Who opens the folder
The paperwork clerk checks which papers are missing before filing. A service technician opens it years later to see what was fitted. The owner can look up any site by customer name or phone number. Each person opens only what the job needs.
Missing papers
A document checklist per job shows what is held and what is not. Files stall when a customer’s paper is absent, so the list is visible to the person who calls the customer.
What the folder does not do
- It stores scans. It does not verify that a document is genuine.
- Which papers a DISCOM or a scheme asks for is confirmed with you during scoping.
- Customer privacy rules for your business are for you and your advisor to decide.
- Paper originals still need to be kept where your office keeps them.

Yes. Surveyors and crews attach photos from site, and each one is placed in the folder against the job.
Is there a list of papers needed for each job?
Yes. The checklist is set with you, and a job shows which papers are still to come. Missing papers are flagged.
Can a customer with two sites have two folders?
Yes. One customer record can hold several sites, each with its own folder and plant.
Can old customer files be loaded?
Yes. Existing scans and registers are brought in during migration, and the office checks them over ahead of launch.
