GullySystem
Heavy Equipment · Forklift Dealer Management Software

One connected system for truck sales, hire, service, spares and warranty claims.

Manage a forklift dealership in one system. Each truck is held by serial number with its hour meter, its customer and its contract. Quotations, hire billing, service jobs, spares and warranty claims all follow from that machine record, so sales, the workshop and the parts counter read the same truck.

  • Models, attachments, spares list and hire rates keyed in as you quote them
  • Customers, serial-numbered trucks, live hire contracts and balances owed brought across
  • Edits to rates, job types and forms handled by GullySystem staff when asked

Forklift Dealer Management Software lets a dealership that sells, hires and services trucks keep enquiries, quotations, hire contracts, service jobs and spares together. GullySystem sets it up. Each truck is held by serial number, with its hour meter, attachments, battery, customer and contract. Fitters see their jobs on a phone. Manufacturer claims are drawn from the machine record.

Where it breaks today

What goes wrong before the software.

The truck is recorded in several places

The quotation folder, the hire diary, the job book and the parts ledger each hold a piece of the same counterbalance truck. None shows its history.

Enquiries lose their specification

Capacity, lift height, mast type, load centre, side shifter, forks, tyre type and floor surface arrive by phone and email. The quotation is written from memory.

Hire units are hard to follow

Trucks out on weekly or monthly rates return late, stay out longer or move to another yard. Invoices wait.

Planned services are missed

Hour meters are read at one visit and forgotten at the next. A 500 hour service falls due without notice, and the customer calls only when the mast chains wear through or the truck stops.

Parts and batteries are not tied to a job

Tyres, tilt cylinders, hoses, LPG bottles and batteries leave the shelf or the service van without being entered against a truck. Stock drifts, and some work goes out unbilled.

Warranty claims are assembled late

The manufacturer wants the serial number, the hours, the fault and photographs of the failed part. They sit in different places, so claims go in late.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

A buyer or hirer asks for a truck. The enquiry is logged with capacity, lift height, load centre, duty cycle and floor surface, then assigned to a salesperson who owns the quotation.

  2. 2

    Quotation

The salesperson quotes a new truck, a demonstrator, a reconditioned truck or a hire, with forks, side shifter, battery and charger options. The customer accepts, negotiates or drops it.

  3. 3

    Delivery or hire start

A sale is invoiced and the data plate serial number is linked to the customer. A hire starts a contract with its rate, period, opening hours and agreed battery state.

  4. 4

    Service and parts

Planned services and breakdown calls become jobs. Technicians record hours and findings, and tyres, filters, hoses and chains are issued against the truck.

  5. 5

    Billing and collection

Sales, hire periods and service work are invoiced. Receipts are posted, and the oldest dues are shown first to the person chasing them.

  6. 6

    Warranty and return

A claim to the manufacturer is built from the record. A hire truck is checked in, and a trade-in or reconditioned truck can be taken back into stock.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Enquiries and quotations

Record each enquiry with its duty cycle, load centre and floor surface. Send quotations for new, used and hire trucks with attachment, battery and charger options, and keep every revision beside the enquiry for the salesperson to reopen.

Machine register by serial number

Hold each truck by data plate serial number with model, capacity, mast, carriage, forks, hour meter, owner or hirer, and the documents tied to it. One search shows its whole history.

New and used stock

Track trucks in the yard from receipt through reconditioning to sale. The cost of each repair, repaint, replaced tyre and rebuilt drive axle is held against the unit, so the margin on a reconditioned truck shows before it sells.

Hire contracts and off-hire checks

Record each truck on hire with its rate, period and opening hours. Bill on schedule. Note condition, tyre wear, battery charge and hour meter at the off-hire check when the truck returns to the yard.

Service jobs and job cards

Raise a job for each breakdown or planned visit. Record the fault, the work done, the hour meter, and the parts fitted, from mast chains and tilt cylinders to hoses, filters and brake shoes.

Technician scheduling

Plan the day’s jobs against the technicians and their vans. Each technician opens assigned work on a phone, with the serial number, the last service and any open fault in view before the visit.

Service plans and reminders

Set service intervals by hours or by date for each truck. Reminders reach the office and the customer before a 250, 500 or 1000 hour service falls due, so the workshop can book the van and the filters ahead.

Spares, batteries and chargers

Track parts in the store and on vans, issue them to a job, and record battery and charger serial numbers against the truck. Lead-acid cells, lithium-ion packs, LPG bottles and pneumatic tyres each get their own stock line.

Warranty claims

Build each manufacturer claim from the machine record, with serial number, hours, fault and photographs of the failed part, then follow it through to the credit note. Each claim stays open until credit arrives.

Invoices, receipts and dues

Invoice a sale, a hire period or a service visit, book the payment, and read what each customer still owes against each truck and contract. The oldest dues come first.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Quote & Proposal Management

A quotation is built from the truck models, attachments and battery options on file, and every revision stays with the enquiry.

  • Batch and Serial Tracking

Each truck, battery and charger carries its own serial number, so a sale, a hire and a repair all point back to one machine.

