Heavy equipment and mining · Software for heavy equipment dealers

Keep every machine, rental, trade-in, service job and part on one unit record.

Heavy equipment dealer software holds each excavator, wheel loader, dozer or crawler crane as one unit record. The record carries its serial number, engine hours, condition, owner, rental history and service plan, so sales, rental, the service department and the parts counter read the same machine. Quotes, trade-ins, invoices and warranty claims follow.

At a glance

A heavy equipment dealer sells new machines from one or more manufacturers, buys and sells used ones, rents out a fleet, services machines in the field and sells parts. Each machine is worth a great deal. Each has a long history of hours, repairs and owners.

That history is often split across a sales system, a rental sheet, a service book and the parts ledger. Dealer software ties them to the unit. A manager can open one machine and see its whole position, from the last oil sample to the next rental date.

How the work runs today

A contractor, a quarry or a utility asks for a machine. The salesperson quotes a model with bucket, quick coupler, attachments, warranty terms and delivery, and may take a used machine in part exchange. The trade-in is inspected for undercarriage wear, valued and added to used stock. Rental enquiries run alongside. Machines are booked by the week or the month and carried to site on a low-loader.

After delivery the machine works for years. Planned services fall due at set engine hours. Breakdowns call a field technician to a site far from the branch, with a service truck stocked from the parts room. The technician reads the hour meter, takes an oil sample and replaces wear parts. Failed components are claimed back from the manufacturer. Parts counters sell filters, bucket teeth, track chains and hydraulic hoses to customers who own other brands too.

Where it breaks

What goes wrong for heavy equipment dealers without a proper system.

The unit’s history is scattered

Sales, rental and service each hold part of a machine’s life, and a buyer of a used unit who asks for its hours, repairs and previous owners waits days for the answer. Trust drops.

Trade-ins are valued from memory

A machine is inspected on the customer’s site and a figure agreed. Undercarriage readings, inspection notes and photographs are not kept with the unit, so resale pricing starts from nothing. Every trade-in is a fresh guess.

Rental fleet availability is unclear

Which excavator is free next Monday depends on who was last asked, and double bookings and idle machines both follow. The yard is never quite sure.

Field service is hard to coordinate

Sites are far away and machines are heavy. A technician arrives without the right hydraulic pump, swing bearing or seal kit, and a second visit is needed while the machine stays idle and the customer waits.

Warranty and component claims are slow

Manufacturers want the serial number, engine hours, failure report and photographs of the failed part, and gathering them from several files delays the credit. Cash is tied up.

What the software does

What we would build for heavy equipment dealers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Unit register and history

Hold every machine with serial number, model, engine hours, bucket and attachment set, owner and the full record of sales, rental and service.

Quotations and trade-ins

Quote new and used machines with buckets, couplers, attachments and terms. Record trade-in inspections with photographs, undercarriage readings and a valuation that the used desk can reuse.

Used stock and reconditioning

Follow each used machine from intake through hydraulic repair, undercarriage and paint costs to sale, with its history ready for the next buyer.

Rental fleet and bookings

Book machines against dates, track low-loader transport to and from site, bill by the period, and record hours and condition at return. The next renter starts from a known state.

Field service and job cards

Dispatch technicians with a job card on a phone. Record hour meter readings, findings, oil samples, parts used and the work done on site, then sign the job off from the cab.

Parts counter and service trucks

Manage stock in the parts room and on each service truck. Issue filters, hoses and wear parts to jobs, and sell over the counter to walk-in customers.

Warranty and component claims

Assemble each manufacturer claim from the unit record, with hours, failure report, part numbers and photographs, and follow it through to credit.

Common questions

Questions heavy equipment dealers ask before they call.

Does it cover both new and used machine sales?

Yes. New quotations, trade-ins and used stock all sit on the unit record, and a machine taken in part exchange keeps its inspection notes and photographs when it is sold again.

Can we run a rental fleet from the same system?

Yes. Rental bookings, low-loader transport, period billing and return checks are part of it. A machine can move between sale, rental and service without losing any of its record. Nothing is retyped.

Can it take hours from machine telematics?

Hours can be entered by technicians at each visit. Feeds from manufacturer telematics depend on what each brand offers and are quoted as separate integration work.

Is it suitable for dealers with several branches?

Yes. A branch manages its own stock, jobs and bookings. The group owner reads them all together. Which branch sees what is set per role during implementation.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
