Education · Software for nursing colleges

Follow each student from admission through clinical postings to the final practical exam.

Nursing colleges teach in a classroom, a skills lab and a partner hospital, so each student has theory hours, practice hours and posting rotations to complete. The nursing college product keeps admission, attendance, postings, competency sign-offs, fees and exam eligibility on one student record. It is built for ward-based training.

At a glance

A nursing programme is half classroom and half ward. Students attend lectures, practise procedures on mannequins in the skills lab, then rotate through medical, surgical, maternity and community postings under a clinical instructor. Every student needs both.

The college must show that each student has completed the required theory hours, practice hours and listed procedures before an exam. Those counts usually live in a lecture register, a posting logbook and a fee ledger that never meet. Gaps show up late.

How the work runs today

The admissions office answers enquiries, collects application forms and certificates, and confirms the seat once the first instalment is paid. Class coordinators build the timetable around lecturers, the skills lab and the ward rotation, and they mark attendance at each session. Every desk keeps its own list.

Clinical instructors travel with a group to the partner hospital and record which ward the group worked in and which procedures each student performed. A student logbook is signed ward by ward. Lost pages come to light late.

The principal reviews hours, internal marks and dues before releasing exam admit cards. The accounts desk chases fees, and the hostel warden keeps a separate list of residents and mess dues. Hostel rolls differ again.

Where it breaks

What goes wrong for nursing colleges without a proper system.

Posting rotations clash with the timetable

A group of eight students sits in a lecture while the ward expects them on the morning shift. Rotation charts on a notice board do not show who is where. Clashes surface late.

Procedure logbooks are signed late or lost

Injections, dressings, catheter care and delivery assists are signed on paper pages. A student short of one listed procedure is found out near the exam. That is too late.

Attendance is counted across three registers

Lectures, skills lab sessions and ward hours are marked in separate registers. Nobody can say quickly which student has fallen below the required hours.

Internal assessment marks sit in many hands

Unit tests, care plan submissions and case presentations are graded by different tutors and rolled up by hand before the university form. Errors creep in.

Fee dues and hostel charges are tracked apart

Tuition, uniform, lab kit and hostel charges are recorded in separate books, so a exam admit card may go out with a balance still open. Nobody stops it.

What the software does

What we would build for nursing colleges.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Applications, seats and admission

Record each applicant, the documents received and the seat offered, then convert the confirmed applicant into a student with a batch and a fee plan.

Timetable, skills lab and ward rotation

Plan lectures, lab practice sessions and posting groups together, so an instructor, a mannequin room and a hospital ward are not booked twice.

Hours of theory, lab and clinical practice

Mark attendance per session type and see each student’s hours against the number the programme requires.

Procedure logbook and competency sign-off

List the procedures a student must perform, record each attempt with the supervising nurse, and show what is still short.

Internal marks and exam eligibility

Hold unit test, assignment and practical marks per student, and flag who meets the hours and marks needed for the exam.

Fees, hostel and receipts

Schedule tuition, lab kit and hostel instalments, issue receipts, and show the balance before a exam admit card is released.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions nursing colleges ask before they call.

Does it hold the clinical logbook that students carry between wards?

Yes. Each listed procedure becomes a line on the student record, and the supervising nurse or instructor confirms it. A printed logbook can still be carried to the ward if the hospital insists on paper.

Can hospital partners see our students’ postings?

A ward in-charge can be given a limited view of the groups posted to that ward. What each partner sees is agreed with the hospital and set up during implementation.

How do we know which students may sit the exam?

The system compares each student’s theory hours, practice hours, logbook procedures, internal marks and dues with the limits your college enters. The principal still decides who is released.

What happens to the paper registers we keep today?

Admission registers and fee sheets are imported so every student keeps a batch, a roll number and a fee balance. Past attendance can come across as totals per student. Your staff check the first batch before the term starts.

What changes the cost for a nursing college?

Programmes and batches come first, then partner hospitals, skills labs, and the staff and instructors who log in. Logbook sign-off, exam eligibility and hostel fees are separate parts. Paper registers are keyed in. The quotation shows a line for each piece.

What does a college assemble before the build begins?

Collect the admission register, a timetable, the posting rotation, a student logbook page, internal mark sheets and the fee ledger. Ask an academic coordinator, a clinical instructor and an accounts officer to review the screens.

Who keeps student and logbook records if the college moves on?

The college keeps its student file and the code behind it. Admissions, attendance, logbooks, marks and fees leave as plain files. Builders stay on for support. Hosting is with GullySystem unless the college prefers its own.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
