Energy · Oil and Gas Company Management Software

One connected record for wells, field tickets, maintenance, contractors and partner billing.

Manage wells, pads and facilities, daily readings, field tickets, equipment servicing, spares, permits, contractor orders and partner statements in one system. Each well carries its readings, its jobs and its costs from first entry to the last joint interest bill. Operators log readings on a handheld. The office reads the same figures.

  • Well list, facility tree and equipment register entered the way you manage them
  • Open orders, contractor list and unpaid tickets migrated
  • Edits to reading sheets, ticket types and partner interests handled by GullySystem staff when asked

Oil and gas operators and field service companies handle wells, readings, field tickets and joint interest billing in Oil and Gas Company Management Software, which GullySystem configures. Each well, pad and facility holds its daily readings, work orders, signed tickets and costs. Operators enter readings on a tablet. Permits, spares and partner statements follow.

Where it breaks today

What goes wrong before the software.

Route sheets are retyped at the office

Pumpers write tank levels, tubing and casing pressures and run hours on paper at each wellhead. Someone keys them in days later, and a drifting trend is read after the event. Trends are missed.

Signed field tickets arrive without an order

A service crew signs a ticket for hours, equipment and chemical used, and the office must trace the purchase order behind it before the ticket can be approved. Disputes sit for weeks.

Equipment service dates sit in one planner’s head

Compressors, pumpjacks and separators each run to hours or calendar intervals, and the next due date is rarely written where the field crew can see it. Oil changes slip.

Spares are held at several yards

Seals, valves and chemical drums sit in different yards and trucks, and a crew is sent to a pad before anyone confirms the part is on the truck. Trips are wasted.

Joint interest statements are built by hand

Volumes and costs for a well sit in separate files, and each working interest partner’s share of the lease operating expense is calculated and checked line by line every month.

Permits and inspection certificates are scattered

Hot work permits, pressure vessel certificates and spill notes belong to different people. Finding the one for a job needs a phone call. It wastes a morning.

How it runs

How the work flows through it, step by step.

  1. 1

    Asset set-up

Wells, pads, tank batteries, compressors and pipelines are entered with their equipment, status and ownership interests. Everything hangs off them.

  2. 2

    Daily readings

Pumpers follow a route and record levels, pressures, run hours and exceptions at each wellhead and battery. Daily volumes by well and facility are built from those entries.

  3. 3

    Work request

A chemical treatment, pump change or workover is raised as a job. The foreman assigns an internal crew or a contractor and attaches the approved purchase order.

  4. 4

    Field ticket

The crew records hours, equipment and material used. The ticket is signed on site and joined to the job and the order, so nothing is retyped at the office.

  5. 5

    Maintenance and spares

Planners schedule servicing from run hours and dates, reserve spares from stores, and record what was done to each machine. Overdue servicing shows first.

  6. 6

    Billing and statements

Approved tickets are billed to customers or charged to wells. Joint interest statements follow each partner’s stated working interest.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Wells, pads and facilities

Hold each well, pad, tank battery and compressor station with its status, equipment list, location label and ownership interests, so that every job and reading has a place to hang from.

Daily readings and production

Enter tank levels, tubing and casing pressures, run hours and exceptions from a tablet at the wellhead, and read daily volumes by well and facility.

Field tickets and service jobs

Raise a job for each treatment, swabbing run, pump change or workover. Attach the signed ticket with its hours, equipment and chemical used.

Equipment and preventive maintenance

Schedule servicing for pumpjacks, compressors, separators and heater treaters by run hours or date. Each repair stays on the machine for the next planner, so history is never rebuilt from memory.

Stores, spares and chemicals

Track seals, valves, drums and tools across yards and trucks, with reorder levels. Issues are charged to the job that used them, and the next crew knows what is on the truck before leaving.

Orders, approvals and contractors

Raise purchase orders with an approval path, hold contractor rate cards, and match each field ticket and invoice to the order behind it before anyone pays. Overruns are held.

Contracts, leases and customer invoices

Keep service contracts, leases and rate sheets. Bill customers from approved field tickets at the agreed rates, with the well and the job named on each invoice line.

Partner billing and statements

Share well costs among working interest partners by their stated share, and issue a joint interest statement for each partner each period. Each line traces to a ticket.

Permits, inspections and incidents

Record hot work permits, vessel inspections and spill reports with owners, dates and follow-up actions, and keep their documents together. Nothing slips.

Field crews and timesheets

Record hours for pumpers, roustabouts and service crews, with their shifts and rotations, and cost them to the wells and jobs they worked.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Fixed Asset Register

Each well, tank battery and compressor is listed with its equipment, location label and ownership interest, so costs and readings belong to a named asset.

