Water and Environment · Software for water purifier service companies

Every purifier, cartridge and visit, on one record.

A purifier service company lives on repeat visits. Each installed unit is held with its serial number, source water, TDS reading and plan, and the sediment filter, carbon block and RO membrane changes are scheduled before the complaint calls begin. Spares and signatures stay with the unit.

At a glance

Selling a unit takes one afternoon. Servicing it runs for years across hundreds of kitchens, each with hard borewell water or soft municipal supply, and each needing its own rhythm of pre-filter, carbon and membrane replacement. Miss one cycle. The taste complaint arrives first.

Servicing software starts from the installed unit, not from the sale invoice. Every visit adds a line to its history and every spare comes out of a named van. A customer’s record then runs from fitting day to the second annual renewal without a gap.

How the work runs today

A customer reports low flow, a salty taste or a dripping tap through a call, a message or a web form. The office opens the unit, checks the plan and warranty, books a technician for that area, and sends the customer a visit window by text. Routine visits come from cycle dates. Complaints do not drive them. The technician loads the likely membrane and pre-filter, measures TDS at the tap, replaces what is due, and either collects the visit charge or notes the plan that covered it.

Some firms fit new units for builders and apartment blocks, while others only service brands sold elsewhere, and spares travel from the store shelf to the vans and back again. A franchise branch may run its own technicians, vans and spares counter under one brand name. Renewal calls go out before the plan lapses. Unpaid visit charges are chased like any other dues.

Where it breaks

What goes wrong for water purifier service companies without a proper system.

Change dates live in the technician’s memory

The cabinet sticker says only that a cartridge was changed in some month, and the office holds no list of units due this week, so visits begin after the water turns bitter. The complaint is already logged.

Warranty and plan status is checked by phone

Whether a membrane is free or chargeable depends on the fitting date, the plan and the parts already used. The technician must phone from the doorstep to ask, and the answer changes with whoever picks up the receiver.

Parts leave the store with no unit attached

Membranes, booster pumps, solenoid valves and adaptors leave the store by the carton. Once a part is fitted, nobody can say which purifier received it, which supplier lot it came from, or which technician fitted it. Repeat failures stay untraced.

Water readings are not kept

A technician checks TDS before and after the membrane, tells the customer, and the figure vanishes. When poor output is reported three months later, there is nothing on file to compare it with.

Renewals lapse without a call

Annual maintenance plans end on dates scattered across the calendar, and without a list of what expires next month, units drift quietly into paid-visit status while the customer feels cheated. Renewal turns into a haggle.

What the software does

What we would build for water purifier service companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Customer and unit register

Hold each installed purifier with model, serial number, fitting date, source water and address, so that every visit opens on one record.

Filter and membrane cycle planner

Set the change interval for each part by model and source water, so a borewell unit and a municipal unit never share one calendar. List every unit whose sediment filter, carbon cartridge, UV lamp or RO membrane falls due in the coming weeks, grouped by technician route.

Service calls and dispatch

Log each complaint, read the plan and warranty on screen, and send the call to the technician who covers that area.

Visit report and water readings

On the phone, the technician enters TDS before and after, each part swapped, the tap and storage tank inspection, and the customer’s signature taken at the door. The next visit starts from that reading.

Van stock and spares

Issue membranes, pumps, solenoid valves and cartridges to each van, record which part went into which unit, and see what every technician still carries.

Annual plans and renewals

Hold plan type, visits included and expiry per unit, then list the renewals due together with the visits already consumed.

Installation jobs

Book new fittings with site check, plumbing point and unit serial, then start the plan and the cycle dates on the day the purifier is mounted.

Common questions

Questions water purifier service companies ask before they call.

Do we need serial numbers on every unit?

Yes. A serial number ties the unit to its plan and history, so nothing is guessed at the door and no part goes unrecorded. Units already in homes are loaded from your old register, and a missing serial is read off the label and added at the next visit.

Can customers be reminded before a cartridge is due?

Yes, the customer receives a text before each service falls due, in wording your office has approved, and can reply to book a visit slot. The reply reaches the dispatcher directly.

Does it suit a firm servicing other makers’ purifiers?

Yes. Brand and model are free fields on the unit, and each model gets its own part list and change cycle. The seller need not be you.

How do technicians work in areas with weak signal?

A technician in a basement flat with no coverage fills the report in the stairwell, because saving needs a signal and the form runs in the phone browser. Nothing entered is lost.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
