One system for courts, batches, coaches, shuttle stock, fees and tournament entries.

Manage a badminton academy from one system. Courts are held by the hour, with coaching batches, private lessons and walk-in hire on a single grid. A player record carries a level, an age group, an assessment card and a fee account. Coaches, shuttle stock and tournament entries follow from the same records.

  • Courts, batches, age groups and fee plans entered as your academy runs them
  • Player lists and unpaid balances migrated before the first day
  • Edits to batch and fee lists handled by GullySystem staff when asked

Badminton Academy Management Software is set up by GullySystem for academies and clubs that coach players and hire courts, whether they run two courts or twenty. Owner, coaches and desk share one list. Each player record carries a batch, a level, assessment cards, fees and tournament entries, and the court grid stops one hour being promised twice.

Where it breaks today

What goes wrong before the software.

The court chart is a whiteboard

Batch blocks, private lessons and hourly hirers are written by different hands. Two groups arrive for Court 3 at the same hour. Someone leaves.

Level changes are not written down

A player moves from the beginner batch to the intermediate one on a coach’s say. The next coach sees no footwork or stroke notes behind the move. Parents ask why.

Fees are tracked by month in a notebook

A parent pays for two siblings in one lump, and the book shows one. Quarterly payers and drop-in hirers sit in the same pages. Balances drift.

Shuttle issue is not linked to a batch

Feather tubes go to the senior court and nylon tubes to the juniors, but the store book shows only totals. The cost of an evening batch is a guess.

Tournament entries live in chat threads

Age category, draw and entry fee come in separate messages. A player is entered in the wrong draw, or the fee is paid twice. Nobody notices until the draw is out.

Private lesson hours are counted twice

The coach keeps one count and the desk keeps another. The coach share on one-to-one hours is agreed only after a long conversation.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and trial

A parent or adult player enquires by phone or message. A trial session is booked on a free court and the enquiry is held until the player decides.

  2. 2

    Joining and batch

The player is added with age group, level and fee plan, then placed in a batch on fixed weekdays under one coach.

  3. 3

    Daily sessions

The coach marks attendance at court side. Shuttle tubes and grips used are issued against the batch. Nothing is rewritten later.

  4. 4

    Assessment

At intervals the coach records footwork, stroke and fitness scores on the player card. A move to a higher batch is noted with the date.

  5. 5

    Fees and hire

Monthly or quarterly fees and hourly hire are billed, receipts are issued, and balances show against each parent.

  6. 6

    Events and payouts

Players are entered in tournaments by age category and draw. At month end, coach payouts are worked out from batches and private hours.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Court grid and hourly hire

Hold each court by the hour with batch blocks, private lessons and walk-in hire together, so a clash is visible before a slot is promised.

Batches, levels and age groups

Place each player in a batch by level and age group, with coach, court and weekdays, and keep the move history when a player steps up.

Player assessment cards

Record footwork, smash, net play and fitness scores on a dated card, so a batch move has something written behind it.

Enquiries and trial sessions

List every enquiry with source, trial date and follow-up, and turn a joined player into a record without retyping.

Monthly fees and sibling concessions

Raise monthly or quarterly fees with sibling concessions, and show each parent the month a payment covers.

Hire receipts and part payments

Issue receipts for hourly court hire and part payments, with the hirer, court and hour printed on each.

Shuttle, string and grip stock

Count feather and nylon tubes, string reels and grips, issue them to a court or a batch, and see what each evening used.

Private lesson booking

Book one-to-one sessions with a named coach on a named court, and count the hours taken against each player’s paid pack.

Tournament entries and travel

Record each player’s category, draw, entry fee and travel arrangement, and see who still owes a form or a payment.

Coach attendance and payouts

Log each coach’s batches and private hours, then work out the monthly base and the share on one-to-one sessions.

Parent messages and reminders

Parents hear about unpaid fees, moved batches and upcoming tournaments through messages sent from the player record itself, over WhatsApp, SMS or email, whichever the family answers.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Resource and Room Booking

Each court is held by the hour, and batch blocks, private lessons and walk-in hirers are checked against one grid.

  • Lead Management

Parents and adult players who ask about coaching are listed with a trial date, and a joined player becomes a record.

