Pipe and Fitting Store Records for Plumbing Contractors

The store holds pipes, fittings, valves and sanitaryware. Each receipt from a dealer, each issue to a job and each return is recorded, so material used on a site can be read job by job.

What the store records

A plumbing store holds hundreds of small items. Most of them are sold by size and count.

Receipt from dealers

Pipes, fittings and taps are entered against the dealer’s bill. The cost on that bill becomes the cost of the stock.

Issue to a job

The store keeper notes what leaves, for which job, and who took it. A tempo load to a site is one entry with many lines.

Returns from site

Unused lengths and fittings come back and are added to stock. A job is then charged only for what stayed on site.

Reorder levels

Fast sizes such as 25 mm elbows or half-inch ball valves get a minimum. The office sees what to buy before the store runs short.

Material cost against each job

Because every issue names a job, the cost of material for that job is known. The supervisor can compare it with the quoted quantity. Differences show early, while the stage is still open. An extra coil of pipe on a site is visible when it is drawn, not after the final bill.

Buying from dealers

Dealer bills are posted with their numbers and dates. What the firm owes each dealer is visible, along with the items bought. A purchase order can be raised for a low item. Where the firm also sells fittings across a counter, retail sales reduce the same stock.

Can material be issued directly to a job from the dealer?

Yes. A purchase can be marked as delivered straight to the site, so it counts against the job without passing through the store.

Does the store track pipe by length?

Yes, where the firm wants it. A pipe can be held as full lengths and cut pieces, with the unit chosen at set-up.

Can a physical stock count be recorded?

Yes. The count is entered, and the difference from the system figure is shown for the owner to review before it is adjusted.

Does this replace a retail billing system?

No. It covers the contractor’s own store. A shop that mainly sells to walk-in buyers may also use a trading product.
