The connections

Inspection visit reminders, quotations sent as documents, copies of the signed handover and warranty reminders can all go out over WhatsApp to the client or the builder’s site engineer. This needs a WhatsApp business account. Templates for outgoing messages must be approved first, which takes the provider’s own time.

SMS

Short messages carry the supervisor’s visit timing to the client and remind a builder’s accounts team about a bill that has stayed unpaid for some weeks. The sender name and the message templates are arranged with the SMS provider. The firm holds that account.

Email

Quotations, final bills and warranty documents go out from the firm’s own address. A copy is kept on the job.

UPI and payment gateway

Receipts that arrive through UPI are recorded against the right bill, whether the client is a homeowner paying an advance or a builder settling a running bill. A payment link on the invoice is optional. That relies on the payment gateway the firm already has.

Tally export

Bills and receipts can be sent out as an export for the accountant to use. Ledger names and layout are matched to the way the firm’s books are kept, which the accountant confirms.

What depends on the other system

A message goes out only if the provider’s account is live and the template is approved. A gateway payment is marked as received only when the bank or gateway confirms it. Each link can fail for reasons outside this system. Delivery reports appear where the provider returns them, and the office can then resend.

What stays outside

The system does not open accounts with these providers or pay their charges. Message and gateway fees are billed by the provider to the firm. Link-ups beyond this list need their own scoping and quote. Nothing is assumed.

Frequently asked questions

Will the system send WhatsApp messages by itself?

Yes, for the events the firm chooses, once the business account and the message templates are in place. Which events send a message, and to whom, is set during implementation.

Do we need a payment gateway?

No. UPI, cash and cheque receipts can be entered by hand against the bill, exactly as they arrive. A gateway is needed only for payment links printed on invoices.

Does the data go straight into Tally?

Not by default. An export is prepared for the accountant, and a closer link is quoted if the firm wants one.

Can biometric attendance be linked for the crew?

It can, where the firm uses a device at the yard. The device and its link are confirmed during scoping.
