Manufacturing · PPE Manufacturing Management Software

One connected system for orders, production lots, quality records and dispatch.

Run PPE buyer orders, production planning, raw material lots, in-process checks, test reports, certificates, dispatch and invoices together in one system. Each lot carries its materials, its quality results and its destination from receipt of fabric to delivery of the carton. Planners, quality staff and dispatch work from the same records.

  • Your product range, raw materials and production lines are entered to mirror the plant
  • Existing buyers, open orders and unpaid balances are carried over
  • GullySystem staff change products, test checks and stages whenever you ask

For makers of masks, gloves, gowns and coveralls, PPE Manufacturing Management Software holds orders, production lots, quality checks and dispatch, configured by GullySystem. Each finished lot links to its raw material lots, its test results and its release. Certificates and expiry dates sit with each product. Large orders delivered in parts show the balance still to ship.

Where it breaks today

What goes wrong before the software.

Raw material lots are not linked to products

Supplier lot numbers sit on delivery slips. Finding which fabric or compound went into a carton means reading old paper.

Quality results live in separate files

In-process checks, lab results and release decisions are on sheets or in a quality folder. They are not attached to the lot they describe.

Production plans ignore stock and machine hours

Orders are loaded onto lines from a sales summary. Material on hand and changeover time are checked by walking to the store.

Shelf-life dates are untracked

Product certificates, test reports and expiry dates are kept as documents in folders. A buyer finds the lapse first.

Part deliveries are hard to follow

A buyer orders one large quantity and takes it in parts. Shipped, pending and invoiced quantities sit in three lists that rarely agree.

Complaints cannot be matched to a lot

A buyer reports a fault with a box. Without the lot number on record, a whole month of production comes under question.

How it runs

How the work flows through it, step by step.

  1. 1

    Order

A buyer’s order or tender is entered with product codes, quantities, delivery schedule and price. Call-off quantities are tracked against the total.

  2. 2

    Plan

Planning loads the order onto a line and a shift, checking material on hand and machine hours before the run is confirmed.

  3. 3

    Material receipt

Stores receive fabric, compound, elastic and packing against purchase orders, record the supplier lot and release the material after the gate check.

  4. 4

    Production and checks

Operators log output by line and shift. Quality staff record in-process checks and lab results against the lot.

  5. 5

    Release and packing

A lot is released when its checks are complete. Cartons are packed and labelled with the product code and lot number.

  6. 6

    Dispatch and billing

Goods are dispatched against the buyer’s schedule. Invoices follow what has shipped, and complaints are matched back to the lot.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Buyer accounts and tender orders

Hold distributors, hospitals and industrial buyers as accounts with their orders, delivery schedules, price lists and credit terms.

Product specifications and bills of materials

Define each product with its materials, quantities and packing, so a production run draws the right stock.

Production planning by line

Load confirmed orders onto lines and shifts. Material on hand and machine hours are shown before the plan is fixed.

Work orders and shift output

Issue a work order for each run, log output and rejects by shift, and see progress against the target without a walk of the floor.

Raw material lots and goods receipt

Record material against each purchase order with the supplier lot, check it at the gate and release it to stock.

Stock and warehouse locations

See raw material, work in progress and finished goods by location, with reorder levels for fabric, compound, elastic and cartons.

Supplier purchasing

Send enquiries to material suppliers, compare rates and raise purchase orders from reorder levels or from the production plan.

Lot traceability

Link each finished lot to its material lots, its machine run and its dispatches, so any lot can be traced forward and back.

Quality checks and test records

Record in-process checks, sample tests and release decisions against the lot, with lab results attached.

Document register for certificates

Keep product certificates, test reports and shelf-life dates against each product, with a reminder ahead of expiry.

Dispatch, call-offs and invoices

Dispatch against the schedule, draw down large orders in parts and raise tax invoices from what has shipped.

Returns, complaints and recalls

Log each return or complaint against the lot, with the reason and the action taken, and list every buyer who received that lot.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Order Management

Large and part-delivered orders are held with their schedules, so sales can see the quantity shipped and the balance still owed to the buyer.

  • Bill of Materials

Each mask, glove or gown lists its fabric, compound, elastic and packing quantities, so a production run issues the correct material.

