Report cards take a week of typing, and the fee register never matches the class list.
A school or college runs admissions, fee instalments with concessions, daily attendance, exams and bus routes out of separate registers, so the office retypes the same names all year. GullySystem adapts its school and college management system to your classes or semesters, fee heads, exam pattern and routes, so everything hangs off one student record. It starts with a free technology audit.
A school’s year turns on three busy stretches: admission season at the gate, the fee instalment date, and the fortnight after the exams.
In between, the same child’s name is written into a dozen registers. Our school and college management system keeps one record per student, from the first enquiry to the leaving certificate.
Admission enquiries come to the gate and on the phone, go into a notebook, and are chased when somebody remembers. The child’s details are then copied into the class register, the fee register and the bus list.
Fees come in instalments, and a concession for a sibling or a staff ward is written on the file rather than in the ledger. The clerk works out a balance by flipping pages.
Teachers mark attendance in a register and send it to the office at month end. Marks arrive on slips from each subject teacher, and report cards are typed section by section.
What goes wrong for schools and colleges without a proper system.
Concessions live on the file, not in the ledger
A sibling concession agreed with the correspondent never reaches the fee clerk, so the parent gets a demand for the full instalment.
The fee register and the class list disagree
A child who left in June is still in the ledger and a mid-year admission is missing, so the pending figure is never right.
Report cards eat a fortnight every term
Marks come from a dozen teachers in a dozen formats, and the office retypes them while parents ask when results will be given.
Nobody can say who is on which bus
The route list is with the driver and the transport fee with the clerk, so a child who changed stops in November is missed by both.
What we would build for schools and colleges.
Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.
Admission enquiries and admissions
Every enquiry with the class sought and a follow-up date, and the admitted child’s documents on their own record.
Fee heads, instalments and concessions
Tuition, transport, lab and hostel fees set per class and split into instalments, with concessions and late fees on the ledger.
Attendance by class or period
Teachers mark students from the classroom, staff leave is kept the same way, and monthly reports come without a register count.
Exams and report cards
Your exam pattern and grading set once, subject teachers entering their own marks, and report cards generated section by section.
Transport routes and stops
Routes, stops and vehicles with each student against a stop, the transport fee linked to the route.
Messages to parents
Absence alerts, fee reminders, circulars and exam dates sent from the student record to one class or one child.
Ready products that fit schools and colleges.
Each one is adapted to how your business works before it goes live, and anything your trade needs that it lacks is added then. You are not paying to build the basics again.

Does it work for a degree college as well as a school?
Yes. A college is set up with semesters, courses and subject combinations instead of classes and sections, while admissions, fees, attendance and exams work the same way.
Will our accountant still work in Tally?
Yes. Fee receipts and expenses export as entries for Tally, and most institutions keep Tally for the books while fees, concessions and dues stay here.
Can parents pay the instalment online?
Yes, once your payment gateway is connected at set-up. The receipt posts to the student’s ledger at once, and because concessions are already on the ledger the amount asked is right.
Does it make us CBSE or state board compliant?
No. Compliance is about how the institution is run, not about software. It keeps admissions, attendance, marks and fee records in one place, so an inspection does not begin with a search.
What happens in the free technology audit?
We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.
How much will the software cost?
We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
