One stay, five roles

The same booking looks different depending on who opens it.

Owners

Rooms occupied tonight, arrivals, the amount realised by booking source, the day’s collection and what agents still owe. This is the view behind a decision to move the weekend rate.

Front desk

The room chart, check-in and check-out, room shifts, folio postings and settlement. Built for use with a queue at the counter. A shift change hands over the same screens, so the night clerk never has to ask what the afternoon did.

Housekeeping

The cleaning list by floor, room status, linen and amenity issues, and the blocked rooms waiting on maintenance. Floors are read one at a time.

Restaurant and banquet staff

Counter billing, postings to a room number, and the day’s function sheets with pax and menu. Nothing about room rates.

Accounts desk

Collection by mode, folio balances, agent and corporate outstanding, and the figures the accountant asks for each month. Statements go out from here.

Through a day

A caller asks about two rooms next Friday, and the counter quotes straight off the chart. By noon the arrivals hold keys and their ID scans are attached. An attendant marks 204 ready from the floor. The bar posts a round to 311 in the evening. At closing a manager reads collection by mode and the rooms still showing dirty.

At month end

Nights sold by category, the amount realised by source, agent outstanding and banquet bookings come together for the owner. The accountant receives folio and collection reports from the same entries, which keeps the monthly discussion about figures that both sides can already see. A manager of one property reads that property alone, while an owner reads every property together and can set them side by side.

Frequently asked questions

Can housekeeping see guest names?

That is settled with the owner. Many properties show the floor only a room number and the status it needs.

Do waiters need to see the room rate?

No. A counter sees the room number and the in-house guest, and nothing about what the room was sold for.

Can an owner read every property at once?

Yes. The guest list is shared, so occupancy, collection and outstanding can be read across all of them. Properties also compare.

Who changes a role later on?

GullySystem staff make the change on request. Roles are settled during implementation and revised afterwards.
