Water and Environment · Water Purifier Service Company Management Software

Every installed purifier, its cartridge cycle and its service history, kept on one record.

Run installations, service calls, cartridge and membrane cycles, technician rounds, van stock, annual plans and renewals for RO, UV and gravity purifiers in one system. Every unit has a record. The serial number, the borewell or municipal source, the plan and each visit sit there, so the office sees which sediment cartridges and carbon blocks fall due this week.

  • Models, part lists and change intervals entered exactly as your technicians service each purifier today
  • Installed units, plan expiry dates and open calls loaded from your register, then checked unit by unit by your own staff
  • Reminder wording approved by your office before any customer receives one message

Purifier service firms keep installed units, cartridge cycles, calls, visits and renewals in one system set up for RO, UV and gravity models. Plan, readings and parts history stay on the unit. Technicians open calls on a phone, and the office sets change dates from the cartridge cycle, not from complaints.

Where it breaks today

What goes wrong before the software.

Units sold are not units serviced

The sales invoice records a purifier, but the service team needs the serial number, the install date and the water source before a call makes sense. Without them every call starts from nothing. History is guessed.

Cartridge dates are tracked on stickers

Change dates sit on a sticker inside the cover, and a spun sediment cartridge, a carbon block and an RO membrane each wear out at their own pace. Units due are listed by hand from old invoices. Customers wait until the water tastes wrong.

The technician does not know the plan at the door

Free or paid depends on the warranty end, the annual plan and the visits already used, yet the answer gets argued by phone while the technician waits outside. The customer remembers the argument longer than the repair.

Parts are issued to vans in bulk

Membranes, booster pumps, solenoid valves, push-fit connectors and power adaptors leave the store by the dozen, and the slip records a van, never a unit. Which part went into which purifier stays unwritten. Repeat failures stay unexplained.

Readings vanish after the visit

TDS, tank pressure and flow rate are measured at the tap and then told aloud to the customer, and nothing is kept for later. The next technician starts blind. Reject water complaints have no earlier figure behind them.

Renewals and dues are chased from different lists

Plan expiry sits in one sheet, unpaid visit charges sit in another, and each franchise branch keeps a third list of its own. Nobody sees a customer’s whole position before ringing. Renewal calls go out half-informed.

How it runs

How the work flows through it, step by step.

  1. 1

    Sale and installation

A new unit is booked with a site check. The fitter notes the serial number, the water source, the tap and tank connection points and the inlet pressure, and then the customer signs on the phone.

  2. 2

    Plan and cycle

The unit starts on a plan with an expiry date and visits included. The model and the water source decide when the sediment filter, carbon block, UV lamp and membrane fall due. Technicians never key those dates in by hand.

  3. 3

    Reminder and booking

Units whose parts fall due are listed by area. The customer receives a reminder naming the cartridge, picks a slot from the open ones, and the visit lands on the calendar of the technician who covers that street.

  4. 4

    Visit

The technician opens the unit, the plan and the parts to carry. Then the visit records TDS before and after, flow rate, parts fitted and the customer’s signature on a phone, and the call closes itself.

  5. 5

    Billing

Plan visits close at no charge. Paid visits and spares are invoiced from the visit report, and the receipt is posted with the payment mode, whether cash, card or bank transfer, on the same screen.

  6. 6

    Renewal

Plans nearing expiry are listed with the visits used, and the renewal is offered, accepted and recorded against the same unit. Then the next cycle starts.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Customer and unit register

Hold each purifier with model, serial number, install date, water source, address and household contacts, so every call opens on a full unit record and not a blank form. No guesswork.

Installation jobs

Book new fittings with a site check, tap and tank points, inlet pressure, serial number and handover sign-off. Plan terms and first cycle dates begin on the day of fitting, so nothing waits for the office.

Filter and membrane cycle planner

Set change intervals per model and water source for spun sediment filters, carbon cartridges, UV lamps and RO membranes, then list the units whose parts fall due by area.

Service calls and dispatch

Log a complaint of low flow, bad taste, a leaking fitting or a dead UV lamp, read the plan and warranty on screen, and send the call to the area’s technician. One owner per call.

Visit report and water readings

Record TDS before and after, flow rate, tank pressure, parts replaced and the customer’s signature. All of it stays with the unit, so the next technician has an earlier figure to compare against.

Technician schedule and routes

Lay the day’s calls and planned cartridge changes against each technician’s area and balance the load between vans. One board shows visits done, running late or still open.

Van stock and spares

Issue membranes, pumps, valves and cartridges from the store to each van and record which part was fitted to which unit. Every technician’s stock shows against its reorder level.

Annual plans and warranty

Hold plan type, visits included, visits used and expiry per unit, and check warranty cover for a claim before the technician leaves for the site, not after. No doorstep arguments.

Renewals and reminders

List plans expiring in the coming weeks, send approved reminders by messaging or SMS, and record each renewal against the unit. Lapsed plans stay visible on the list.

Invoices, receipts and dues

Paid visits and spares get a tax invoice, and each receipt is posted against cash, card or bank transfer. The dues list groups unpaid charges under the customer so the desk reads one total.

Branches and franchise partners

Let each branch or franchise partner run its own technicians, vans and stock while the head office reads units, calls and renewals together across every area.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Asset AMC Tracking

Each purifier carries its serial number, install date and plan, so the full service calendar for one unit is held on one record.

