Set out the way your project is
Tower, floor and unit, or layout, phase and plot. Each one carries size, facing, the rate and its status. Open it on a phone at the site office and the status is current, not as of the last time somebody mailed the sheet around.
The four states a unit lives in
Available
Nobody has claimed it. It shows in the list a salesperson works from when a buyer asks what is left on the higher floors.
On hold
Held for a named buyer by a named salesperson. A hold can carry an expiry, so a unit blocked for a family that stopped answering comes back on its own.
Booked
Token received, booking created, buyer attached. The unit leaves the available list the moment the booking is made, not on Monday.
Sold
Fully closed. It stays visible for the record, with the booking and the salesperson behind it.
What the owner reads off it
One screen answers the question asked at every sales review.

Frequently asked questions
Can it handle plotted layouts as well as apartments?
Yes, and both are set up the same way. A layout has phases and plots with dimensions and facing where a tower has floors and units. Villa projects usually sit somewhere between the two.
Who can put a unit on hold?
Whoever you allow. Many builders let a salesperson hold for a short period and ask the sales head to approve anything longer. That rule is set during configuration.
Does it price the unit for us?
No. The rate and the agreed price are yours to enter. It carries the rate on the unit and the agreed price on the booking, and it will not stop you selling below your own list.
