Run every matter from intake to final bill, with time, documents, deadlines and client money in one place.

Law firms, intellectual property practices, company secretaries, tax consultants and accountancy firms all sell professional time against matters and filings. Each matter’s documents, deadlines, hours and invoices sit together on one record in the software covered here, and staff see only what their role allows.

At a glance

These trades bill expertise. A personal injury firm works on a case with a long timeline. An IP firm manages a portfolio of marks and patents with renewal dates, and a general law firm opens a matter for each client instruction. Company secretaries and accountancy firms run the same idea as a calendar of filings, returns, resolutions and meetings for each client they act for.

Every matter produces the same kinds of record. There is an intake form, a conflict check, an engagement letter, a set of documents, a list of dates, hours recorded by each fee earner and an invoice. Tax consultants and chartered accountant firms add working papers and a checklist of what the client still owes.

Confidentiality shapes the whole system. Partners, associates, paralegals, clerks and accounts staff each need a different view of the same matter, and some matters must be walled off from the rest of the firm. Who sees what is decided first.

The trades

Software for each kind of legal services business.

Law firms

Law firms run on a case diary, the clerk’s notes from the cause list, files in almirahs and client updates on WhatsApp, so hearing dates and limitation periods slip. A matter and hearing system is built around the way your chamber already works, with fee notes raised from the work recorded in it. The diary stops being one person’s property.

Personal injury lawyers

Personal injury firms run on case files that grow for months or years. Medical records, bills, insurer letters, liens and deadlines all belong to one claimant. The software for personal injury lawyers holds intake, case stages, treatment records, demand packages, settlement splits and fee bills in one system, so each case can be read in a minute.

Intellectual property law firms

IP law firms track trademark and patent deadlines in an Excel docket fed by portal checks and email, where one missed reply can cost a mark. Docketing, renewals and client tracking are set up around your practice. Portfolio reports and foreign-currency associate billing are added on top of the product at set-up. Each deadline carries the name of the person responsible.

Company secretaries

Company secretaries track ROC due dates in Excel, keep DSC tokens in a drawer and chase documents on WhatsApp, so filings bunch up around September. A compliance calendar and a workspace per company record every annual and event-based form due, every document asked for and every reminder sent. The filing reference and the payment receipt go back against the filing once you file.

Tax consultants

Tax consultants file income tax and indirect tax returns from portal logins, a client register with tax numbers, and documents sent as messaging photos, so papers arrive late and fees arrive later. A client, document and filing tracker built for a tax practice puts that in order, from the first reminder in June to the fee still unpaid in October.

Chartered accountant firms

Chartered accountant firms run indirect tax, withholding, income tax, company filings and audit work on accounting software, government portals and an Excel tracker, with client documents arriving on WhatsApp. The practice layer adds jobs by due date, document requests with counted reminders, staff time against fees and a partner view of what is stuck and why.

What they share

Where these businesses lose time and money.

Deadlines sit in personal calendars

Hearing dates, filing windows, renewal fees and return dates are held by individuals. When one person is away, a date is missed.

Time is recorded late or not at all

Calls, drafts and meetings are remembered at month end, if at all. Billable hours leave the firm unbilled.

Documents are spread across drives and inboxes

Pleadings, drafts, working papers and signed letters live in email threads and shared folders. The latest version is a matter of asking.

Client money is tracked on the side

Retainers, advances, filing fees and settlement funds are kept in separate sheets by different people. Matching them with invoices is slow. Errors in client money are costly to find.

Clients ask for status and get silence

Updates depend on whoever has the file. The client calls. The answer waits for a search through emails, notes and folders held by several different people.

What the software does

What we build across legal services.

One matter file for each instruction

Open a matter with parties, fee earner, engagement terms and conflict check, and attach every document, note and message to it.

Deadlines with owners and warnings

Record hearings, filing dates, renewals and return due dates against a named person, with reminders sent to them and to a supervisor.

Time and expenses captured as they happen

Log hours and disbursements from a phone or desk against the matter, then turn them into invoices on hourly, fixed or contingency terms.

Client account kept apart from the firm’s

Hold retainers, advances and settlement funds in their own ledger per client, and tie each draw to an invoice or a payment out.

Checklists for recurring work

Build templates for returns, annual filings, trademark renewals or case stages, and list what the client has yet to send for each one. Nothing is chased by memory.

Confidential by role and by matter

Limit each file to the team on it, support ethical walls between matters, and log every opening and change of a document.

Common questions

Questions legal services businesses ask.

Is there a single product for all these practices?

No. General law firms and IP firms share a case management product, personal injury firms have their own, and tax consultants and accountancy firms use a practice management product. Company secretarial practices get a build made to order around their filing calendars.

Does it give legal or tax advice?

No. It records matters, documents, dates and billing for the professionals who give advice. The judgement and its consequences stay with them.

Can it connect to a court, registry or tax portal?

Not on its own. Each authority has its own filing method and format, so any link is scoped per jurisdiction and per portal, and offered only where the portal allows it. Filed copies and acknowledgements can still be stored against the matter.

Who can open a matter?

Only the people you assign, by role and by matter. A paralegal may see documents and tasks, while billing rates stay with partners and accounts. Every opening and change is logged against the person who made it.
