The Warden’s Room List and the Office Ledger Agree

A hostel kept in its own register drifts from the school’s. Rooms, occupancy and the hostel fee sit on the same student record the office opens for everything else.

Rooms and who is in them

Allocation

Which student is in which room, changed when a boy moves mid-term instead of being remembered by the warden.

Occupancy

Beds taken against beds available. The answer when a parent asks in June whether there is room.

Hostel fees

On the same ledger as tuition and transport, so one child has one set of dues and one receipt series.

On the student record

The office sees the room beside the class and the bus stop, without opening a second book.

Why the ledger matters more than the room list

A residential student owes tuition, hostel and often transport. Kept apart, those three produce three reminders and one confused parent. Kept together, the dues report reads by class and by instalment with everything the family owes in one line.

What the office actually asks for

  • Beds free before the new intake arrives in June
  • Which room a boy was moved to, and when
  • Hostel dues by instalment, beside tuition and transport for the same child
  • The parent’s number to ring, from the student record rather than the warden’s phone

What it holds and what it does not

This part of the system keeps rooms, occupancy and fees. The night roll call, the mess menu and the leave slip a warden signs on a Saturday are not on it. Hostels that want those run them the way they do now, and if it matters enough, it is scoped before anything is promised.

FAQ

Frequently asked questions

Can a day scholar become a boarder mid-year?

Yes. The room is allocated on the same student record and the hostel fee joins the ledger from that instalment onwards.

Does the hostel fee follow its own instalments?

Hostel is a fee head, so it splits into the instalments your institution charges, with its own due dates if they differ from tuition.

Can the warden have a login of his own?

Access is by role, so a warden can be given the hostel screens without the fee ledger. What each person opens is your decision, set at go-live.
