Hospitality · Homestays and Guesthouse Management Software

One system for rooms, guests, deposits, meals and turnaround.

Everything a homestay or guesthouse does, from a message asking for dates to the receipt handed over at departure, sits in one system. Rooms and beds sit in one calendar, each guest has a register entry and a stay, and advance deposits are tied to the booking they hold. Meals, laundry and transport are added to the bill, and the helper sees which rooms to turn around from a phone.

  • Room types, season rates and house rules entered the way you let rooms
  • Existing bookings, deposits and guest history moved across before go-live
  • Rate and room changes made by our team when you ask

Rooms, guests and bills stay together for a homestay or guesthouse in Homestays and Guesthouse Management Software. A room and bed calendar prevents double sales, the guest register is filled at arrival, and deposits, meals and extras post to the stay. A housekeeping board shows which rooms need turning around.

Where it breaks today

What goes wrong before the software.

Rooms are sold from more than one calendar

A wall chart, a listing site and a message thread each hold dates. One night gets sold twice, and the host finds out when two parties reach the gate.

Deposits do not name their booking

An advance arrives by transfer or cash with a first name only. The host cannot match it to a room, so a hold lapses or a bill is wrong.

The register is written after arrival

Names, identity documents and times are recorded on loose cards late in the evening. Pulling one guest from last season means turning over a box.

Slips for extras are lost

Meals, an extra bed, laundry and a taxi are scribbled on slips. Some do not reach the bill at check-out.

Turnaround depends on a shout

The helper hears which room to strip from whoever is nearest. An early arrival finds linen still on the line.

Seasonal rates live in the host’s head

A festival weekend, a low-season discount and a long-stay rate are quoted from memory. Two enquirers hear two prices for the same room.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and quote

An enquiry arrives by phone, message or listing. Dates, party size and room type are logged, and a quote is built from season rates and per-person charges.

  2. 2

    Hold and deposit

The room is held for a set date. The advance is posted when it arrives, and the booking turns confirmed.

  3. 3

    Arrival and register

The guest fills an arrival card. Identity details and arrival times go into the register, as your local rules ask.

  4. 4

    During the stay

Meals, extra beds, laundry and transport are added to the stay. The helper marks rooms cleaned and linen changed.

  5. 5

    Check-out and bill

The bill is added up from the stay, the deposit is deducted, and a receipt is issued. Foreign guests can see an amount in their own currency.

  6. 6

    After the stay

The room returns to the calendar as turned around. A thank-you message and a review request go to the guest.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Room and bed inventory

Describe each room with its beds, bathroom, view and base rate. Mark dorm beds, family rooms and blocked days so the calendar matches the house.

Booking calendar

See every room and bed by date with holds, confirmed stays and blocks. A night already sold cannot be booked a second time.

Enquiries and quotations

Log enquiries with source and party size. Quote from season rates, per-person charges and long-stay terms, and keep each revised figure.

Online booking request page

Give guests a page to ask for dates and room type. Requests land as held enquiries for the host to confirm.

Guest register and arrival cards

Capture guest details, party members and identity documents as your local rules ask. Search a past guest by name or date.

Check-in and check-out

Record every arrival and departure, hand over keys, and settle the bill at the front desk. Late departures are noted.

Deposits, extras and receipts

Post advances against the booking and add meals, laundry and transport. Issue receipts and a final bill with deposits deducted.

Housekeeping and linen board

A board lists rooms to strip, make up or leave, and linen sent for washing. The helper ticks each from a phone.

Meals and menus

Record breakfast and dinner counts, diet needs and shopping needs for the day. Meal charges post to each stay.

Foreign currency billing

Show a bill in the guest’s currency using a rate you enter. The base currency and tax settings follow your country.

House expenses and utilities

Log groceries, power, water, repairs and helper wages against the house. See what each month cost beside what it earned.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Resource and Room Booking

Every room and dorm bed is shown by date with holds and confirmed stays, so a night already sold cannot be booked again.

  • Online Booking Portal

A request page lets guests ask for dates and a room type, and each request lands as a held enquiry for the host to accept.

  • Contact & Account Management

Each guest has one record with party members, identity documents and past stays, so a returning visitor is found by name.

