What goes wrong before the software.

The timetable lives in a printed sheet

The weekly schedule is on a wall chart and in a group message. A change of teacher or hall reaches some students and not others.

Attendance is kept in a register

Names are ticked on paper at the door. Counting how many sessions a student has actually used means going through several pages.

Pass balances are not written against the student

A student paid for ten classes and believes four remain. Without a record, the balance is settled by memory at the desk.

Renewals are noticed late

A monthly membership ends and the student stops coming. Nobody had a list of whose plan was about to lapse.

Teacher payouts are worked out by hand

Some teachers are paid per class and some per head. Matching each class taken to the right rate is done on a calculator at month end.

Workshop and course payments sit in separate lists

Teacher training batches, weekend workshops and regular classes are tracked in different files. A student’s full payment history is not in one place.

    Enquiry and trial

    An enquiry arrives by phone, WhatsApp or the website. The desk books a trial class and records the student’s goals and any health note.

    Joining

    The student picks a monthly membership, a class pass or a drop-in. The payment is recorded and the plan starts on the date chosen.

    Booking

    The student reserves a place in a batch. A full class opens a waitlist, and a cancelled place goes to the next name.

    Class

    The teacher opens the class on a phone and marks who is present. One session comes off the pass or the day is counted against the membership.

    Month end

    Classes taken by each teacher come together with the rate agreed for them, ready for payout.

    Renewal

    Students whose plan is ending are listed, and a reminder is sent through WhatsApp, text message or email.

Common questions

Questions owners ask before a demo.

Is this only for yoga, or for any fitness studio?

It is set around yoga: styles, batches, class passes and teachers paid per class. For a pilates room or a gym floor, Pilates Studio Management Software and Gym Management Software fit that work better.

Can students book a mat in a class?

Yes. A student reserves a mat in a batch, and a full class opens a waitlist. Cancelled places go to the next name on it.

Does it count pass sessions, and can a plan be frozen?

Each class attended comes off the pass, and the desk sees sessions left and the expiry date. A freeze is recorded against the plan with the dates it covers, and the desk sets the day the plan now runs to.

Can teachers be paid per class or per student?

Yes. The rate for each teacher is matched to how you pay today, and the month’s payout is worked out from the classes taken.

Is check-in by QR code or a biometric reader?

Students are marked present on the teacher’s phone or at the desk, and a QR code can be scanned at the door. Fingerprint, face and RFID readers are not connected to it.

Does the renewal reminder reach a student on WhatsApp?

Students whose plan is ending are listed first. The desk sends the reminder from that list over WhatsApp, text message or email. Nothing leaves the studio until someone sends it.

Can we run online classes too?

Yes. A class can be marked as in the studio, online or both. The link you already use is shared with the students who booked.

Can it feed Tally?

Not built in. Collections and invoices remain on record for your accountant to use. A Tally export is a quoted extra, fixed in the first workshop.

What does it cost?

No price is published. It depends on teachers, halls and set-up, so a demonstration comes first and the figure arrives in a written proposal.

Do we need this for a studio with one weekly batch?

Probably not yet. Without passes to count or teachers to pay, a register and UPI will do. A free technology audit can say so plainly.
