Construction · Paving and Road Construction Management Software

One connected record for road tenders, plant dockets, shift crews and stage claims.

Manage paving tenders, measured areas, asphalt and aggregate dockets, paver and roller crews, quality tests, stage claims and defect repairs in one system. Each job carries its sections, its tonnage laid and its costs from the first measure to the last retention release. A foreman logs the shift from a phone, and the estimating office sees those figures as they land.

  • Material, plant and labour rates loaded as your estimators price a tender
  • Live jobs, clients and unpaid claims carried across
  • Mix, section type and claim stage changes made by GullySystem staff on request

Paving and road construction companies run tenders, shifts, plant dockets and stage claims on Paving and Road Construction Management Software, which GullySystem configures around the contractor’s own jobs. Each section holds its tonnage delivered, area laid, crew, machines and test results. Foremen record the shift on a phone. Claims and defect repairs follow.

Where it breaks today

What goes wrong before the software.

Dockets arrive after the surface is laid

Every truck leaves the asphalt plant with a weight ticket. Tickets are gathered at shift end and compared with the plant’s statement much later. Disputes follow.

Tender rates are not tied to what was laid

A tender prices area, depth and tonne. The job then records tonnage in one file and area in another, so the estimator cannot see where the allowance went.

A rained-off shift disturbs several crews

Paver, rollers, tippers and traffic control are booked together. When the shift moves, each booking is changed by phone and the programme drifts.

Compaction and core results live with a laboratory

Density readings and cores come back as separate reports. Linking one to a chainage and a mix takes searching when the engineer asks for evidence. It is slow work.

Plant hours and fuel are rarely costed to a job

A roller or a paver moves between sites in a week. Its hours and diesel are noted on a sheet and charged to jobs by guesswork. Costs go astray.

Stage claims lack supporting measures

A claim needs measured quantities, dockets and test records behind it. The client’s quantity surveyor queries any line that cannot be traced.

How it runs

How the work flows through it, step by step.

  1. 1

    Tender

An invitation arrives from a council, developer or main contractor. The estimator measures areas and depths, prices materials, plant and labour, and submits by the deadline. Bids close fast.

  2. 2

    Award and sections

A won tender becomes a job. The road is split into sections or chainages, each with its layers, specified mix and quantity.

  3. 3

    Shift planning

The planner books crews, paver, rollers and tippers against each shift, along with traffic control and the plant’s production slot. Weather holds move the whole booking.

  4. 4

    Laying and dockets

The foreman records each truck docket, the area laid, surface temperatures and delays. Tonnage is totalled against the section.

  5. 5

    Tests and approval

Cores, density checks and levels are logged by section. The client’s engineer sees which layers are tested and which wait. Gaps show early.

  6. 6

    Claims and defects

Measured work becomes a stage claim with its dockets and tests attached. Defects reported later are logged to the same section and sent to a repair crew.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Tenders and estimates

Price a road job by area, depth, tonne and length from your own material, plant, labour and traffic control rates. Each revision and the tender result are kept.

Jobs, sections and chainages

Split each job into sections with layers, specified mix and quantity, so every docket, test and claim lands on a stretch of road.

Shift planning and weather holds

Book crews, machines and traffic control for each shift, and move the booking in one step when rain or a closure intervenes.

Plant dockets and tonnage

Record each asphalt and aggregate docket with mix, weight, truck and time, then set tonnage against the area and depth laid.

Crews, plant and timesheets

Assign paver, roller and tipper operators and labourers to each shift, record their hours and cost them to the job.

Yard stock and emulsion

Track aggregate heaps, bitumen emulsion, tack coat and line paint received, issued to a shift and left in the yard.

Quality tests and level checks

Store laying temperatures, density readings, cores and level surveys by section, with the specification each one is read against.

Subcontractors and hired plant

Place orders for hired rollers, haulage, line marking and traffic control, and match each hire ticket to its order before payment.

Stage claims and retention

Raise claims from measured work, attach dockets and test results, and track retention held and released on each job.

Defects and repair calls

Log each pothole, failed joint or edge break against its section, dispatch a repair crew and record the material and time used. Nothing is lost.

Plant servicing and fuel

Record servicing hours for pavers, rollers and screeds, and diesel drawn by each machine, so running cost reaches the job.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Estimate/Quotation Management

Tenders are priced from the firm’s own rates per square metre, tonne and linear metre, with each revision and the final tender result kept.

  • Project Timelines with Gantt Charts

Shifts sit on a calendar with their crews, machines and traffic control, so a held shift visibly moves the dependent bookings after it.

