Student Records and Health Notes for Yoga Studios
Every yoga student has one record with contact details, goals, injuries, plan history and attendance. Teachers read the health notes before class, and the desk reads the plan before billing.
What a student record holds
Who opens the record
The desk opens it to sell a plan or take a payment. Teachers open it to read the health notes for the class they are about to take, often just before the batch starts. The owner reads it to see who has joined, who is regular and who has gone quiet over the last few weeks.
How it feeds the next step
The record is what a booking attaches to. A student who books a class carries her plan, her notes and her attendance count into that class, so nobody has to look them up again. Renewal lists also come from here.
What the record does not do
It holds the notes a studio writes down. It is not a medical file. It does not judge whether a posture is safe for a given condition. The teacher decides that in the room. What the studio asks students to declare is its own choice.
Frequently asked questions
Who can read the health notes?
The roles agreed with the owner during implementation. A common setting lets the desk and the assigned teacher read them, while other students see nothing.
Can a student update her own details?
Yes, where the studio switches that on. Otherwise the desk edits the record when a phone number or address changes.
Are former students kept on the list?
Yes. A student who has left stays on the record with her history, and the studio can write to her again when a new batch opens.
How are existing students brought in?
Names, phone numbers and pass balances are imported from the register or current software. Before launch, the desk checks the imported list.
