Software Solutions for Smart Lock Sellers

A smart lock only works if it suits the door. Thickness, the existing lock type, the direction the door opens and the strength of the frame all decide whether a model fits. Sellers online therefore run a door check, an installation visit and a handover of codes and keys before an order is complete.

At a glance

Check the door before the lock ships, and fit it before the order is closed.

A buyer who wants to stop carrying keys may own a glass door, a metal gate or a mortise lock. Each needs a different product, and a wrong guess costs a visit.

Businesses and operating models

Brands with partner installers

A brand sells online and sends the order to an installer in the buyer’s city for fitting.

Security retailers who fit their own

A retailer sells locks online, checks the door by photo or visit and sends its own technician.

Distributors serving builders

A distributor supplies locks for apartment blocks, where dozens of doors are ordered at once and keyed alike.

How an order moves

The workflow for smart locks.

  1. 1

    Door fit questions

The buyer answers questions about door material, thickness, handing and the existing lock, and may upload a photograph.

  2. 2

    Model recommended

Only locks that suit those answers are shown. A door that no model fits is flagged before payment.

  3. 3

    Site visit booked

A fitter is booked, and the lock is dispatched to the buyer or sent directly to the fitter.

  4. 4

    Fitting and credential setup

The fitter mounts the lock, enrols fingerprints or sets codes and records the visit on the job.

  5. 5

    Handover and spare keys

Mechanical keys, spare batteries and the master code are handed over, with the buyer’s signature on the job.

Where it breaks

The challenges, and what they cost.

The lock does not fit the door

A model chosen from a photograph fails at the visit. The fitter has made the trip and the buyer has lost a day.

Fitter and box are in different places

The lock arrives at the buyer’s home but the fitter expected it at the shop. Neither knows where it is.

Codes and keys are untracked

Master codes and spare keys are written on paper. After a dispute nobody can say who was given what.

Batteries and keys run out

A buyer needs a replacement battery or a spare key months later and cannot identify the model.

Requirements to assess

What is specific to this trade.

These are requirements we would confirm in discovery. They describe what the solution may need to handle. They are not features that already exist.

  • A door questionnaire that maps answers to fitting models
  • A fitting job created for each lock order, with a fitter assigned
  • A handover record that never exposes codes to staff who do not need them
  • Spares matched to whichever model sits at a given address
Recommended modules

What we would build for smart locks.

Chosen from the commerce capabilities this business needs, not a list of everything.

Door fit questionnaire

Door and lock details gathered at checkout and matched to models that fit.

Visit and job record

A fitting job per order, with address, slot, fitter and a completion note.

Credential handover log

A record of keys, cards and codes given, without storing the codes themselves in plain form.

Spares and batteries

Replacement keys, batteries and parts linked to the lock the buyer owns.

Serial register and warranty

Each lock’s serial against the order, the install date and the warranty period.

Users and permissions

Who works in the system, and what each can do.

Fitting coordinator

Assigns fitters, confirms slots and closes jobs when the handover is signed.

Fitter

Sees the job, the door answers and the lock, and records what was installed.

Support agent

Finds the lock from an address or serial and arranges spares or a return visit.

Integrations

What it would connect to.

An integration is confirmed only after its API, access and scope are checked. A connection that updates on a schedule is described as scheduled, not real-time.

  • A field-service or job tool for fitters, after its interface is reviewed
  • Payment methods that allow a fitting fee to be added to the order
  • Visit reminders by email, with a WhatsApp channel as an option
Implementation

How the work runs, and what we need from you.

What you provide

  • Your door questions and which locks suit which answers
  • Your fitters, areas and visit lengths
  • How you hand over keys and codes today

Write the door rules with your fitters

The people who attend visits know which doors fail, so their answers become the questionnaire.

Run live visits in one area

A single city goes first, and the failed-fit rate is read before other areas open.

Deliverables

What you receive.

  • A door fit questionnaire and model rules
  • Fitting jobs and the handover record
  • Spares and battery lookup
Measurement

How progress is judged.

Measures are agreed against your own baseline. We do not promise a result in advance.

  • Visits that ended because the lock did not fit
  • Spare orders matched to a known lock
India and international

Selling at home and abroad.

Door standards, frame materials and lock types differ by country, so the questionnaire is set for each market. Rules on keeping access records follow your adviser’s specification.

Suitable software

Smart Lock E-commerce & Fitting Management Software

Custom software solution

No existing GullySystem product sells locks with a door check and fitting job attached, so the software would be custom. The installer’s side can use an existing field-service product where it suits.

Common questions

Questions about smart locks e-commerce.

Can a buyer fit the lock themselves?

Where you allow it, yes. The order then skips the fitting job, and the instructions and a support route are shown instead.

Does the system store door codes?

No. It records that a code was set and who was present. The code itself stays with the buyer and the lock’s own app.

Does the system open the lock remotely?

No. Remote control belongs to the maker’s app. This software handles the sale, fitting job, spares and warranty.
