Warranty and Claim Register for Rooftop Solar Installers
Warranty dates are held by serial number for panels, inverters and your own workmanship. A claim is raised from the customer’s plant record and followed until the supplier replies.
Dates held for each plant
Raising and following a claim
A faulty inverter is logged from a service visit. The claim records the serial, the fault, photos and the date sent. Status shows, such as sent, replaced or rejected, and the replacement unit’s new serial is added to the plant. Open claims are listed.
Expiry watch
A list of warranties ending soon is kept. The sales team can offer a maintenance contract to those customers before cover ends. Cover ending soon is easy to spot.
What the register does not do
- It does not decide whether a maker will accept a claim. Terms differ by supplier.
- Warranty conditions are entered as printed by the maker and checked by you.
- Handling of rejected claims and who bears the cost is your decision.
- It does not talk to suppliers’ systems unless scoped for a particular supplier.
Frequently asked questions
Can a replaced unit keep the original warranty?
The register records the new serial and its dates. Whether the term continues or restarts depends on the maker’s policy.
Can a claim be tracked across several suppliers?
Yes. Each claim is linked to the supplier of that item, so open claims are listed by supplier.
Do customers see this register?
Not by default. A customer can be sent the warranty dates for their own plant in the handover pack.
Can warranty dates be loaded for old customers?
Yes. Where serial numbers and commissioning dates are on file, they are imported during migration.
