The Booking Record, and Everything Hanging Off It

The token came in on Saturday evening. Three months later the bank wants the allotment letter, and the search runs through two drives and somebody’s mailbox.

What a booking pulls together

One record holds the buyer and the co-applicant, the unit, the agreed price, the token and the date. Behind it sit the payment schedule, the documents and the channel partner, if one brought the family. The enquiry it came from stays attached.

On the booking itself

Buyer and co-applicant

Both names, both sets of contact details, and the KYC collected for each. Home loan paperwork asks for the co-applicant more often than anyone expects.

The unit, marked booked

The flat or plot leaves the available list the moment the booking is created. No second family is shown it on Sunday.

Agreed price and token

What was actually agreed, against the listed rate. The token amount and the date it arrived are the first line of the ledger.

Documents in one place

Booking form, KYC, allotment letter, agreement for sale and loan papers, stored against the booking rather than emailed around the office.

What follows a booking

Creating it is the easy part. What comes after is where the office loses days.

  • The payment schedule, taken from the project’s plan
  • Instalment reminders before each due date
  • Channel partner commission at the rate agreed with him
  • Receipts recorded against the schedule, not against the buyer in general
  • The salesperson credited, for the month’s numbers
FAQ

Frequently asked questions

What happens to the enquiry after the booking?

It stays linked. You can see which portal or walk-in the booked buyer came from, how many visits it took and who worked him. That is how next quarter’s marketing spend gets decided.

Does it print the booking form or the agreement?

No. Those formats stay with whoever prepares them today. The signed copies are stored against the booking, and the details on the record are what the office works from.

Can two salespeople both claim one booking?

One is credited, the one attached to the lead when it closed. If a colleague covered the site visit that weekend, the visit record says so. Your sales head settles the split with both facts in front of him.
