Stores and Assets for Schools and Colleges

The stores module tracks lab equipment, furniture, uniforms and stationery stock. It records who received what and when, so the store can answer a question from the record.

What the store keeps track of

Lab equipment

Equipment used in the laboratories is listed in the store. The department and the store then work from the same count, and a missing item shows up as a difference.

Furniture

Furniture is recorded as an asset, with the room or the department it was sent to, so the school can say where a desk or a cupboard was placed.

Uniforms

Uniform stock is tracked as items, and each issue is noted against the student or the staff member who received it, so the store can see what is left. Stock is not guessed.

Stationery

Stationery is held as stock, and each issue to a department or to the office is entered when it is made. The balance is read from the record.

Who received what and when

Each issue is entered with the date, the item and the person who received it. A department head who asks what the store gave the department can be answered from the record. Nothing is searched in a notebook. Entries are made by whoever holds the store login.

Why stores sit with the school records

Stock is often kept in a register that only the store keeper reads. Here it sits in the same system as the student record, the staff files and the fees. The principal or the accounts office can open it without asking for a copy. What each role may see is set at go-live.

What the module does not do

  • It does not place purchase orders with suppliers
  • Reorder levels are for the school to set
  • Valuation and depreciation rules are for the school’s accountant
  • The opening stock list is loaded during implementation

Yes. Uniforms are one of the stock categories, and an issue can be noted against a student.

Yes. Each issue records the item, the date and the person who received it.

Does it handle purchase orders?

No. The module tracks stock and issues. How purchasing is done is left as it is today, unless the school asks for it to be scoped.

How does the opening stock get in?

The school’s existing list is loaded during implementation, and the store keeper checks the counts before go-live.