  • Subscription Billing

Monthly and quarterly coaching fees are raised for every player, with sibling concessions applied and the covered month shown on the receipt.

  • Receipts Management

A receipt is issued for each hire hour or part payment, naming the hirer, the court and the slot it covers.

  • Stock Tracking and Alerts

Feather and nylon tubes, string reels and grips are counted, issued to batches, and flagged when the shelf nears reorder level.

  • Appointment Scheduling

A one-to-one lesson is booked with a named coach on a named court, and hours used come off the player’s paid pack.

  • Commission and Incentives

A coach’s monthly figure combines the base for batches taken with an agreed share of private lesson hours.

  • WhatsApp, SMS and Email Notifications

Fee reminders, batch timing changes and tournament notices go to parents from the player record over the channel they use.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the academy owner

See court hours filled and idle, fee dues by batch, shuttle cost per evening, and what each coach is owed this month. No one totals columns on paper.

For head coaches

Batch lists, assessment cards and the promotion shortlist sit in one view. Tick the juniors who have earned a move up a level.

At the front desk

Book courts and trials, take fees and hire money, answer a parent’s balance question, and send the day’s notices.

In the equipment store

Issue tubes and grips to courts and see what is left. Place the supplier order while a few tubes are still on the shelf.

Reports

The numbers the owner asks for.

  • Court hours booked and idle by court and weekday
  • Batch strength and attendance by coach
  • Fees due by parent and month
  • Shuttle tubes issued by batch and evening
  • Players due an assessment or a level move
  • Tournament entries and unpaid entry fees
  • Coach payout for the month, base and private share
Good fit

Who this is built for.

  • Single-venue academies with two to six courts
  • Multi-court academies running junior, adult and elite batches
  • Clubs that also hire courts by the hour
  • Academies that send players to local and national events
  • Operators with more than one venue under one coaching staff
Honest answer

When it is not the right choice.

  • A weekend group of friends sharing one court does not need a coaching and fees system.
  • A multi-sport complex with pools, gyms and courts for several games will want a broader sports club product.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your courts and batch timings

Courts get their names and floor types, then batches get timings and age groups to match how the day actually runs.

Fee plans and concessions

Monthly, quarterly and pack rates follow your current arrangement, including sibling and early-bird concessions.

Player lists migrated

Your register or spreadsheet supplies player names, guardian phone numbers, batch allocations and unpaid balances, and all of it is imported before the first session is booked.

Assessment card fields

The strokes and fitness measures on the card are the ones your head coach already uses.

Hosting and changes

Every venue reads one player list because GullySystem hosts the system centrally. Our staff make edits to batch and fee lists.

Common questions

Questions owners ask before a demo.

Is this software for coaching, or only for court booking?

Both. The grid books courts, and the batch, assessment and fee records handle coaching. A venue that only lets out courts by the hour can use the grid alone.

Can a court be held for a batch and still be hired out when the batch is off?

Yes. A batch block repeats on set weekdays. If a batch is cancelled for a day, the hour opens for hirers at once.

Is shuttle use recorded for a single batch?

Yes. Tubes are issued against a court and a batch, so the store book and the evening’s play can be read side by side.

How are player levels kept?

Each player has a level and an age group. A move to a higher batch is saved with the date and the coach’s assessment behind it.

Does it run tournament draws?

No. It records who is entered, in which category, and what has been paid. The event organiser prepares the draw and the match schedule.

How is a coach’s share on private lessons worked out?

Each one-to-one session is logged with coach, court and player. At month end the share follows the rate agreed with that coach.

Can a parent with two children pay once?

Yes. One payment is split across the siblings’ accounts, and the receipt lists each child with the month it covers. No second payment is needed.

May we move our player list in from a spreadsheet?

Yes. Names, guardian numbers, batches and open balances are imported, and the desk checks the list against the register before play begins.

What does it cost?

Quotes follow court, venue and coach counts. A walk-through of the court grid and the batch screens comes first. A written proposal follows.

If we leave, can the records come with us?

Yes. Players, fees and batch history can leave as spreadsheets. The owner agrees the columns first. This happens before any work starts.
