One system for nursing admissions, ward postings, procedure logbooks, internal marks and fees.
Run a nursing college from one record per student. Admissions teams hold applications and seats, class coordinators plan lectures, skills lab sessions and ward rotations, and clinical instructors sign off procedures. Hours, internal marks and dues then show who is ready for the exam and who is short.
- Programme hours, procedure lists and posting wards entered as your college sets them
- Student lists, batches and fee balances migrated for the first check
- Edits to procedure lists and ward groups made by GullySystem staff on request
Nursing colleges, from a small diploma school to a degree college with a teaching hospital partner, use this system set up by GullySystem. Each student record carries hours of theory and practice, the procedure logbook, internal marks, fees and hostel dues, so exam eligibility is checked from entries made during the year.
What goes wrong before the software.
How the work flows through it, step by step.
- 1
Enquiry and application
A prospective student enquires, submits an application with certificates, and the admissions team records documents received and the seat offered.
- 2
Admission and fee plan
A confirmed applicant becomes a student in a batch. Tuition, kit and hostel instalments are scheduled and the first receipt is issued.
- 3
Timetable and rotation
Coordinators place lectures, skills lab practice and ward postings on one plan, with the instructor and room for each.
- 4
Attendance and logbook
Hours are marked by session type. In the ward, the instructor records each procedure a student performed and signs it off.
- 5
Assessment
Tutors enter unit test, assignment and practical marks, and the system adds them to the student’s internal total.
- 6
Exam release
The principal reviews hours, logbook, marks and dues in one list, then releases admit cards to students who meet the limits.
What is inside.
Every module can be switched on, left out or changed to match how your team already works.
The business modules it is built from.
Each one is also available on its own, or inside a system built for you.
- Lead Management
Every prospective student and the course asked for is logged, so admissions staff can follow each applicant from enquiry to a confirmed seat.
- Attendance & Time Tracking
Coordinators and instructors mark each session by type, and the totals show every student against the minimum hours for the programme.
- Resource and Room Booking
A batch books the mannequin room or a simulation bed for a slot, and a second group sees at once that it is taken.
- Task Management
Each care plan or case presentation is set as a task with a due date, and tutors see which students have not handed it in.
- Receipts Management
Instalments for tuition, uniform and hostel are receipted as they are paid, so the accounts desk reads one open balance per student.
- Document Management
Vaccination records, internship letters and completion certificates are filed on the student, ready when a hospital or council asks for them.
- Workflow and Approvals
Marks are checked by the coordinator and then released by the principal, so the admit card list carries a recorded approval.
- WhatsApp, SMS and Email Notifications
A change of ward, shift time or lecture room is sent to the students and the instructor affected, from the plan itself.

- All business solutions
One system, each person sees their part.
For the principal
Review hours, marks and dues in one list before admit cards, and see seats filled against the intake.
For class coordinators
Plan the term’s lectures, lab sessions and ward groups, and see which batch is under its hours.
For clinical instructors
See the group posted to your ward, the procedures each student still owes, and sign the entries made that day.
At the accounts desk
Issue receipts, follow instalments for tuition and hostel, and list students whose dues block the exam release.
For students
See your timetable, posting ward, hours so far, logbook entries signed and fees due.
The numbers the owner asks for.
- Hours of theory, lab and ward practice per student against the minimum
- Logbook procedures signed and still short, by batch
- Ward groups posted this term, by hospital and ward
- Internal marks summary for the university form
- Students holding open dues before admit cards
- Seats offered and filled against the intake
- Skills lab bookings and free slots by week
Who this is built for.
- Diploma schools of nursing and midwifery
- Degree nursing colleges attached to a teaching hospital
- Colleges that send students to several partner hospitals
- Nursing colleges with a hostel for women or men
- Post-basic and postgraduate nursing programmes
- Groups running more than one nursing campus
When it is not the right choice.
- A short certificate course in caregiving with a single instructor can run on a register and a receipt book.
- A medical college that also trains doctors will need a wider academic system than this one.

Questions owners ask before a demo.
Is this meant for nursing, or for any college?
Nursing. Ward rotations, the procedure logbook, clinical hours and hospital partners are part of the design. A general college system lacks them. Ask for a demo to see it.
How does the procedure logbook work?
The college enters the procedures each student must perform. The instructor records an attempt on the ward, and the student record shows each one signed or still short.
Can we plan ward postings for the whole term?
Yes. Groups are placed on wards by date alongside lectures and lab sessions, and a clash with an instructor or a class shows before the plan is saved.
Does it decide who can sit the exam?
It lists each student’s hours, logbook, marks and dues against the limits your college has entered. The principal makes the decision and releases the admit cards.
Can the skills lab be booked by batch?
Yes. Rooms and equipment such as simulation beds and injection pads are booked for a batch and a slot, so two groups do not arrive for the same mannequin.
Will hospital staff need a login?
Only if you want them to. A ward in-charge can be given a limited view of the group posted there, and the scope is agreed with the hospital.
How are existing student records brought in?
Students, batches and fee balances are imported from your registers or sheets. Past attendance can arrive as totals, and your coordinators check the first batch before term begins.
Who owns the student data?
The college owns it. Before work begins, the registrar sees in writing which file layout will carry student rolls and fee ledgers out of the system, so a later move stays possible.
What does it cost?
Enrolment, the programmes taught and the campuses covered shape the quote. Partner hospitals and ward groups, online fee payments, biometric or card attendance and the accounting export add scope, as does moving student rolls and fee balances. Nothing is published. The principal sees screens first, then a quotation prices each part.
Does a small school of nursing need this?
Maybe not yet. A school with one batch, one partner ward and a single instructor can often keep going on a register and a logbook for now. Send us your requirements first. If a register still does the job, our reply will tell you that.
How soon could class coordinators plan ward groups here?
Applications with the seat matrix, student records and batches, and the timetable with ward rotation would likely lead. Hours, the procedure logbook, marks and eligibility, and fees follow. The proposal names the order and sets dates for each stage.
What should the registrar and principal assemble first?
Assemble the admission register, batch lists, fee sheets with balances, the hours your programme requires, and the procedure list for each student. The partner hospital ward list and a logbook page work as samples. The principal, a class coordinator, a clinical instructor and the accounts desk each need to be reachable.

What happens after you share your requirements
- A senior engineer reads your answers. Nobody phones first.
- Within one business day you get a written note: what we understood, what we would start with, and the questions we still have.
- If it fits, a proposal follows with the order of work, what we need from you and what you receive at each step.
- No call is booked and nothing is paid until you have read the note. Your details stay with us.
