Education · Software for preschools and Montessori schools

Know which child is in the room, who may collect them and what each family owes.

Preschools and Montessori schools keep enrolment, daily attendance, parent updates and fees in registers, chat groups and a cash book. The software holds the child record, pick-up permissions, daily notes, fee plans and observations together. Teachers and the office read the same record.

At a glance

A preschool looks after very young children for a few hours or a full day. Each child arrives with an age group, a list of adults allowed to collect them, a note on food and health, and a fee plan. Front desk and classroom hold different parts of this. Neither sees the whole.

Records are usually spread across an admission register, a class file, a parent chat group and a fee book. None of them is wrong. Together they cannot say, at pick-up time, who is in the building and who is cleared to take a child home.

How the work runs today

The morning starts at the gate. A teacher or helper marks each child in, notes who dropped them and records any message from home, such as a cough, a missed breakfast or a change in who will collect. Late arrivals go on a separate sheet. Nobody reads it until noon, by which time the register and the sheet already disagree about who came in and when they arrived.

Inside the room, the teacher follows a theme or a work cycle and moves between small groups, keeping an eye on the child who has wandered off to the sand tray. Meals, naps, toilet visits and activities are noted for the day report. Observations on a child’s work, such as pouring, threading beads or matching sounds, go into a notebook that is filled in on a Friday evening.

At closing time the teacher hands each child to an authorised adult and sends a short summary to families. Fee notices for the term go out from the front desk, with charges added for extended care, meals or transport. Annual day, picnic and uniform charges join the same books at term start.

Where it breaks

What goes wrong for preschools and Montessori schools without a proper system.

Pick-up cannot be checked quickly

Authorised adults are listed on an admission form in a drawer. A new driver or an uncle at the gate cannot be verified until someone finds the file.

Daily reports depend on handwriting

Meals, naps and moods are noted on slips. Some are typed in the evening. Some families get a full summary and others get a single line.

Allergy and food notes stay in the office

A nut allergy, an inhaler or a food rule is written on the admission form. The assistant serving snacks has never seen that form. It stays in a file.

Observations are not kept by skill

Notes on a child’s work sit in notebooks by teacher and year. At a parent meeting, progress in sensorial or language work has to be rebuilt from three different books.

Fees have too many parts

Monthly fee, meals, extended care, transport, activity kit and sibling concession are priced separately. A clerk totals every family’s statement with a calculator. It takes days.

What the software does

What we would build for preschools and Montessori schools.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Enquiries, visits and admission

Log each enquiry and school visit, hold the waiting list by age group and move accepted children into enrolment with their forms.

Child record and authorised pick-up

Hold guardians, emergency contacts, authorised collectors with a photo, and food and health notes that teachers see on the class list.

Attendance with drop and pick-up

Mark arrival and departure for each child. Record who delivered and who collected, and flag a child not yet collected.

Daily report to parents

Record meals, naps, toilet visits and activities in the room, and send a summary to each family through the channel they choose.

Observations and progress by area

Note a child’s work by area, such as practical life, sensorial, language and number, and assemble a progress report for the parent meeting.

Fee plans, concessions and receipts

Set fee heads by programme, apply sibling concessions and extended care charges, and issue receipts and balance statements.

Staff rota and room cover

Roster teachers and helpers by room and compare the adults present with the children present, against the cover your regulator or school sets.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions preschools and Montessori schools ask before they call.

Can teachers see allergy and pick-up details from the classroom?

Yes. The class list shows food and health notes beside each name, and the pick-up screen shows the adults cleared for that child. Which staff can open the full health record is set during implementation.

Does it suit Montessori progress records as well as a play-based programme?

Yes. The observation grid can follow Montessori work areas such as practical life and sensorial, or a themed term plan, whichever your classrooms use. The headings are yours, so reports use the words your teachers already write.

Can parents see the day report on a page or a phone?

A parent login page and message summaries are both possible. What families can see is agreed with the school, and photographs appear only where your own consent records allow.

Is this needed for a single-room playgroup?

Probably not yet. A register and a messaging group are often enough for a dozen children. When fee plans, extended care and pick-up lists multiply, tell us how many fee plans you run and we will say if a system has earned its place.

How is a preschool system priced?

Pick the parts: enquiries and admission, child record with pick-up, attendance, parent reports, observations, fee plans and staff rota. Rooms, branches and how many staff log in shape the size. Parent messaging and fee gateway links add scope. We first demonstrate on your forms, then itemise each part.

What should a preschool prepare before work starts?

Please gather the admission form, an authorised pick-up list, the attendance register, a daily report sample, an observation sheet and the fee plan. After that, the principal, a lead teacher and office staff sit with us to test the screens and settle any questions.

Do child records stay with the school if it leaves?

They do. Every record and the program code are the school’s, and child files leave as plain documents when asked. The original builders keep supporting it. GullySystem hosts it unless you pick another home.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.

A few lines on your spreadsheets, software and WhatsApp groups is enough. We reply the same working day.

What happens after you share your requirements

  1. A senior engineer reads your answers. Nobody phones first.
  2. Within one business day you get a written note: what we understood, what we would start with, and the questions we still have.
  3. If it fits, a proposal follows with the order of work, what we need from you and what you receive at each step.
  4. No call is booked and nothing is paid until you have read the note. Your details stay with us.