  • Service Reminders

Reminders are built from each model’s part intervals and water source, and go to customers ahead of every cartridge or membrane change.

  • Ticket Management

A complaint about flow, taste or leakage becomes a numbered call with an owner, then closes only when the visit report is filed.

  • Service Reports and Proof of Visit

The technician leaves a report with TDS before and after, parts fitted and the customer’s signature, kept on the unit’s history.

  • Technician Scheduling

Planned changes and fresh calls are placed against the technicians who cover each area, so no one is double booked.

  • Stock Tracking and Alerts

Membranes, pumps and cartridges are issued to vans and counted against reorder levels, with each fitted part linked to a unit.

  • AMC and Service Contracts

Plan type, visits included and used, and expiry are held per unit, so the technician knows if a visit is free before knocking.

  • Invoice Management

Paid visits and spares are invoiced from the visit report, and receipts by cash, card or transfer are posted against the customer’s dues.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For dispatchers

See open calls, planned changes and the load on every technician at once. Assign a visit. Watch it close, readings attached.

For technicians

Open the day’s visits on a phone, check the plan at the door, record readings and parts, and take the customer’s sign-off before leaving the building.

For the store

Issue parts to vans and take old cartridges and faulty membranes back into the store. Reorder from the low-stock list, and keep every bin counted against the register so the shelf and the screen agree.

For the customer care desk

Look up a unit by serial number or phone number, read its plan and history, and book or re-book a visit. The caller never repeats the story.

For owners

Read plans renewed against plans lapsed, calls by model, spares used per technician and charges still unpaid, all in one screen. Nothing needs a phone call to a branch.

Reports

The numbers the owner asks for.

  • Cartridge and membrane changes due by week and area
  • Service calls by model, fault and technician
  • Readings before and after, by unit and water source
  • Spares fitted by part, unit and technician
  • Plans expiring, renewed and lapsed
  • Visits used against visits included, by plan
  • Unpaid visit charges by customer
Good fit

Who this is built for.

  • Companies fitting RO, UV and gravity purifiers in flats, villas, clinics and small offices across a city and its suburbs
  • Authorised partners who look after the installed units of one brand and report to its head office
  • Independent teams of technicians servicing purifiers of every make
  • Dealers who sell purifiers and then add a yearly plan with scheduled cartridge changes and part replacement
  • Franchise networks whose branches work under one brand and share a common customer list across every area
Honest answer

When it is not the right choice.

  • One technician looking after a few dozen units can manage with a diary and phone alarms. Several vans, plans falling due and cartridge stock soon outgrow any diary or spreadsheet that one person keeps.
  • Large effluent and sewage treatment plants and industrial systems fit Water Treatment Company Management Software far better than this one.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Models and part lists

The units you install or service, with the parts each one takes, are entered once together with the change interval your technicians follow. After that nobody retypes a part list.

Water source types

Borewell, municipal, tanker and stored tank water each shorten or lengthen a cycle, and hard water wears out a membrane sooner than soft. The rules you apply today are set per model.

Plan and warranty terms

Visits included, spares covered and what counts as paid work are written into the plan types exactly as you sell them.

Units and customers migrated

The installed base is loaded from your register or old invoices, and a missing serial number is filled in by the technician at the next visit. The record improves with every cycle.

Reminders and payments

Your office approves the reminder wording before any customer sees one message. Receipts accept cash, card or transfer at the door, and each is posted to the unit’s dues on the same day.

Units and tax settings

Water quality units such as ppm, currency and local tax rules are fixed per country and reviewed with your accountant during implementation. Nothing is guessed from a default.

Common questions

Questions owners ask before a demo.

Is it for companies that install, service or both?

Both. Installation jobs open a unit and its plan, while service-only firms load the base they already look after. The cycle planner and call desk behave the same either way.

How does it know when a cartridge is due?

Each model carries a list of parts, such as sediment, carbon and membrane, with an interval for each. The due date is worked from the install date or the last change, then adjusted for the water source you chose.

Can the technician see if a visit is free?

Yes. The unit screen shows the plan, the visits included and used, and the warranty end, so the technician learns whether the visit is free before ringing the bell. No doorstep argument.

Does it track which spare went into which unit?

Yes. Every spare leaves the store against a van issue slip, and when the technician fits it the visit report links that part to the purifier’s serial number. Failures are then listed by part, batch or technician.

Can customers get reminders by WhatsApp or SMS?

Your office chooses the message channel and how many days ahead to write, and every reminder names the unit and the cartridge that falls due. A reply books a slot and reaches the dispatcher.

What if a customer moves house with the unit?

The address on the unit is changed and the move is logged in its history, while the plan and the cycle carry on. No new record is needed. The serial number stays with the purifier.

Can we run branches or franchise partners on it?

Yes. Branches run separate rosters, stock and queues of calls. The head office reads renewals, units and unpaid charges across all of them and can set one branch beside another.

How do readings help?

TDS and flow rate, before and after, stay with the unit. A later complaint is compared with the last visit, which shows whether the membrane has failed or the incoming borewell water has changed.

How is the system priced and shown?

Pricing depends on how many units, technicians and branches you run, which we cannot know before we see your list. We walk through your own unit list on screen. A written proposal follows.

Can we take our records out?

Your unit list, visit history, plans and invoices come out as spreadsheets whenever you ask, with serial numbers and customer names kept in every row. Which tables go into the export is written into the quotation, so nobody argues about it later.
