Retail · Pet Store Management Software

One connected system for pet food batches, loose weights, repeat orders and grooming slots.

Manage pet and owner records, food batches with best-before dates, loose weight sales, counter billing, home delivery, refill reminders, distributor orders and grooming bookings in one system. Each pet carries its breed, weight and diet. Associates recommend the right bag from that record, and owners hear before their usual food runs out.

  • Pet food, accessory and healthcare items loaded with pack sizes and batch fields
  • Owner and pet list brought over from your register or sheet
  • Refill reminder wording and delivery slots set to how you serve owners

Pet shops, food retailers and stores with a grooming corner keep pet records, food batches, loose weight sales and repeat orders in Pet Store Management Software from GullySystem. Each sale reads against the pet’s breed and weight. One record also carries batch numbers, best-before dates, distributor orders and refill reminders.

Where it breaks today

What goes wrong before the software.

Best-before dates are checked by hand

Kibble bags, treats and wet food carry dates printed on the pack. A shelf walk catches some, and a bag past its date can still be sold.

Sacks and scoops do not match the stock sheet

Dry food arrives as a 20 kg sack and leaves by the kilo or the scoop. The stock sheet holds one figure and the counter sells another.

A pet’s diet is known only to one associate

Which brand a pug eats, what a cat is allergic to and which size of bag a retriever needs sit in one person’s head. A colleague cannot repeat the advice.

Repeat buyers drift to another seller

A regular order for a large bag runs out every few weeks. No reminder goes out, and the owner orders from a rival shop or an online seller.

Flea and worm treatments are sold by weight band

The right dose depends on the pet’s weight. Associates read it off the box, and the pet’s weight is not kept for the next visit.

Distributor terms live with each representative

Every brand has its own minimum order, delivery day and credit period. Reorders are placed from the last conversation, so popular lines stock out.

How it runs

How the work flows through it, step by step.

  1. 1

    Owner and pet

A new owner is entered with each pet’s species, breed, age and weight. Diet notes and allergies sit on the pet’s card.

  2. 2

    Choose and weigh

The associate picks food and accessories, and weighs out loose kibble or treats where the owner asks for less than a pack.

  3. 3

    Bill or book

The counter bills the sale. The owner can instead ask for a held bag, a home delivery or a grooming slot.

  4. 4

    Receive and shelve

A distributor’s cartons are checked against the delivery note, with batch and best-before date entered. Older stock is placed forward.

  5. 5

    Remind

When the bag is likely to be finished, the owner receives a note with the usual item and a way to confirm a delivery.

  6. 6

    Reorder

Lines under their set level go onto a purchase order for the right distributor, with its minimum and delivery day.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Pet and owner records

Keep each pet’s species, breed, age, weight, diet and allergies against its owner, with vaccination dates on file.

Food batches and best-before dates

Record batch and expiry at receiving, and list the lines to bring forward, put on offer or return to the distributor.

Loose weight and pack-size sales

Sell by the gram or kilo from a sack, split a large bag into smaller packs and keep sack stock in step with each scoop.

Weight-band dosing items

Hold flea, tick and worm treatments by weight band so the item suggested matches the pet’s recorded weight.

Counter billing and held bags

Bill food, toys and accessories, take mixed payments, and hold a bag for pickup with the owner’s name on it.

Home delivery and online orders

Take phone and web orders, assign each to a route and slot, and mark it delivered with the owner’s confirmation.

Refill reminders

Estimate when each bag will run out from its size and the pet’s weight, and send a reminder with the usual order.

Distributor orders and returns

Hold each distributor’s minimum order, delivery day and terms, raise orders from restock levels and return near-expiry cartons.

Grooming bookings

Book by groomer, table and breed, record the cut and any temperament notes, and see the day’s slots at a glance.

Boarding stays

Record the dates of each stay with feeding notes, medicines, vaccination papers and an owner contact for the pet’s kennel.

Loyalty and offers

Reward repeat owners with points on food bags, run bundle offers on food and bowls, and see which offers brought owners back.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Batch and Serial Tracking

Each carton’s batch and expiry are recorded on receipt, so a bag nearing its date can be found, moved forward or returned.

  • Product Management

A sack is one item that sells by the gram or in smaller packs, so the scoop and the stock figure agree.

  • Point of Sale Billing

Food, toys and accessories are billed with mixed payments, and a bag held for pickup stays under the owner’s name.

  • Order Management

Phone and web orders carry an owner, a route and a slot, and are closed when delivery staff confirm the drop.

  • Service Reminders

The next refill date comes from bag size and the pet’s weight, and a reminder goes out with the owner’s usual item attached.

  • Vendor Management

Each distributor keeps a minimum order, delivery day and terms, so a purchase order meets them before it is sent.

  • Appointment Scheduling

Grooming is booked against a groomer and table, with breed and temperament notes visible when the pet arrives.

  • Loyalty and Offers

Points on food bags and bundle offers on bowls and toys are tied to the owner, and the report shows which brought owners back.

Who uses it

One system, each person sees their part.

For sales associates

See the pet’s card, weigh loose food, recommend a bag and bill it, or book a delivery.

For stock keepers

Receive cartons, enter batch and expiry, shelve older stock forward and prepare held and delivery orders.

For groomers and boarding staff

See the day’s bookings, each pet’s notes and the vaccination papers on file.

For delivery staff

Read the route, confirm each drop with the owner and record any unpaid amount collected.

  • Shops with a grooming corner or a small boarding room
  • Online pet product sellers that deliver repeat orders
  • Owners with two or three pet stores sharing distributors
Honest answer

When it is not the right choice.

  • A breeder who sells a few animals a year does not need a store system.

Common questions

Questions owners ask before a demo.

Can it sell kibble by the kilo from an open sack?

Yes. A sack is received as one item and sold by weight. Each scoop reduces it, so the sack figure matches the shelf.

How does the shop know a bag is close to expiry?

Receiving records the batch and the best-before date. A list shows lines coming near expiry so staff can place them forward, discount them or return them.

Will an associate see what a pet eats?

Yes. The pet’s card shows breed, weight, diet and allergies. Any associate on the counter can recommend the bag without asking the owner again.

How are refill reminders worked out?

From the size of the last bag and the pet’s recorded weight, the system estimates when the food is used up. The owner receives a note a few days earlier.

Can we suggest the right flea treatment for a pet’s weight?

Yes. Treatments are stored by weight band. The item shown matches the weight on the pet’s card, and the associate confirms it with the owner.

Does it manage grooming and boarding as well as the shop?

Yes. Grooming is booked by groomer, table and breed. Boarding records dates, feeding notes and vaccination papers. Both use the same owner and pet cards as the counter.

Can distributors’ minimum orders be respected?

Yes. Each distributor holds a minimum order and a delivery day. A restock list groups lines by distributor, so the purchase order meets those terms.

Can it run home delivery for repeat owners?

Yes. Orders from the phone or a web page get a route and a slot. Delivery staff confirm each drop and note any amount collected at the door.

What happens to our current owner list?

The register or sheet is loaded and checked by the shop. Duplicate owners are merged, and pet cards are completed over the first weeks at the counter.

What does support cover once we are live?

Support covers questions on the counter, batches and reminders, and fixes to the item list. A named contact at GullySystem handles requests, and proposals state the support terms.
