Enquiry and Site Survey Records for Rooftop Solar Installers

Each enquiry gets a record, a surveyor and a survey sheet. Roof details, shadow notes, sanctioned load and photos are held against the customer, ready for the proposal that follows.

From the first call to a survey visit

Enquiry log

Calls, referrals, website forms and walk-ins are entered with the source, the customer’s address and the kind of plant they have in mind, whether on-grid, off-grid or hybrid.

Surveyor assignment

The office gives each enquiry to a surveyor and a date. The surveyor sees the address and the customer’s phone number before leaving. The visit is booked, not assumed.

Follow-up dates

An enquiry that has not reached a survey shows on a pending list, so the sales team knows whom to call back. Nothing is left to memory.

What the survey sheet holds

The surveyor fills the sheet on a phone at the roof. Nothing needs to be copied from a notebook later.

Roof and structure

Usable area, roof type, direction, tilt, parapet height and the condition of the slab or sheet are recorded, with photos. Photos go on the same sheet.

Shadow and obstructions

Water tanks, nearby buildings, trees and staircase rooms that cast shade at different hours are noted against the roof.

Electrical particulars

Sanctioned load, phase, the meter and the distance from roof to the main panel are recorded for the proposal.

What happens next

A completed survey opens the proposal screen with the roof details already filled in. The proposal writer works from the sheet and does not need to call the surveyor to ask what was seen.

What the survey sheet does not do

  • It does not size the plant by itself. That is done in the proposal.
  • It does not judge whether a roof is structurally sound. The surveyor’s view is recorded.
  • The fields on the sheet are set with you, to match how your surveyors work today.
  • Drone or shadow-analysis tools are outside the product unless scoped separately.

Can a surveyor fill the sheet without a network?

What works offline is confirmed during scoping. Many roofs have poor signal, so the surveyor can note details and upload photos once back in coverage.

Are survey photos kept with the customer?

Yes. Photos stay on the survey sheet, and they are visible later to the proposal writer and the installation crew.

Can enquiries be split by source?

Yes. Each enquiry carries its source, which tells the owner which referral or channel brings jobs that reach installation. The source list is yours to define.

Can the survey sheet match our own checklist?

Yes. Fields are set up around the questions your surveyors already ask, and our team changes them on request.
