Service Contracts and Call-backs for Electrical Contractors

Maintenance contracts and fault calls are kept against each client and building. Visit dates, the technician sent and the work done are recorded, so the next visit is never held in memory alone.

Maintenance contracts

Many electrical firms look after the buildings they wired, and a contract record keeps the terms, the equipment and the visits in one place.

Contract terms

The client, the building, the equipment covered, the start and end dates and the visits promised are entered once. Renewal dates appear before they fall due.

Scheduled visits

Quarterly or monthly checks of DBs, earthing and lighting are listed for each contract. A missed visit appears on the owner’s list.

Equipment list

Panels, UPS units, changeover switches and generators covered by the contract are listed with their location. A visit report refers back to them.

Fault calls and call-backs

A client phones with a tripping MCB or a dead circuit, and the call is logged with the building, the fault as described and the time it came in.

Assigning a technician

The office assigns a technician and the call appears on that person’s phone. Calls from contract clients are marked, so they are attended first if the owner chooses.

Work done and parts used

The technician records what was found, what was repaired and which parts were fitted. Parts come off the store balance.

Repeat faults

A circuit that fails twice in a month shows up when the fault history of the building is opened. The owner can then ask for a proper check.

From visit to invoice

A visit under contract is not billed again. A chargeable call-back produces a service bill from the same record, with the parts and the labour listed as separate lines for the client. Free repairs inside a warranty period are tagged, so the cost is still known.

What the contract record leaves to you

Response times promised to the client and warranty terms are set by the firm in its own contracts. The system records them and shows what is due. It does not decide whether a fault is covered.

Yes. Staff in the office or a supervisor can log a call on a phone, and it reaches the assigned technician.

Are reminders sent to the client before a visit?

Yes, where messaging is set up. A message by WhatsApp or SMS can be sent before the visit date.

Can a warranty period be tracked?

Yes. The end date of the warranty is kept on the job, and calls inside it are marked as free.

Is a service contract required to use this?

No. Firms that only do new installation can leave the module unused.
