and the plans valid for those nights are listed with their amounts. A stay that crosses a season change takes each night at the rate for that night. Where a booking belongs to an agent, the contract amount is offered first. Counter staff may still override, and the override stays on the booking with its reason.

Discounts and what the bill shows

A discount is entered as a separate line with a reason rather than typed over the rate. The owner can then read what was given away and by whom. How tax appears on a folio is set up with you, and your accountant decides whether the displayed amount includes it.

Frequently asked questions

Can the rate change in the middle of a stay?

Yes. Each night takes the amount for its own date, so a stay crossing a season boundary bills night by night.

Do travel agents see the counter tariff?

No. Agent bookings use that account’s contract rate, and the counter tariff can be kept out of their view. Who reads which plan is settled with the owner.

Is a festival or long weekend rate possible?

Yes. A short range covers those nights. It takes precedence over the ordinary season plan whenever the two overlap on the calendar.

Who updates the amounts next season?

GullySystem staff make the change on request. New ranges and amounts go in before the season opens.