  • Production Planning

Confirmed orders are loaded onto lines and shifts against material on hand, so changeovers and shortages show before a run is fixed.

  • Work Order Management

A work order opens for each run, and operators log output and rejects by shift against the target quantity.

  • Batch and Serial Tracking

Every finished lot links to its supplier material lots, machine run and dispatches, so a carton can be traced forward and back.

  • Quality Control

Gate checks, in-process samples and lab results are recorded against the lot and decide whether it is released or held.

  • Goods Receipt (GRN)

Fabric, compound and elastic are checked against the purchase order on arrival, with the supplier lot recorded before the material enters stock.

  • Document Management

Certificates and test reports sit against each product with their expiry dates, and a reminder goes out before a document lapses.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners and plant heads

See orders to ship, lots in production, stock of key materials and balances owed by buyers.

For planners

Load orders onto lines, check material before confirming and follow output against the plan.

For quality staff

Record checks and test results, release or hold a lot and keep the documents each product needs.

For stores and purchasing

Receive material with its lot, issue it to runs and order more when stock falls to its reorder level.

For sales and dispatch

Enter buyer orders, follow call-off balances, book dispatches and raise invoices.

Reports

The numbers the owner asks for.

  • Lots in production and awaiting release
  • Orders to ship and call-off balances
  • Raw material stock against reorder level
  • Rejects and rework by line and shift
  • Test results by product and lot
  • Certificates and documents nearing expiry
  • Buyer balances, oldest first
Good fit

Who this is built for.

  • Manufacturers of masks, respirators and filtering face pieces
  • Glove makers working in nitrile, latex, vinyl or work gloves
  • Makers of gowns, coveralls and protective clothing
  • Producers of face shields, safety eyewear and hard hats
  • Makers of safety footwear selling to distributors and institutions
Honest answer

When it is not the right choice.

  • A small workshop that stitches a few protective items to order can manage with a stock book and a quality sheet.
  • Makers whose main product is a clinical medical device or a general engineered product will find Medical Device Manufacturing Management Software or Specialised Manufacturing Management Software closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Products and materials

The product range, fabrics and compounds, pack sizes and bills of materials are entered first, following how a batch is made now.

Lines, shifts and stages

Your lines, shift rota and the inspection at every stage are laid out to mirror the plant floor.

Quality checks and documents

The checks, test fields and certificate types you hold are configured with you, and reviewed against your own quality procedures.

Records migrated

Your spreadsheets or present system supply the buyer list, orders still open, stock on hand and invoices still owing.

Currency and tax settings

Currency, tax invoice layout and export paperwork differ from one country to the next, so we agree each of them with you during the build.

Hosted by GullySystem

GullySystem hosts the system, so planning, quality, stores and dispatch read the same records. Edits come from GullySystem staff.

Common questions

Questions owners ask before a demo.

Is it for masks, gloves, gowns or all PPE?

All of them. Each product has its own specification, materials and checks, and a plant making several products runs them from the same system.

Can we trace a finished lot back to raw material?

Yes. Supplier lots are recorded at receipt and linked to each production run. A finished lot shows its materials, checks and dispatches.

Can quality results and test reports be attached to a lot?

Yes. In-process checks, sample tests and lab results are saved against the lot, and a report can be sent to a buyer from the record.

Does it help with certificates and shelf life?

It keeps the documents and dates against each product and reminds you before they lapse. Which certificates and standards apply to you is reviewed during implementation.

Can it handle large orders delivered in parts?

Yes. An order or tender holds a total quantity, and each dispatch draws it down. The balance still to ship is shown to sales and the plant.

Can it print labels with lot numbers?

Yes. Labels carry the product code, lot and any fields your buyers ask for. Label layouts are set up with you.

Can open orders and stock be moved in?

Yes. Buyers, open orders, stock and unpaid invoices are imported from your spreadsheets, and the quality and sales staff compare the imported lots with the shelf before production is switched over.

Who owns the data?

You do. Which file format carries your batch and certificate records out of the system is written into the quotation at the outset.

What does it cost?

No price is published. Price follows users and lines covered. You see a demonstration with sample batch records and test certificates before anything else, and the proposal that follows gives the figure.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
