Field Services · Remodelling Contractor Management Software

One system for remodelling estimates, selections, change orders, trades and draws.

Manage remodelling enquiries, estimates, contracts, client selections, change orders, trade schedules, supplier orders and payment draws in one system. Every project keeps its approved scope, allowances and costs from first site visit to final punch list. Trades see their own bookings on a phone, and clients see the backsplash, hardwood and fixture choices they agreed.

  • Cost codes, allowances and project stages are entered to mirror how your estimators build a budget
  • Live projects, supplier lists and unpaid draws are carried over
  • If an estimate or stage template needs altering later, GullySystem staff make the change when asked

Remodelling contractors who rebuild kitchens, bathrooms, basements and interiors keep enquiries, estimates, selections, change orders, trade schedules and payment draws in GullySystem’s Remodelling Contractor Management Software. Each project holds its contract, its allowances, the trades booked, cabinet and countertop deliveries and actual cost against the estimate. Clients view approvals in a portal.

Where it breaks today

What goes wrong before the software.

Leads and estimates are in separate files

The enquiry sits in an inbox while the estimate hides in a spreadsheet, so follow-up with a prospect after the site visit comes late, or never. A kitchen job goes to the firm that rang first.

Scope changes without a signed record

A wall opens and the plan changes, perhaps a rotten sill or a header that needs a beam. The extra work proceeds on a spoken yes. The price is argued at the end, when the homeowner has forgotten the conversation entirely.

Allowances are tracked by memory

Backsplash tile, faucets, vanity and recessed lighting are priced as allowances. The running total against each one is rarely known until every choice is finished and the subfloor is already covered.

Trade bookings clash

The plumber, electrician and drywall crew are booked separately. A delay from one is not passed to the next, and a day is lost before the mudding can start.

Supplier deliveries are not matched to projects

Cabinets, windows and fixtures arrive on a van with a delivery note. Nobody checks them against the order until installation, when a missing filler panel stops the crew.

Job cost is a surprise

Supplier bills, trade invoices, dumpster hire and labour hours are filed apart. Profit on a project appears only after final payment.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and consultation

The homeowner’s request is entered with address, rooms and budget range, and a site visit goes in the diary.

  2. 2

    Estimate and contract

The estimate is built from cost items, allowances and a contingency line, with the thinset, grout and waterproofing membrane counted. It is sent as a proposal, and becomes a contract once the client signs.

  3. 3

    Selections and orders

The client chooses finishes such as countertops, hardwood and tile, each with a price and lead time. Long lead items are ordered and tracked until they arrive.

  4. 4

    Build and changes

Demolition, framing and rough-in trades are booked in sequence. Changes found on site are priced as change orders and approved before work continues.

  5. 5

    Draws and billing

Stage draws are raised against the contract as milestones finish, and receipts are posted against each one. A lien waiver is filed with each payment.

  6. 6

    Punch list and warranty

Items found at the walkthrough are closed one by one, the handover is recorded, and later warranty calls are logged.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Leads and consultations

Capture where an enquiry came from, which rooms it covers and the budget, then file site visit notes, measurements and photographs on the same prospect.

Estimates and proposals

Build an estimate from your own cost items and takeoff quantities, with allowances for choices still open. Send it as a proposal and keep every revision.

Contracts and change orders

Hold the signed scope and each change order with its price, markup, effect on the schedule and approval date. The contract value stays current, so a sistered joist or a moved pocket door is never a surprise.

Selections and allowances

Record each choice the client makes, from a quartz countertop to a vanity, with its price and lead time, and see what remains of every allowance.

Project schedule

Lay demolition, framing, rough-in, drywall, tile, baseboard and trim on a calendar with their dependencies. When an earlier stage slips, later stages and the trades booked for them move too.

Trades and subcontractors

Keep trade records with licences, rates and past jobs, book them into the schedule and see their invoices and lien waivers against the project.

Purchase orders and deliveries

Order from suppliers, record what arrives and what is damaged, and match each delivery to the project it was bought for.

Daily logs and site photographs

Record who was on site, what was done and what was found behind the wall, with photographs attached to the project.

Draws, invoices and receipts

Call stage draws against the contract, send invoices, log receipts and retainage, and read what each client still owes.

Job costing and reports

Compare actual cost with the estimate while the project is open, by cost item and by trade, including dumpster and permit fees.

