Retail · Mobile Phone Retailer Management Software

One system for IMEI stock, counter billing, buyback and warranty follow-up.

Every handset keeps its distributor invoice, its sale and its service history under a single IMEI, so a warranty claim never starts from a guess. Counter staff bill a phone, a screen protector and a charger from one screen, and the owner reads stock and margin by model without opening a register.

  • Model list, variants and selling prices entered the way your counter sells
  • Opening stock loaded by IMEI before the first bill
  • Changes to price lists and bill formats made by GullySystem staff on request

Mobile phone shops keep purchases, IMEI stock, billing, exchanges and warranty repairs in Mobile Phone Retailer Management Software, which GullySystem configures for your counters. Each handset carries its distributor invoice, its sale and any later fault or return. Accessories are counted by item. Launch pre-bookings and buyback valuations sit beside the bill.

Where it breaks today

What goes wrong before the software.

Stock is counted by model while claims arrive by IMEI

A shelf count of six in black says nothing. Which six? When a customer claims warranty, the shop cannot connect the phone to its carton label, its invoice or its sale date, and the claim stalls at the counter.

Distributor credit needs proof the shop does not keep

A dead-on-arrival unit goes back for credit, and the distributor asks for the IMEI, the seal-break date and the fault note. These sit in separate chats and scraps of paper. The credit note arrives late and short.

Launch demand is held on slips of paper

Customers pay a token for a flagship launch in a given colour. Then stock lands short, and nobody can say who paid first or which storage variant each token was taken for.

Exchange phones enter stock without a record

An old phone is taken against a new bill, valued by eye and shelved. Its bezel dents, its IMEI and whether the previous owner’s cloud account lock was removed are never written down. Resale stalls.

Accessories are cheap alone and costly together

Covers, tempered glass, chargers and earbuds sell all day, and the case is restocked from memory. Shrinkage hides in cheap lines that nobody counts, and a fixture looks bare in launch week.

Phones sent for repair drop out of sight

A handset leaves for the brand’s centre with a paper slip. Weeks later the customer rings, and the counter has no job number, no status and no promised date to quote back.

How it runs

How the work flows through it, step by step.

  1. 1

    Purchase

A distributor invoice is entered with models, variants and quantities. Cartons are opened and each IMEI is scanned from the shrinkwrap label and again from the handset, while units that fail the screen check are set aside for return.

  2. 2

    Display and pre-booking

Sealed units go to the shelf. Demo handsets are tagged apart. A launch list holds tokens against a model, colour and storage size until the shipment arrives from the distributor, so the queue stays fair.

  3. 3

    Sale

The salesperson scans the IMEI, adds a cover, a screen protector or a charger, and takes cash, card or an instalment down payment. The warranty start date is saved with the bill.

  4. 4

    Exchange

The customer’s old phone is checked for cracks, bezel dents, backlight bleed and battery health. Its IMEI is recorded, and the agreed value is set off against the new bill before resale or scrap is decided.

  5. 5

    Service

A faulty handset is booked in with its symptom, sent to the service centre and tracked there. The customer receives a message on the day it is ready for collection.

  6. 6

    Return and reorder

Defective units go back against a credit note. Reorder lists for fast midrange models and common accessories are drawn from what has sold since the last shipment arrived.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Handset purchases and receipt

Enter distributor invoices and scan each IMEI as cartons are opened. Flag units that arrive with a cracked touchscreen or a broken seal strip, so the stock register starts accurate from the first day.

IMEI stock register

See every handset by model, colour, storage size and IMEI, with its supplier, its shelf or glass-case position, and whether it is sealed, demo or refurbished.

Counter billing

Bill a phone with its cover, guard and charger in one invoice, take part payment by card or cash, and print or send the bill. The lender shows on the bill.

Price lists and offers

Hold the selling price for each model and variant, with launch offers, brand cashback passed on to the customer and bundle prices for a neckband or earbuds.

Pre-bookings and launch lists

Take a token for an upcoming flagship and keep a numbered list by colour and storage size. The order of delivery is plain the day the stock lands, with no argument at the counter between two customers who both paid.

Trade-in and exchange

Record the old phone’s IMEI, screen and body condition, the accessories included and the value allowed, then mark it for resale, repair or scrap. Buyback valuations stay attached to the new bill.

Warranty and service jobs

Open a job per handset with the fault, the bill it came from and the service centre it went to. Follow it until the customer collects the phone.

Accessory stock

Count covers, tempered glass, cables, earbuds and power banks by item code, with reorder levels set for the lines that sell fastest. Slow lines show up early. Nothing gathers dust on a wall peg.

Distributor returns and credit notes

Raise a return for each dead-on-arrival or defective unit with its IMEI, then match the distributor’s credit note against it. Chase the ones that never come.

Recharges and SIM activations

Record prepaid recharges, SIM sales and activation forms taken at the counter, with commission earned shown by operator. The month-end shortfall in top-ups is then easy to explain.

Staff incentives

Work out what each salesperson has earned on handsets, accessories and brand-funded incentives from the bills they raised. Disputes end, because the bill list is the proof.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Batch and Serial Tracking

Every handset is held under its own IMEI, so a warranty claim or a distributor return points to one unit and the invoice it arrived on.

