Heavy equipment and mining · Software for equipment rental companies

Know where every machine is, who has it and what it is owed.

Equipment rental software holds each machine as one record with its hire history. The record carries its contracts, its delivery and return checks, its meter readings and its service dates, so the yard, the workshop and the accounts team read the same facts. Billing follows the hire period and the hours run. Damage found on return is tied to the contract that caused it.

At a glance

An equipment rental company earns money only while its machines are out on hire and working. Between one job and the next, a machine has to be returned, checked, serviced and made ready again. Every gap in that cycle is a cost. Nobody sees it.

Most firms track this in a booking diary, a workshop notebook and a billing sheet. The software joins them. It is simple. To see it in practice, a working session takes one excavator or lift through a complete hire, from enquiry to closing invoice.

How the work runs today

A customer rings for an excavator, a scissor lift, a generator, a compactor or a set of scaffold towers. The counter checks what is free for the dates asked, quotes a daily, weekly or monthly rate, and takes a deposit. Operators, fuel, transport and insurance may be added on top. Terms vary by customer. Contracts are written for the site, the person responsible and the period, and each one lists the machines and attachments that leave the yard.

A driver delivers. The customer signs for the condition, and a photograph is taken of each unit and attachment beside the machine before it leaves the yard for the site. Hours or kilometres are read from the meter at hand-over. On return, the yard checks for damage, missing parts and fuel, and the workshop takes over for servicing. Then the cycle starts again. Invoices follow the contract, with extensions, standby days, damage charges and the deposit settled at the end. Late returns are chased by the office.

Where it breaks

What goes wrong for equipment rental companies without a proper system.

Availability is held in someone’s head

Two customers are promised the same machine for the same week. Nobody finds out until two trucks wait at a yard that holds one unit.

Condition at return is argued

A bucket tooth is missing or a panel is dented. Without a signed check at delivery and another at return, the charge is a negotiation.

Servicing runs by guesswork

Machines go out again before the hours-based service is done. The reading from the last hire was never written down.

Extensions slip past the invoice

After one phone call a site holds the machine three days longer. Those days reach the invoice only if someone remembers them.

Utilisation is never measured

The owner senses that some machines earn and others stand idle. No report shows which is which, so buying and disposal decisions rest on opinion.

What the software does

What we would build for equipment rental companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Equipment register and availability

Hold each machine with its serial number, attachments, location and status. See what is free, reserved, on hire or in the workshop for any dates asked.

Quotations and rental contracts

Quote from rate cards by day, week or month, add operators, transport and deposits, and turn the accepted quote into a contract that lists every unit and attachment.

Delivery, collection and condition checks

Plan drivers and trucks, record meter readings and condition with photographs at hand-over and at return, and get a signature from the customer each time.

Workshop and service schedule

Raise a job card for each repair, schedule hours-based servicing from the readings recorded at return, and keep spares used against the machine concerned.

Billing, extensions and deposits

Bill by period or by hours run, add extensions and damage charges, hold deposits and post receipts, with overdue contracts in a list the office can work through.

Utilisation and earnings reports

Read days on hire, idle days and earnings by machine, class and branch, beside the cost of keeping it serviced.

Common questions

Questions equipment rental companies ask before they call.

Can we rent by day, week, month and hour meter?

Yes. Rate cards can be set per machine class for each basis. A contract picks the basis agreed with the customer, and extra hours or days are added when the machine returns.

Does it handle machines with operators?

Yes. An operator can be added to a contract as a line, with the shift or day rate. Operator rosters and overtime are set up with you during implementation.

Can we see which machines earn the least?

Yes. Reports show days on hire, idle days and billing for each machine, set beside servicing and repair cost. That gives a fair view of what to keep, sell or replace.

Do drivers and yard staff use phones?

Yes. Drivers and yard staff open their own deliveries and returns in a phone browser, add photographs and readings, and take the customer’s signature there.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