  • Contract Management

A hire contract holds the rate, the period, the opening hours and the return condition, so billing follows what was agreed.

  • Job Cards

Every breakdown or planned visit becomes a job card with the fault, the hour meter, the work done and the parts fitted.

  • Technician Scheduling

The day’s jobs are placed against technicians and their vans, so nobody drives to a yard another colleague is already visiting.

  • Service Reminders

Service intervals set by hours or by date raise a reminder to the office and the customer before the truck is due.

  • Stock Tracking and Alerts

Parts and batteries are counted in the store and on each van, issued to jobs, and flagged when stock falls under its reorder level.

  • Invoice Management

Tax invoices for sales, hire periods and service work are raised from the record, and balances show by customer and by truck.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners and managers

See trucks on hire, demonstrators and used stock in the yard, service jobs open, dues by customer and warranty credit still to come.

For sales

Log enquiries, build quotations with fork and side shifter options, follow open offers and check which truck is free to promise.

For the workshop and technicians

Open assigned jobs on a phone, record hours, findings and parts, and close each visit. Photograph a cracked fork or a stretched chain on the spot.

For the parts counter

Receive parts, tyres and batteries, issue them to jobs and vans, and reorder low stock.

For accounts

Raise invoices, post receipts, chase dues and prepare data for the accountant.

Reports

The numbers the owner asks for.

  • Quotations open, won and lost
  • Trucks on hire and due back
  • Service jobs by status and technician
  • Parts, tyres and batteries issued to each job
  • Warranty claims raised and credited
  • Used stock by age and reconditioning cost
  • Dues by customer, oldest first
Good fit

Who this is built for.

  • Dealers that sell new counterbalance, reach and pallet trucks from one or more manufacturers
  • Dealers that trade demonstrators, used and reconditioned trucks
  • Companies that hire out forklifts, reach trucks and pallet trucks
  • Workshops that service customer fleets under planned contracts
  • Dealers that stock spare parts, batteries and chargers for several truck brands
Honest answer

When it is not the right choice.

  • A reseller of a few pallet trucks with no workshop can manage with an invoice book and one sheet, and has little use for a serial-number register.
  • Businesses that deal mainly in excavators, loaders or cranes will find Heavy Equipment Dealer Management Software closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your models and attachments

Models, load capacities, mast types, carriages, attachments and options are keyed in as they appear on your quotations. The salesperson then picks a counterbalance or reach truck from your own list.

Hire terms and service intervals

Rate bases, minimum periods, off-hire checks and service intervals by hours or by date follow your contracts, whether a truck is hired by the week, month or year.

Parts and battery catalogue

Part numbers, battery types, chargers, tyre sizes and reorder levels are loaded for the brands you stock, so the parts counter issues to a job with the right code.

Customers and records migrated

Your customers, serial-numbered trucks, hire contracts in force and balances owed come across from files you already keep, such as the hire diary, job book and quotation folder.

Currency and tax settings

Tax invoice layouts, sales tax rules and the currency on hire and sale invoices follow the country you trade in. They are agreed with you in the first workshop.

Hosted by GullySystem

GullySystem runs the hosting, which means the sales desk, the workshop and accounts all open one set of truck records. GullySystem staff change hire rates, service forms and parts price lists when you ask.

Common questions

Questions owners ask before a demo.

Does it handle both sales and hire?

Yes. A truck can be quoted for sale, hired out, serviced and taken back as a trade-in, all on one serial-number record. Hire billing follows the contract’s rate and period.

Can we track hour meters and plan services from them?

Yes. Each service and each off-hire check records the hour meter. Intervals by hours or by date are set per truck, and the office is reminded before a service falls due.

Can it track batteries and chargers?

Yes. Lead-acid and lithium-ion batteries and their chargers are held with their own serial numbers and linked to the truck they serve. Replacements, watering rounds and warranty status are recorded against them.

Can we build manufacturer warranty claims from it?

Yes. The claim draws the serial number, hours, fault description and photographs from the record. Each manufacturer’s claim format is reviewed during implementation.

Can technicians use it at the customer’s site?

Yes. The fitter opens a job in the phone browser, then logs the hour meter, parts used and what was found. The job screen needs a connection, so a fitter in a dead-signal corner of the yard enters notes once back in range.

Can it record safety inspection dates?

It can hold inspection dates and certificates against each truck and remind the office. The inspections that matter depend on the regulator in your country, so we list them with you in the first workshop.

Can existing trucks and contracts be loaded?

Yes. Send the customer list, the truck register, the hire contracts still running and the invoices still owing. Your parts and hire clerks then compare the loaded trucks with the yard.

Who owns the data?

You do. The truck register, hire history and service jobs are yours. The export format for them is named in the quotation before work begins.

What does it cost?

No price is published. What it comes to rests on the number of logins and the yards or branches you operate. We first show a demo built around sample trucks and one hire contract. Afterwards the proposal sets out what your dealership would pay.

Does it track trucks by GPS?

No. There is no live tracking of trucks or vans. A truck’s place is whatever the hire contract or job card says. Connecting a telematics unit would be separate work.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