  • Estimate/Quotation Management

A quote is built from season rates, per-person charges and long-stay terms, and each revised figure stays on the enquiry.

  • Receipts Management

An advance is posted against a booking number with date, amount and mode, and the receipt is issued at once.

  • Invoice Management

At check-out the stay turns into a bill with meals and extras added and the deposit deducted before the guest leaves.

  • Task Management

Each room to strip or make up becomes a task for the helper, ticked from a phone and visible to the host.

  • Multi-Currency Support

A bill can show a second currency using the rate the host enters, while the books stay in the home currency.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For hosts and owners

See tonight’s occupancy, deposits awaited, pending arrivals and the month’s income against house costs from a phone.

For whoever is on duty

Take enquiries, confirm holds, register arrivals and settle bills without hunting through diaries.

For housekeeping

Open the board for rooms to turn around, mark each done and note any linen or repair needed.

For cooks

See breakfast and dinner counts with diet notes, and list what to buy for the day.

For accountants

Receive bills, deposits and expense entries for the period in a form that can be exported.

Reports

The numbers the owner asks for.

  • Occupancy by room and by night
  • Bookings by source and by season
  • Deposits awaited and holds about to expire
  • Guest register for a date range
  • Meals served and extras billed by stay
  • Linen and room turnaround by day
  • House income against expenses by month
Good fit

Who this is built for.

  • Homestays where a family lets spare rooms to travellers
  • Guesthouses with five to fifteen rooms and a resident host
  • Hostels and dorm-style lodgings that sell beds
  • Farm stays and mountain lodges that include meals
  • Small bed and breakfast operators who take bookings from several listing sites
Honest answer

When it is not the right choice.

  • A host who lets one room on a few weekends can manage with a calendar and a notebook.
  • A property that runs a front desk, a banquet hall and several outlets needs Hotel Management Software instead, which is built around those departments.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Rooms, beds and rates

Each room, dorm bed and season rate is entered as you let it, including extra bed and long-stay charges.

House rules and register fields

Check-in times, deposit terms and register fields follow your house rules and the local requirements for guest records.

Meal plans and extras

Breakfast, half board and the extras you sell are defined once and posted to bills.

Currency and tax

Base currency, foreign display currency and tax lines are set for your country and reviewed with your accountant.

Messages to guests

Booking confirmations and arrival directions go over email, SMS or WhatsApp.

Hosted by GullySystem

We host the system, so the host, the helper and the family member on duty read the same calendar.

Common questions

Questions owners ask before a demo.

Will it stop a double booking?

Within the system, yes. A held or confirmed night cannot be sold again from the calendar. Nights sold on a listing site must be keyed in by you, unless a calendar link has been written into the quotation.

Can dorm beds be sold individually?

Yes. A dorm room holds several beds, each with its own price and date state. A guest can take one bed while the rest stay open.

How are deposits tied to bookings?

Each advance is posted against a booking number with the date, amount and mode. The hold date is shown beside it, and the room is released if the deposit is late.

What about guest identity records?

Identity details sit on the guest’s stay record, and a login shows them only to staff given that duty. Keeping periods and register layout are decided with your legal adviser, then entered by us.

Can the helper see only housekeeping?

Yes. A housekeeping login shows rooms to turn around and linen, and nothing about rates or income.

Does it work for a farm stay that serves meals?

Yes. Meal counts, diet notes and what to buy are recorded per day, and meal charges join each guest’s bill.

Can we move over our bookings from the wall diary?

Yes. Coming reservations, advances already received and earlier guests are typed in or read from a spreadsheet, then the host goes through them once before opening day.

Can I take my records out later?

The register, stays and billing belong to you. If you ever leave, the export layout you would receive is written into the quote and agreed before any build starts.

What does a project cost?

Pricing moves with how many rooms and users you run, plus any listing or payment link. Ask for a walk-through using your own room list, and the quoted figure comes after you have seen it.

Who helps when a guest arrives and something is wrong?

Support covers calendar, bill and register questions. Our staff handle a new room, a dorm split or a changed season rate when you ask. The host never has to edit anything behind the screens.