  • Goods Receipt (GRN)

Every asphalt docket is entered as it arrives, with weight, mix and truck, and checked against what the foreman reports as laid.

  • Attendance & Time Tracking

Operator and labourer hours are recorded by shift and machine, so paver and roller crews are costed to the section they worked.

  • Stock Tracking and Alerts

Aggregate, emulsion and line paint movements are logged from receipt to shift issue, with a warning when a heap or drum runs low.

  • Quality Control

Laying temperatures, density readings and cores are recorded against the layer and chainage, each beside the specification it must meet.

  • Invoice Management

Stage claims are raised from measured work with dockets and test records attached, and retention held on each job is shown beside receipts.

  • Ticket Management

A reported pothole or failed joint becomes a numbered call on its section, assigned to a repair crew until the surface is made good.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See open tenders, jobs in progress, tonnage against allowance, claims awaiting payment and retention held by client. Nothing is hidden.

For estimators

Build tenders from current rates, compare past jobs of the same layer and mix, and follow which bids were won.

For planners and foremen

Book shifts, record dockets, areas, temperatures and delays from a phone, and re-plan when a shift is held.

For quantity surveyors and the office

Measure completed work, raise stage claims with their supporting dockets and tests, and post receipts.

For plant managers

Watch machine hours, servicing due dates and diesel drawn, and see which jobs carry each machine’s cost.

Reports

The numbers the owner asks for.

  • Tonnage delivered against area and depth by section
  • Tenders submitted, won and lost by client
  • Shift crews and machines booked against hours worked
  • Test results outstanding by layer and chainage
  • Stage claims raised, approved and received
  • Retention held and due for release
  • Defect calls by section and repair cost
Good fit

Who this is built for.

  • Contractors who lay asphalt wearing and base courses on public roads
  • Companies that build car parks, industrial yards and private access roads
  • Firms that construct sub-bases, kerbs and drainage ahead of the surfacing
  • Road maintenance teams that patch potholes and reseal surfaces under term contracts
  • Companies that run their own asphalt plant and supply other paving firms
Honest answer

When it is not the right choice.

  • A driveway paver who completes a handful of small jobs a month can work from a quotation pad and a notebook.
  • Companies whose main work is earthmoving or pipe laying will find Excavation Company Management Software closer, and building contractors will find Construction Project Management Software closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your mixes and layers

Asphalt mix designs, layer thicknesses and the pay items you tender against go in first, named as your estimators name them.

Section and claim stages

Section names, test points and each client’s claim stages are made to match what the contract documents say.

Plant and crew rules

Machine rates, operator pay rules and overtime follow how your yard and payroll work today.

Open jobs migrated

Live jobs, client lists and claims still awaiting payment are carried over from the spreadsheets and job files you keep now. Nothing is retyped.

Currency and tax settings

Local currency, tax invoice format and retention terms follow your country’s practice, and the claim layout is checked against it before launch.

Hosted by GullySystem

The system is hosted by GullySystem, and the estimator, the planner and every foreman work from one set of job records.

Common questions

Questions owners ask before a demo.

Are asphalt plant dockets held for every truck?

Yes. A docket carries its number, mix, weight, truck and time. It is attached to the section being laid, and tonnage per section is totalled from those entries.

Can a tender be priced by area, tonne and length together?

Yes. Pay items can be priced by square metre, by tonne or by linear metre, and a tender can mix all three. Later revisions sit beside the first one.

How does a rained-off shift get handled?

The planner marks the shift held and moves it. The crew, the machines and the traffic control booked to it shift with it, and each affected foreman sees the change.

Can core and density results be attached to a chainage?

Yes. Each result is stored against its section and chainage with the layer, the mix and the specification. The engineer can read all results for a stretch in one place.

Are plant hours and fuel costed to jobs?

Yes. Machine hours and diesel drawn are recorded per shift. The hourly rate carries them into job cost. Servicing due dates stay on the machine record.

Are term maintenance contracts supported?

Yes. A pothole or edge break arrives as a call, is placed on its section, goes to a repair crew and is billed under the term contract’s schedule of rates.

Can foremen use it where signal is poor?

A foreman enters the shift on a phone browser. It needs a connection, so entries from a cutting or a rural road are made once the crew is back in range.

Can it send claims to the client in the form they ask for?

The claim layout, its pay items and the supporting attachments follow what the contract documents require. That format is agreed with you in the first workshop.

Who sees tender margins?

Each person’s role decides what they can open. Estimators and owners can see margins and rates, while foremen and plant staff see only their own shifts and machines.

What does it cost and how do we try it?

Cost depends on how many users and which modules your yard and office need. A working demo built around a road job comes first, and a written proposal follows once you have seen it.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
