Enquiry and Site Visit Records for Plumbing Contractors

This module holds every plumbing enquiry in one list, from a bathroom refit to a full building water line. The site visit, its measurements and its photographs stay attached to the client and the address.

What is recorded for each enquiry

An enquiry reaches a plumbing office by phone, by WhatsApp or at the counter of a fittings shop. The office logs it once, with the same fields every time.

Client and address

Name, phone number, site address and the person to meet. A builder’s enquiry also records the project and the block or floor.

Kind of work

New water supply lines, drainage and soil pipes, bathroom fittings, bore and sump connections, or a repair. The job type decides which quotation template opens later.

Source

A builder’s referral, an existing client, a board outside a shop or a walk-in. Over time the office can see which source brings real work.

Site visit slot

The supervisor’s visit goes on a calendar with the address. A visit that is missed shows up as an open item, not as a forgotten note.

At the site

The supervisor records what was seen. Pipe runs, number of bathrooms, floor heights, existing lines and the position of the sump or overhead tank go into the visit note. Photographs are added from a phone. These notes are what the quotation is built from, so nobody has to remember the site later.

From enquiry to quotation

A visit that is complete becomes a quotation with one step. The measurements and fitting notes carry across. An enquiry that goes cold is marked lost with a reason, and the office can call it again when it chooses.

Can an enquiry be logged from a phone?

Yes. A supervisor or the office can add an enquiry from a phone, with the address and a photograph, while still standing at the site.

What happens to an enquiry that never turns into a job?

It stays on the list as lost or on hold, with the reason. Nothing is deleted, so the client’s history is there if they call again.

Does the visit note replace the quotation?

No. The note records what was seen at the site. The quotation prices it, using your rate list.

Can one client have several sites?

Yes. A builder with three projects has one client record and three addresses, and each enquiry is tied to the right one.
