Maintenance Contracts for Plumbing Contractors

Some clients pay a plumbing firm a yearly sum to look after their building. Each contract keeps its visit schedule, its calls and its renewal date in one record.

What a contract record holds

Apartment associations, offices, schools and shops are the usual clients. Terms differ, so each contract has its own fields.

Scope and period

The building, the lines and fittings covered, the start and end dates, and whether parts are included or billed separately.

Planned visits

Scheduled rounds for overhead tanks, sump and motor connections, valves and common-area taps. Each round is a ticket with a due date.

Calls under contract

A complaint from a covered building is logged as a service call and marked as under contract, so it is not billed as a fresh repair.

Contract invoices

Invoices follow the payment terms in the contract, whether yearly, half-yearly or quarterly.

Renewal follow-up

The office sees contracts that end soon. A renewal list gives the client, the lapse date and the last amount billed. A call or a message can be made before the date passes. A contract that lapses is marked as such, and the building returns to being billed per call.

Reading the history

Calls under a contract are visible together. If one building keeps raising the same complaint, the owner can see it. Repeated blocked drains in one wing may point to a cause worth fixing, and the owner can raise it with the client at renewal.

What the client decides

The firm decides what each contract covers, how fast a covered call is attended to and what happens when the covered parts wear out. The software holds these terms. It does not draft the contract.

Yes. A contract can list more than one address, and the visit schedule is kept for each of them.

Yes. Visits come up as tickets with a due date for the office to assign. Reminders by message to the client are confirmed during scoping.

Does a contract call use the same ticket as a repair?

Yes. It is the same ticket, marked as covered, so the history of the building stays in one place.

Does it send the contract renewal to the client?

It can send a message or an invoice. The wording of the renewal, and any change in terms, is the firm’s to decide.