  • Work Order Management

A treatment or workover is raised as a job with its crew, and the signed ticket records hours, equipment and chemical used.

  • Asset AMC Tracking

Servicing for pumps, compressors and separators is scheduled by run hours or date, and each repair is kept on the machine record.

  • Stock Tracking and Alerts

Seals, valves and drums are tracked across yards and trucks, with reorder levels and issues charged to the well or job.

  • Purchase Order Management

Orders go through an approval path before work starts, and each field ticket and contractor invoice is matched back to its order.

  • Invoice Management

Customers are billed from approved field tickets at the rate sheet agreed for the contract, with each invoice listing the tickets behind it.

  • Workflow and Approvals

A permit or incident report moves through named approvers with dates, and the follow-up actions stay open until each owner closes them.

  • Attendance & Time Tracking

Hours for operators and service crews are logged by rotation and job, so labour cost lands on the right well.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For operations managers

See wells reported, daily volumes, jobs open, equipment due for service and cost by well in one view. All of it is current.

For field operators

Follow a route, enter readings and exceptions at each wellhead, and raise a job when a pumpjack, a tank or a line needs attention.

For maintenance planners

Plan servicing from run hours, reserve spares, assign crews and see what each compressor and separator has had done.

For buyers and stores

Raise purchase orders, receive parts and chemicals, issue them to jobs, and match tickets to orders before they reach accounts.

For finance and joint interest accountants

Approve tickets, bill customers, charge costs to wells and prepare joint interest statements for partners.

Reports

The numbers the owner asks for.

  • Daily volumes by well, battery and facility
  • Wells and routes with readings missing
  • Field tickets awaiting approval by contractor
  • Compressor and pumpjack service due by run hours and date
  • Lease operating cost per well by job type
  • Joint interest statements by partner and period
  • Permits and vessel certificates due to expire
Good fit

Who this is built for.

  • Operators that run producing wells, pads and tank batteries
  • Well service companies that send workover, swabbing and pump crews to sites
  • Companies that run compressor stations and gathering lines
  • Non-operating working interest partners that need cost and volume statements
  • Chemical treatment and hot oil service firms with their own trucks and crews
Honest answer

When it is not the right choice.

  • A mineral owner who receives a single royalty statement needs a spreadsheet at most.
  • Teams that need SCADA control, reservoir modelling or allocation engineering will keep those tools. Mining Company Management Software suits quarry and mine operators.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your asset tree

Fields, leases, pads, wells and facilities are set up with the naming your engineers already use, and each asset holds its equipment list.

Reading sheets by site type

A wellhead, a tank battery and a compressor station each get their own reading sheet. Barrels, thousand cubic feet and psi stay as you enter them.

Ticket types and rate cards

Service types, crew rates, equipment rates and the approval path for each ticket follow your contracts and master service agreements.

Partner interests

Working interest shares and cost-sharing rules are entered per well. Statement layouts are agreed with your accountants before the first billing run.

Currency and tax settings

Every country you work in gets its own currency, tax invoice format and withholding rules, which your accountants confirm.

Common questions

Questions owners ask before a demo.

Is it a replacement for SCADA or allocation software?

No. It does not control equipment or run allocation calculations. It records readings, jobs, costs and documents, and it can take figures from the systems that control and allocate.

Can operators enter readings with no signal at the wellhead?

Pumpers key readings through a browser on a handset or tablet. At a remote pad, they enter them once back in range, and the route sheet shows which wells are still outstanding.

How are field tickets matched to orders?

Each ticket is joined to a job and to the purchase order that approved it. The office sees tickets that carry hours or material beyond the order, and can hold them before payment.

Can maintenance run on run hours instead of dates?

Yes. A compressor can be due at a set number of run hours, a separator at a calendar interval. Hours come from the daily reading, so the due date moves with the machine.

How does partner billing work?

Costs charged to a well are shared by each partner’s stated interest, and a statement lists the charges behind each share. Your accountants approve the layout during implementation.

Is it suitable for a service company with no wells?

Yes. A well service or chemical company uses jobs, crews, equipment, stores, field tickets and invoices. The well and partner modules stay switched off.

Are permits and incident records kept?

It stores permits, inspection certificates and incident notes with dates, owners and follow-up actions. Which records your regulator requires is reviewed during implementation, and the software makes no compliance claim.

Can we move our existing well list and open orders?

Yes. Your spreadsheets provide wells, facilities, equipment, open purchase orders and unpaid tickets, and the production team compares them with the field before the first reading is entered.

Can contractors see our records?

Only if you give them access. A contractor login can be limited to the tickets and orders raised for that contractor, and nothing else.

What does it cost and how do we see it?

Log-ins, site count and the modules switched on decide the price. A demo around one of your pads comes before any quotation, which is given in writing.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
