Guest Records and ID Proof for Hotels

A guest record outlives a single stay, so a second visit begins with what the property already knows. Contact details, ID papers, preferences and past stays sit together.

What the record holds

One page per guest, built up stay by stay.

Name and address

Full name, address, city and country, with the number and email the property reaches the guest on. Nothing is retyped at the next arrival.

ID papers

The ID type, its number and a scan or photograph taken at the counter. What your property collects is decided with you.

Company or agent

Where a company or a travel agent sends the guest, that account is linked, which then settles who pays the room.

Preferences and notes

Meal preference, a quiet floor, a cot for a child, an allergy the kitchen should know about. Short notes, kept plainly.

Stay history

Every past stay with its dates, room, rate plan and what was spent at the counters. Repeat guests become visible.

Why the history matters at the counter

When a familiar name rings, staff can see how many nights the guest took last time, which category suited them and whether anything went wrong. That makes a quoted amount and a room choice defensible rather than guessed. A guest who left a folio balance behind also surfaces before a key is handed over.

Who may open a guest record

Counter staff

Create and update a record during a stay. What may be edited after check-out is set by the owner.

Owners and managers

Read the whole history, including spend at the restaurant and bar and the accounts a guest belongs to.

Housekeeping and kitchen

See only what the job needs, such as a cot request or a meal preference. Not the ID scan.

What this module does not do

  • Judge which identity papers your property must collect
  • Send guest details to any outside service by itself
  • Decide how long scans are kept, which the owner sets
  • Replace advice from your own legal or accounting advisor

Frequently asked questions

Is the ID scan stored with the stay?

Yes. The file attaches to that stay and to the guest record, and the owner chooses who may open it.

Can two records for one guest be joined?

Yes. Duplicates are merged on request, and the stay history from both sides remains on the surviving record.

Does a guest see their own history?

No. The record belongs to the property, and what staff share at the counter is for the owner to decide.

Are preferences carried into the next booking?

Yes. Notes and meal preferences appear as soon as the guest is picked for a new reservation.
