Client and Nominee Records for Life Insurance Advisors

This module holds the client file for a life insurance advisor: contact details, KYC papers, family links and nominees. Every policy a family holds is listed against that one file.

What the client file holds

Contact and address

Phone numbers, the WhatsApp number, email and address are kept with the preferred way and time to call, so an address changed once is read by every policy.

Family links

Spouse, children and parents are linked to the head of the family. Cover held by each member can then be read on one screen, beside the family’s total.

KYC and identity papers

PAN, address proof and photographs are stored against the client. The desk can see which papers are on file and which are still awaited.

Nominees and dependants

The nominee named on each policy, the relationship and any appointee for a minor are recorded. A change of nominee is kept as a dated note. Old entries stay visible.

Advisor and notes

Each client carries the name of the advisor who looks after them, plus call notes and the date of the next meeting.

Who works in the client file

Advisors open a family before a meeting and add notes afterwards. The servicing desk updates addresses, phone numbers and nominee requests as they arrive from clients. The owner searches the whole book by name, phone number or policy number. Each role sees what it needs.

Where it leads next

The client file is the starting point for the policy register, the premium calendar and every reminder message that the agency sends. A policy cannot be recorded without a client. Reminders go to the number held here.

What the agency sets up

  • Fields wanted on every client, such as date of birth and occupation
  • How families, joint holders and businesses are grouped
  • Which papers count as a complete KYC file in your agency
  • Who may edit a nominee or change an advisor

What this module does not do

It does not verify identity papers and it files nothing with an insurer. A nominee change takes effect only when the insurer accepts it, so the entry here is the advisor’s note of what was asked. Rules on KYC come from the insurer and the regulator, and the agency follows them as it does today.

FAQ

Frequently asked questions

Can one family be seen as a single group?

Yes. Members are linked to a head of family, and the family view lists every policy held by every member, whichever insurer issued it.

Are changes of nominee recorded?

Yes. Each change is stored with the day it was made and the staff member who entered it. The earlier nominee is not lost.

Can the existing diary or sheet be brought in?

Yes. Clients are imported from your diary or sheets, and the desk checks the imported names before launch.

Does it check KYC with the insurer?

No. It records which papers are on file. The check itself stays with the insurer.