  • Point of Sale Billing

The salesperson scans the phone, adds a cover and charger, and takes cash, card or an instalment plan before the bill is printed.

  • Price Lists and Schemes

Selling prices by model and variant sit beside launch offers and brand cashback, so the counter quotes one figure for each handset.

  • Job Cards

A job card records the fault, the originating bill and the service centre, then follows the handset until the customer collects it.

  • Purchase Returns and Debit Notes

Dead-on-arrival phones are returned with their IMEI and fault note, and the distributor’s credit note is matched against the original purchase.

  • Barcodes and Labels

Covers, glass guards and cables carry item codes that scan at the till, which keeps low-priced lines counted without slowing the queue.

  • Stock Tracking and Alerts

Cartons are received against the distributor invoice, and reorder alerts fire for fast-selling models before the shelf runs bare in launch week.

  • Commission and Incentives

Incentives on handsets, accessories and brand-funded schemes are worked out from the bills each salesperson raised during the period.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

Read stock by model, margin by brand, pending distributor credits, phones at service and the day’s takings from any device, without ringing the shop. Between visits the numbers stay current.

For counter staff

Scan, bill and bundle accessories on one screen. Check a launch list or a customer’s earlier phone without leaving the till, and answer a warranty question in seconds.

For stock keepers

Receive cartons against the distributor invoice, scan each IMEI, tag demo units and report shortages the same day. Nothing goes to the back room unchecked, and nothing stays there unlisted.

For service desk staff

Book in faulty handsets and send them to the centre. Then tell the customer exactly where the phone is today.

For accounts clerks

Match distributor invoices and credit notes, reconcile card settlements, and post instalment receipts against the right customer, so month-end closing does not wait on a stack of slips.

Reports

The numbers the owner asks for.

  • Handsets in stock by model, variant and IMEI
  • Sales by brand, model and salesperson, with margin
  • Pre-bookings open, fulfilled and waiting for stock
  • Exchange phones taken in and their resale outcome
  • Phones at the service centre, by days away
  • Distributor returns and credit notes pending
  • Accessory movement by item, with fast and slow lines
Good fit

Who this is built for.

  • Independent mobile phone shops selling several brands
  • Single-brand outlets that run on a distributor’s stock
  • Multi-store phone retailers with a shared price list
  • Shops that take trade-ins and resell refurbished handsets
  • Phone and accessory counters inside larger markets or malls
Honest answer

When it is not the right choice.

  • A kiosk that sells only recharges and covers can manage on a simple billing app, because it has no handset to trace and no warranty to prove.
  • Large consumer electronics chains with televisions and appliances will find Electronics and Appliance Retail Software closer, since their stock is not tracked one IMEI at a time.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Model list and variants

Brands, models, colours and storage sizes are entered from your current price sheet, so billing matches the way you sell across the glass counter, down to matte and curved-screen variants.

Bill and receipt format

Warranty text, IMEI lines and tax wording are set on the bill. Your local tax rules decide how each line is taxed, and we check them with you.

Instalment and finance plans

The lenders you work with and the documents they ask for are set up with your staff. A plan is shown on the bill beside the lender, and a sample sale is tried with your counter staff before go-live.

Opening stock

Existing handsets are loaded by IMEI from a sheet, then checked against the shelf, the glass case and the back room before the first bill is raised.

Hosted by GullySystem

Every billing counter, the back office and each branch read the same IMEI stock list, because the hosting is handled for you and the list opens on any phone, tablet or till.

Common questions

Questions owners ask before a demo.

Does it track each phone by IMEI?

Yes. The IMEI is scanned when a handset arrives and again when it is billed, so its history reads from the distributor invoice through to the customer’s receipt. Nothing is retyped.

Can I hold pre-bookings for a new launch?

Yes. A token is taken against a model, colour and storage size, and the list shows who is first in line when the shipment arrives.

How are exchange phones handled?

The old phone’s IMEI, condition and agreed value are recorded on the new bill, and it enters stock as a used unit marked for resale, repair or scrap. Refurbished units stay labelled apart.

Can it manage warranty repairs sent to the brand?

Yes. Each faulty handset gets a job with the bill it came from, the fault and the centre it was sent to. The customer is told when it can be collected.

Does it work with an instalment or finance plan?

Each finance plan is printed on the invoice beside the lender and the sum financed. How documents are collected and checked is set up with your staff during implementation, before the first plan is sold.

Can it count cheap accessories without slowing the counter?

Yes. Covers, guards and cables are scanned by item code or picked from a short list, and reorder levels flag the lines that run low before the wall peg empties.

Can we run several shops from one price list?

Yes. Models and prices are kept once and used at every counter, while each shop holds its own stock, and transfers between shops are recorded with the IMEI.

Can I see which distributor supplied a faulty phone?

Yes. The IMEI points back to the purchase invoice, so a return and its credit note go to the right distributor.

Do we get our data back if we leave?

Your stock, bills and customer lists are yours. Agreement terms set out, before any work begins, exactly how that data comes back to you, in which files and in which column layout.

How is it priced?

Counters, the handsets you carry and any links to distributors or lenders shape the quotation. A demonstration with your own model list comes first. Nothing is guessed.
