GullySystem
Heavy equipment and mining · Well Drilling Company Management Software

One connected system for borehole surveys, drilling logs, casing store and bills.

Manage well-drilling enquiries, site surveys, quotations by the metre, borehole jobs, rig and crew schedules, daily drilling logs, casing and bit stock, fuel, yield tests and bills in one system. A borehole keeps its depth log, the casing and bits it used and what the customer owes, from the survey visit through to the completion report. Drillers fill the log on a phone at the rig.

  • Rates per metre, casing sizes and job types loaded as your quotations state them
  • Existing customers, boreholes in progress and bills still owed brought in
  • GullySystem staff alter log fields and test sheets when you ask

Well Drilling Company Management Software, configured by GullySystem, carries a water-well or borehole firm from survey and quotation through rig scheduling to the final bill. Each borehole carries its drilling log by depth, the casing and pipe issued, the fuel used and the crew days. The completion report and the final bill are produced from that same record. Pump fitting and later service calls follow on the well.

Where it breaks today

What goes wrong before the software.

The drilling log is a pencil sheet in the cab

Depth, strata and water strikes are noted by hand. The sheet is lost, smudged or typed up days later, and the customer cannot be shown what lies below.

Depth is quoted before it is known

The quotation assumes a depth from nearby wells. The bit decides otherwise, and a final bill argued by metres needs a record kept for each day.

Casing and bits leave the yard unrecorded

Casing lengths, bits, hammers and drill pipe go out to several sites at once. Only the crew remember what went to which site, and the yard counts drift away from the truth.

Rig service is planned from memory

Compressors, hammers and the carrier truck run to hours. When a service is missed, a rig stops mid-borehole and the crew waits on site.

Fuel and crew cost belong to no borehole

Diesel for the rig, the compressor and the support truck, and wages for a crew away for days, are booked in bulk and never tied back to one well.

Completion papers are written late

Final depth, casing left in the ground and test results sit in three places. The report for the customer or the permit office is rebuilt from them.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and survey

A farm, household, factory or developer asks for a well. The surveyor visits, notes rig access, water level in nearby wells and the spot chosen.

  2. 2

    Quotation

A quotation is built by the metre with casing, development and pump options. The customer accepts, asks for a revision or drops it.

  3. 3

    Job and rig schedule

Once the customer accepts, the quotation turns into a borehole job. A rig and crew are assigned. Mobilisation date and permit numbers are held against the job.

  4. 4

    Drilling

The driller logs each run with depth, material met, water strikes, bit used and hours. The store issues casing, pipe and consumables to the job.

  5. 5

    Development and testing

The crew develops the well and runs a yield test. Static level, pumping level and flow are recorded, and the completion report is produced.

  6. 6

    Billing and after-sales

Metres drilled and items fitted are billed. A pump fitting, a repair or a later flushing visit is recorded against the same well.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Enquiries and site surveys

Record the enquiry source and the lie of the land, book the surveyor, and keep rig access notes, the pegged spot and photographs on the customer record.

Quotations by metre and item

Drilling is priced per metre for each formation, with casing, development and pump added from your own rate list. Every revision is kept, and an accepted quotation becomes a job.

Borehole jobs and permits

Hold one record per well with its site, agreed depth, permit numbers, approvals and renewal dates, from survey to completion.

Rig and crew schedule

Assign each rig, driller and helper across jobs, with mobilisation days and travel, and see which rig is free next.

Daily drilling log

At shift end the driller keys in depth reached, formation met, water strikes, bit used, hammer hours and hole diameter, standing at the rig with a phone or tablet.

Casing, pipe and bit store

Receive and issue casing, drill pipe, bits, hammers and grout by job, and see what the yard holds before another rig leaves.

Rig maintenance and fuel

Keep service hours and repair history for each rig, compressor and carrier, with diesel issued to each and charged to the borehole.

Yield tests and completion reports

Store static level, pumping level and flow readings, final depth and casing details, then print a completion report from the job.

Billing by metre and item

Raise the bill from metres drilled, casing left in the hole and extras, with advance payments set off and dues listed by customer.

Pump installation and service calls

Quote and bill a pump, rising main and cable as a line on the job or a separate one, and log later repairs against the well.

Crew attendance and advances

Mark days worked by each driller and helper at the site, track advances and food allowance, and total wages by borehole.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Each enquiry from a farm, household or developer is logged with its source, and the survey visit with rig access notes stays on the same record.

