GullySystem
Healthcare · Radiology Centre Management Software

One system for referrals, scan slots, reporting queues, image release and radiologist fees.

Run a radiology centre from one record per study. Referrals are captured with the clinical question, X-ray, ultrasound, CT and MRI sittings are booked by room, and preparation is confirmed before arrival. Radiologists work from a reporting queue, reports and images are released with a log, and fees and referrer shares follow from the signed studies.

  • Study types, rooms and slot lengths entered as your centre works
  • Referrer list and open studies migrated
  • Template and rate list edits handled by GullySystem staff when asked

Single-room scan centres and multi-site imaging groups use this system, and GullySystem configures it to their modalities. Front desk staff, radiographers, radiologists and the owner work from one record per study. It holds the referral, slot, preparation, acquisition notes, report status, image release and fee calculation. Reports are written and signed by radiologists.

Where it breaks today

What goes wrong before the software.

Referrals arrive on paper and by message

The clinical question is on a slip, a photo or a phone call. Whoever reports may never see it.

Rooms are booked separately

X-ray, ultrasound, CT and MRI each keep a slot register. A patient needing two studies is booked twice without a link between them.

Preparation answers are not recorded

Fasting, bladder filling, allergy history and recent creatinine are asked at the door. Nothing on file proves they were checked.

Reporting status is known by asking

A study sits acquired, in draft, awaiting a countersign or ready for printing. The desk learns which only by calling the reporting room.

Dose and repeats are not totalled

Rejected exposures and second acquisitions are recorded on a sheet by some radiographers. The centre cannot see repeat rates by room or technique.

Radiologist fees and referrer shares are reconciled by hand

Counts of signed studies per radiologist and shares per referring doctor come from printed lists. Disputes begin at month end.

How it runs

How the work flows through it, step by step.

  1. 1

    Referral

The desk records the referring doctor, requested study, clinical question and urgency, and attaches the written referral.

  2. 2

    Booking and preparation

A sitting is booked on a room and radiographer. Preparation steps and contrast checks are listed and confirmed ahead of arrival.

  3. 3

    Acquisition

The radiographer logs the technique, any repeat and its reason, and sends the study to the viewer under its accession number.

  4. 4

    Reporting

Studies enter a queue by modality and urgency. Reports are written from a template, and a second reader countersigns where the centre requires it.

  5. 5

    Release

The signed report goes out as print, disc or link, and the collection is logged. Each critical finding call to the referrer is recorded.

  6. 6

    Billing and payouts

The study is billed to the patient, hospital or company. Radiologist fees and referrer shares are worked out from signed studies.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Referral and order intake

Capture the referring doctor, requested study, clinical question and urgency, with the written referral attached to the order.

Modality schedule by room

Book X-ray, ultrasound, CT and MRI sittings by room and radiographer, with slot length set for each kind of study.

Preparation and contrast checklist

Record fasting, bladder filling, creatinine values, allergy answers and signed consent for each study before the patient enters the room.

Study worklist per modality

Show the day’s studies for each room in order, with patient details, requested protocol and accession number for the viewer.

Technique, repeats and dose record

Log exposure values, protocol, repeat reasons and the radiographer, so repeat rates can be read by room and by technique.

Reporting queue and templates

Assign studies by modality and urgency, with report templates per study type and draft and final states for each.

Sign-off and critical result calls

Record the signing radiologist, countersign where used, and each call made to a referrer about an urgent finding.

Image and report release

Hand over the report by print, disc or secure link, and log who collected it, when, and from which counter.

Billing by study and payer

Bill the patient, hospital or company by study, with rate lists per payer and statements for credit accounts.

Reporting fees and referrer shares

Work out each radiologist’s fee per signed study and each referrer’s share, using the rules the centre sets.

Contrast, film and consumables stock

Count contrast agents, film, gel and disposables with reorder levels, and note batch and expiry for each pack of contrast.

Scanner service and downtime

Keep service contract dates, breakdown entries and the studies moved to another room while a machine was down.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Appointment Scheduling

X-ray, ultrasound, CT and MRI sittings are booked by room and radiographer, and slot lengths differ by study type.

  • Workflow and Approvals

A report moves from draft to signed, with a second reader where the centre needs one, and each call to a referrer is logged.

