Life Policy Register for Insurance Advisors

The register lists every life policy the advisor has sold, with insurer, policy number, plan, sum assured and dates. It can be searched by client, family, insurer, plan or policy number.

What one policy record carries

Identity of the policy

Insurer, policy number, plan name, proposal date and date of commencement are recorded for each policy. None of it rests on recall.

Sum assured and premium

The sum assured, the premium amount and the premium mode are held together. Mode may be yearly, half-yearly, quarterly or monthly.

Life assured and policyholder

Where the life assured differs from the person paying, such as a parent insuring a child, both are recorded and linked.

Status

Each policy is marked in force, in grace, lapsed, paid-up, matured, claimed or surrendered, with the date of the change.

Bond and papers

The policy bond, the proposal copy and any endorsement are stored with the record. Scans and phone photos both work.

Searching the book

Policies can be found by policy number, client name, phone number, insurer or plan. A result opens the family, with every other policy it holds. An advisor who takes over a book reads the same register as the one who sold it, with every note intact.

Where it leads next

Plan details and the premium calendar are built on the policy record. Once a policy is entered, its due dates, benefit dates and commission lines follow from it, so a wrong date here carries forward. The desk checks new entries against the bond.

What the agency sets up

  • The insurers you work with and the plans you sell
  • Status labels, if your agency uses more than the standard set
  • How an existing register or sheet is imported
  • Who may add, edit or close a policy record

What this module does not do

It does not issue policies and it does not replace the insurer’s own record. Where the insurer’s record and the register differ, the insurer’s record decides and the desk corrects the entry.

FAQ

Frequently asked questions

Can policies from several insurers sit together?

Yes. Each policy names its insurer, so one family can hold plans from different life insurers in a single list, and the family’s total cover is read from it.

How is a policy found with only a phone number?

The phone number opens the client, and the client opens every policy held. Policy number search works the other way.

Does the register show matured policies?

Yes. Matured, surrendered and claimed policies stay on the record with their final status. The history of a family is complete.

Is the policy bond stored here?

Yes. A scan or photo of the bond is attached to the policy, along with endorsements as they arrive.