Client portal

Give each homeowner a login to view the schedule, approve change orders and selections, and see invoices.

Punch lists and warranty calls

List snags at the walkthrough, close them one by one, and log later warranty calls against the finished project.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Each homeowner enquiry is logged with its source, rooms and budget, and the site visit notes and photographs stay with the prospect.

  • Quote & Proposal Management

An estimate is built from your cost items and takeoff quantities with allowances for open choices, then sent as a proposal with every revision kept.

  • Workflow and Approvals

A change order goes to the client with its price and schedule effect, and nothing proceeds until the approval is recorded with a date.

  • Project Timelines with Gantt Charts

Demolition, rough-in, inspection and finishing are laid on a calendar with dependencies, and a slipped stage moves those that follow it.

  • Purchase Order Management

Orders for cabinets, windows and fixtures are raised against the project, with lead times shown so a late delivery is seen before the trade arrives.

  • Project Document Management

Daily logs, photographs of what was found behind the drywall, and approved drawings are filed on the project where the whole team can open them.

  • Invoice Management

Stage draws are raised against the contract as milestones close, and receipts are posted so each homeowner’s balance is always current.

  • Client Portal

A homeowner signs in to see the schedule, approve selections and change orders, and read invoices for that project alone.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For homeowners

View the schedule, approve selections and change orders, and see invoices from a portal.

Reports

The numbers the owner asks for.

  • Enquiries and proposals open, won and lost
  • Change orders by status and value
  • Allowances used against each project
  • Actual cost against estimate by project and trade
  • Deliveries late or damaged
  • Draws raised, retainage held and amounts received
  • Punch list items open by project
Good fit

Who this is built for.

  • Contractors who remodel kitchens and bathrooms for homeowners
  • Firms that finish basements and build home additions, staircases and fireplaces
  • Design and build companies that handle drawings and construction together
  • Whole home renovation firms that coordinate several trades at once
  • Remodelling firms that work for property managers and landlords
Honest answer

When it is not the right choice.

  • A handyman who takes small repair jobs can work with a calendar and a notebook.
  • Firms focused on interiors without building work will find Interior Design Management System closer, and new build contractors will find Construction Project Management Software closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Cost items and allowances

Your cost items, labour rates, markup and allowance categories go in first, matching how you build an estimate now.

Project stages and templates

Stages for a kitchen, a bathroom or a basement are set as templates, from demolition to trim, so each new project starts with its usual sequence.

Change order and draw rules

Approval steps for changes and the payment schedule you use are set to follow your contract wording.

Opening data migrated

Live projects, supplier lists, trade files and outstanding draws are brought in from your spreadsheets, and a project coordinator checks each against the signed contract.

Currency and tax settings

Draws and invoices follow the tax treatment and money of the country where you build, confirmed when the system goes in.

Hosted by GullySystem

GullySystem runs the hosting, which puts the office, project managers and trades on one shared project file. Template edits come from its staff.

Common questions

Questions owners ask before a demo.

Can estimates carry allowances for undecided items?

Yes. An allowance is set for each category, such as tile or faucets, and the client’s actual choices are recorded against it. The difference is shown as the selections fill in.

How are change orders handled?

Each change is written with its price and schedule effect and sent to the client for a signature. The approval is recorded, and the contract value updates when it is accepted.

Can we book trades into a schedule?

Yes. Each trade is placed into the sequence, from framing to finish carpentry, and dependent stages move when one slips. Trades see their own bookings on a phone.

Does it track supplier deliveries?

Yes. Orders are raised against the project, and cabinets, windows and fixtures are checked on arrival for shortage or damage.

Can homeowners log in?

Yes. A portal login shows the schedule, selections, change orders and invoices for that homeowner’s project only.

Does it produce drawings?

No. Drawings and elevations from your designer are attached to the project as files. Design and modelling software is not part of the system.

Can open projects be moved in?

Yes. Your live jobs, trade contacts and draws still owed are imported from the spreadsheets, and a project coordinator reviews each job before the switch.

Who owns the data?

You do. The quotation records how estimates, change orders and job files are returned to you.

What does it cost?

No price is published. The fee tracks headcount and the modules you choose. We first demonstrate a sample remodel with change orders and allowances, then send a proposal stating the figure.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
