Heavy equipment and mining · Software for forklift dealers

Keep every truck, hire contract, service visit and spare part on one serial record.

Forklift dealer software holds each truck as one record, keyed by its serial number. The record carries the hour meter, the owner or hirer, the contract, the service history and the warranty position. Sales, hire, the workshop and the parts counter read the same machine. Quotations, invoices and claims to the manufacturer follow from it.

At a glance

A forklift dealer sells new and used counterbalance trucks, reach trucks and pallet stackers. It hires them by the week or the year, services them in the workshop and in the customer’s yard, and stocks spares, batteries and chargers. One truck can be a sale, a hire and a service customer in turn. One truck, several jobs.

The records for those jobs usually sit apart: a quotation file, a hire diary, a job book and a parts ledger. Dealer software joins them on the machine. Anyone can open a serial number and see where that truck stands, from data plate to last fitted chain.

How the work runs today

A warehouse, a factory, a port or a builders’ merchant sends in an enquiry. The salesperson asks about load capacity, lift height, load centre, duty cycle and floor surface, then quotes a truck with mast, carriage, forks, side shifter or other attachments. Electric trucks add a battery and charger. A used or demonstrator truck may be offered instead, or a short hire while the order is on the water.

After delivery the truck lives on the customer’s site. Hire units are invoiced by period and checked in at the end. Service technicians visit on a schedule or after a breakdown, read the hour meter and fit tyres, filters and hydraulic hoses from the van. The workshop repairs trucks that come in. Warranty work is claimed back from the manufacturer with the serial number, the fault and the hours. Then it starts again.

Where it breaks

What goes wrong for forklift dealers without a proper system.

The truck has no single record

A sales file, a hire diary and a service book each name the truck in their own way. Putting its history together means asking three people.

Hire units go unbilled

A truck goes out on a weekly rate and comes back late, or stays out past the contract. Without one list of units on hire, invoices are raised from memory.

Service visits are reactive

Hour meters are read at the last visit and not tracked afterwards. A 500 hour service falls due unnoticed, and the call arrives only when the mast chains wear through or the truck stops.

Spares and batteries are hard to match

A tyre, tilt cylinder or LPG bottle is taken from the shelf or the van and the job card does not show it. Stock counts drift, and the customer is billed for less than was fitted.

Warranty claims lose their evidence

A claim to the manufacturer needs the serial number, the fault, the hours and photographs of the failed part. They are found in different places. Claims go in late.

What the software does

What we would build for forklift dealers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Machine register by serial number

Hold each truck with model, capacity, mast, carriage, attachments, hour meter, owner or hirer, and every document tied to its data plate serial number.

Enquiries and quotations

Log enquiries with duty cycle, load centre and floor surface. Send quotations for new, used or hire trucks with attachment, battery and charger options. Revisions are kept beside the enquiry for the salesperson.

Hire contracts and off-hire checks

Record each unit out on hire with its rate, period and hours, bill on schedule, and note tyre wear, battery charge and condition when it returns.

Service jobs and technician dispatch

Raise a job for each breakdown or planned service. Send a technician with the job on a phone, and record hours, parts, findings and the next due reading against the serial number.

Spares, batteries and chargers

Track parts in the store and on service vans, and issue them to a job. Battery and charger serial numbers are noted against the truck, whether the cells are lead-acid or lithium-ion.

Warranty claims to the manufacturer

Assemble the claim from the machine record, with serial number, hours, fault and photographs, and follow it until credit is received from the manufacturer.

Invoices and customer accounts

Bill each sale, hire period and service visit, record what customers pay, and read their running balance truck by truck and contract by contract. The oldest dues come first.

Common questions

Questions forklift dealers ask before they call.

Can we track each truck by its serial number?

Yes. Every truck, battery and charger gets its own record. Sales, hire, service and warranty entries are all attached to it, so one search shows the whole history of that counterbalance or reach truck.

Does it cover both selling and hiring trucks?

Yes. One system holds the sales quotation, the hire contract and the service job. A truck that is sold, taken back as a trade-in and hired out again keeps one continuous record.

Can it handle periodic safety inspections?

It can hold the inspection dates and certificates against each truck and remind the office when one is due. Your national regulator decides which inspections apply, and we map them with you early on.

Will fitters be able to open jobs on a phone in the customer’s yard?

Yes. A technician opens the job in a phone browser, records the hour meter, parts and findings, and closes the visit. It needs a connection, so a yard with no signal waits for the technician to be back in range.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
