Third Term Dues, and the Amount You Ask For Is Right
Tuition, transport, lab and hostel go on the class fee structure and split into instalments. A sibling concession is approved once and every receipt after it already carries the reduction.
The clerk chasing third term
She has the pending list for Term 2 in front of her, and a good part of it is already past the due date. What she needs is for every figure to be right before she picks up the phone.
Heads and instalments
Fee heads set per class, split into the instalments your institution actually charges, with their due dates.
Concessions on the ledger
Sibling, staff ward or scholarship, applied where the money is counted. Not written on the file in the principal’s room.
Late fees
Applied by rule rather than by whoever is at the counter that morning.
Receipts either way
At the counter or by UPI, and the ledger moves in the same moment. The parent who pays online is not chased that evening.
What the correspondent asks on the fifth
Fee collected against fee due, by class, by instalment and by head. Concessions given this year, by type and by who approved them. Neither takes a morning of somebody compiling it, and receipts and expenses come out as entries your accountant brings into Tally.
Online payment needs your gateway
Parents can pay by UPI or card once your own payment gateway account is connected during set-up. That account is yours, with your settlement and your charges. Before it is connected, the counter and the bank are how money arrives, so the connection is one of the first things we sort out.
Frequently asked questions
Can a parent pay one instalment in two parts?
Yes. The balance stays open on that instalment, so a parent who brought half is not filed with a parent who brought nothing.
How do fee receipts reach Tally?
Through an export. Receipts and expenses come out as entries for Tally, and the ledgers are agreed with your accountant during set-up.
Does the transport fee sit here too?
Yes, transport is a fee head like any other and it links to the child’s route. A seat on a bus and a bill for that seat come off the same record.
Can we stop reminders going to a family in difficulty?
Reminders are sent from the office, not fired off blindly. A concession or a waiver approved for that child changes the amount asked for, which is usually the better answer.