  • Estimate/Quotation Management

A quotation prices drilling per metre by formation, plus casing and development, from the firm’s own rate list, and every revision is kept.

  • Technician Scheduling

Each rig, driller and helper is placed against a borehole with mobilisation days, so the office sees which rig and crew are free next.

  • Job Cards

The driller’s shift entry records depth, formation, water strikes and bit hours for one borehole. Later edits are shown.

  • Stock Tracking and Alerts

Casing, drill pipe and bits are counted by size, issued to a job, and flagged when the yard falls below the level set for each.

  • Fuel and Driver Records

Diesel issued to a rig, compressor or carrier is recorded with the hours worked, so fuel cost lands on the borehole it served.

  • Service Reports and Proof of Visit

Static level, pumping level and flow readings are saved with final depth and casing, then printed as the completion report for the customer.

  • Invoice Management

The bill takes metres from the drilling log and items from the casing record, then sets off advances already paid by the customer.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See boreholes in progress, metres drilled this month, casing in the yard, dues by customer and rig downtime.

For surveyors and estimators

Record site visits, choose the spot, quote by the metre and follow each quotation to a yes or a no.

For drillers

Open the day’s borehole on a phone, enter depth and strikes as they happen, and request casing or bits from the yard.

For store keepers

Receive casing and consumables, issue them against a job, and note pipe returned from a finished site.

For the office and accounts

Schedule rigs, track permits, raise bills from the log, post advances and chase unpaid balances.

Reports

The numbers the owner asks for.

  • Metres drilled each month, split by rig and formation
  • Casing and drill pipe issued, borehole by borehole
  • Quotations won, lost and still open, with quoted depth beside depth drilled
  • Services falling due by hours run, and repairs for each machine
  • Diesel drawn by each rig and its fuel cost per metre
  • Boreholes awaiting a yield test before the completion report
  • Amounts owed, customer by customer, oldest first
Good fit

Who this is built for.

  • Firms that drill water boreholes for farms, homes and housing developments
  • Contractors that run rotary and down-the-hole hammer rigs
  • Companies that drill geotechnical and sampling holes for engineering projects
  • Drilling businesses that also supply and fit submersible pumps
  • Owners running two or more rigs with separate crews on different sites
Honest answer

When it is not the right choice.

  • A single-rig operator with a few wells a month can manage with a log book and a phone.
  • Oil and gas operators with deep drilling programmes need field engineering software, and mining firms may prefer Mining Company Management Software.

Common questions

Questions owners ask before a demo.

Does it suit water boreholes and geotechnical drilling?

Yes. Both need a survey, a log by depth, materials and a bill. Geotechnical work adds sample and core records. Log columns are set in the first workshop.

Can a driller fill in the log on a phone at the rig?

Yes. The driller opens the day’s borehole and enters each run as it happens. On a remote site without coverage, the phone keeps the entries and sends them when the crew reaches a signal.

How are metres billed when depth differs from the quotation?

The bill reads metres from the drilling log, priced by formation from the accepted quotation. Quoted depth sits beside drilled depth. Check it before the bill goes out.

Can casing be tracked by size and length?

Yes. Casing and drill pipe are stocked by size and issued by job in lengths. What is left in the hole is recorded as casing fitted, and the remainder returns to the yard.

Does it handle rig servicing?

Yes. Each rig, compressor and carrier has hours or distance between services. A reminder fires as a machine nears its interval. Repairs stay in its history.

Can pump installation be billed apart from drilling?

Yes. A pump, rising main and cable are items on the same job or a second job. Repair calls are recorded against that well.

Can the completion report be given to the customer?

Yes. It is printed or sent from the borehole record. It shows final depth, casing, water strikes and test readings. The layout follows the form your customers or permit office ask for.

What does a demonstration involve?

We open a sample borehole with a log, a casing issue and a bill, using your own rate list. Questions on scope and cost are answered after that in writing.

Who looks after changes to rates and forms?

Staff at GullySystem edit log columns, test sheets and rate lists on request. Your office can add new customers, boreholes and items without help.

Can I take my records out if I stop using it?

Yes. Borehole records, drilling logs, customer lists and bills can be exported to spreadsheets, in a layout we agree with you in the quotation.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