  • Document Management

Signed reports, referral slips and consent forms attach to the study, and each print, disc or link released is logged with the collector.

  • Invoice Management

Each study is billed to the patient, hospital or company from that payer’s rate list, with statements for accounts on credit.

  • Commission and Incentives

A fee per signed study for each radiologist and a share for each referring doctor are worked out under the centre’s own rules.

  • Stock Tracking and Alerts

Contrast packs, film, gel and disposables are counted with batch and expiry, and the store is warned before the next list runs short.

  • Asset AMC Tracking

Service contract dates and breakdown entries for each scanner sit together, so the next visit and the studies moved are known.

  • Quality Control

Rejected exposures and second acquisitions are logged with a reason, so the centre reads repeat rates by room and technique.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the centre owner

See studies by modality and room, repeat rates, reports waiting, and payouts due to radiologists and referrers.

For radiologists

Open a reporting queue ordered by urgency, read the clinical question, use a template and sign. Your fee total for the month sits alongside.

For radiographers

Read the room’s worklist, tick preparation, log technique and repeats, and see the next patient and protocol.

At the front desk

Take referrals, book rooms, bill by payer, and release reports with a record of who collected them.

For the referring doctor’s liaison

Track studies sent by each referrer, see unpaid statements, and answer queries on report status.

Reports

The numbers the owner asks for.

  • Scans performed, split by modality and room
  • Unsigned reports, grouped by reader and urgency
  • Retakes counted per room, with the stated reason
  • Urgent finding calls to referrers, with time and caller
  • Reader fees earned from each signed study
  • Referring doctor shares still unpaid
  • Contrast packs and film running low
Good fit

Who this is built for.

  • Single-site X-ray and ultrasound rooms
  • Larger centres running CT and MRI beside plain films
  • Centres whose reporting is done by radiologists working off site
  • Imaging units attached to a hospital but billing corporate and walk-in payers
  • Imaging groups spread over several branches
Honest answer

When it is not the right choice.

  • A clinic that sends every patient out for scanning and only files what comes back owns no scanner to book and pays no reading fee. Little here would be used.
  • A centre that also runs a sample collection laboratory will find Diagnostic Centre Management Software covers that mixed set-up.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your rooms, protocols and slot lengths

We enter each room, each modality and the minutes a chest film, an ultrasound or an MRI takes, copying your booking habits.

Report templates

Your radiologists’ own templates are loaded. What the templates say is decided by the radiologists, not by GullySystem.

Fee and referrer share rules

Each modality has its own fee rule and each referring doctor a share rule, copied from today’s arrangement so the month-end statements agree with everyone’s expectations.

Studies and referrers migrated

Referring doctors, rate lists and open studies are brought from your registers or earlier software.

Viewer connection and hosting

The link to your image viewer is reviewed during implementation. GullySystem hosts the system for all branches.

Common questions

Questions owners ask before a demo.

Is it for imaging only?

Yes. It is built around rooms, modalities, reporting queues and image release. Centres with a sample laboratory may prefer the diagnostic centre product.

Can radiologists report from home?

Yes. A remote radiologist gets a login limited to the reporting queue, and the centre can see which studies are with whom.

How are repeat exposures recorded?

The radiographer picks a reason, such as positioning or motion, when the second acquisition is logged. Repeat counts then group by room and technique.

Does it store the images themselves?

Images stay in your viewer or archive. The record holds the accession number and a link that opens the study from the order.

Can a hospital or company be billed on credit?

Yes. Each payer has its own rate list and statement, and unpaid studies show at the desk before another is booked.

How does the system handle critical findings?

The radiologist flags the finding as critical, then the phone call to the referrer is entered with the doctor reached, the clock time and the caller.

Can radiologist fees differ by modality?

Yes. A rate is set for each study type and radiologist, and the monthly total is built from signed studies only.

How do we bring in our current referrer list and rates?

Referrers and rate sheets are loaded from a spreadsheet. Your accounts staff check the first statements before the system is used for billing.

Who owns the patient and study data?

The centre does. Handing studies and reports back is spelled out in the quotation, so the exit route is settled long before the first booking.

What does a radiology centre pay?

No fixed rate is listed. After a walk-through we quote against your rooms, reporting radiologists, branches and the old registers to bring across.
