Keep each learner’s enquiry, batch, fees, attendance, results and certificate on one record.

Schools, tuition centres, skill institutes, certification institutes and corporate trainers all teach people in groups. A learner joins a class, a batch or a cohort, pays in instalments, attends sessions, sits tests and receives a result or a certificate. Parents, funders, exam bodies and client HR teams each ask a different question about the same person. One record answers all of them.

At a glance

Five trades are gathered here: schools and colleges, tuition and coaching centres, vocational training institutes, professional certification institutes, and corporate trainers and coaches. Their classrooms differ. Their back offices run on the same few things: an enquiry, a batch or class, a fee plan, attendance, a test and a record of the outcome.

Fees arrive in instalments and are chased from a receipt book or a spreadsheet. Attendance is marked in a register, a poll or a device, and test marks arrive on slips or in a group chat. When a parent, a funder or an exam body asks about one person, the office assembles the answer from three places.

Where the trades split is in the shape of the group. A school has classes and sections. A coaching centre has batches that change mid-term. A skill centre adds workshop hours and placement follow-up. A certification institute adds certificate checks. A corporate trainer works to a purchase order.

The trades

Software for each kind of education and training business.

Schools

A school runs admissions, fee instalments with concessions, daily attendance, exams and bus routes out of separate registers, so the office retypes the same names all year. The school system is fitted to your classes and sections, fee heads, exam pattern and routes, with everything hanging off one student record.

Colleges

A college runs admissions, course registration, attendance, internal marks, semester exams and fee instalments across departments that each keep their own sheets. The college system is set up with your programmes, semesters and subject combinations, so the exam section, accounts and every department read one student record.

Tuition and coaching centres

Tuition and coaching centres run batches by class, subject and timing, with instalment fees, attendance, weekly tests and parent updates kept in registers and WhatsApp groups. Results week decides admissions. The tuition and coaching software holds batch-wise students, fee instalments with reminders, test marks, and a message to one parent about one child.

Vocational training institutes

Vocational training institutes run trade courses such as electrician, welding, beauty, tailoring, retail, accounts and nursing assistant work. Some batches are fee-paying and some run under a government skilling scheme. The software keeps enquiries, admissions, batches, attendance, fee instalments, assessments and placement follow-up on one trainee record, so the centre answers a funder, an assessor or a parent from the same list.

Professional certification institutes

Professional certification institutes prepare working professionals and graduates for courses such as project management, accounting, data analytics, digital marketing and quality certifications. Leads arrive from ads, webinars and referrals, and batches run on weekends or weekday evenings. The software keeps counselling, admission, batch, instalments, attendance, mock tests and the certificate issued on one learner record.

Corporate trainers and coaches

Corporate trainers and coaches sell workshops and coaching programmes to L&D teams, and run sessions, feedback and follow-ups through email, Google Forms and a calendar. A small system can be built to tie each client programme to its cohorts, nomination lists, attendance, feedback scores by module and the PO number the invoice must carry.

What they share

Where these businesses lose time and money.

Fee terms live outside the ledger

A concession, a scheme-funded seat or an agreed instalment plan is noted on a file or in a chat and not on the account. Balances get argued later.

Enquiries go cold between calls

Walk-ins, ad leads, webinar sign-ups and mobiliser lists are noted on paper or in a phone, with no follow-up date. Many never hear back.

One learner is spread across several registers

Admission forms, attendance books, fee receipts and marks are kept apart, so a single learner’s picture needs several lookups. The totals rarely agree.

Proof is assembled on request

Practical logbooks, attendance for an exam body’s eligibility condition, scheme claims and certificate checks are pulled from files when somebody asks. The request stops other work.

Parents and sponsors ask about one person

A parent wants her own child’s picture, a funder wants a trainee’s attendance and a client HR head wants cohort scores. The group average answers none.

What the software does

What we build across education and training.

One record per learner

Record each person from the first enquiry to the final result or certificate. Every batch, class or cohort joined shows on that one record, so a move between batches does not split the history.

Batches, classes and cohorts as the unit

Set up each course with its batches, strength limits, trainers and rooms, and place learners against them, so the timetable, attendance and fees all follow the same allotment.

Instalment plans held on the admission

Hold the fee plan with its concessions and late fee on the admission, take cash, UPI and cheque against it, and remind the payer before each due date with the amount named. Where a client pays against a purchase order, raise the invoice from delivered sessions and quote that number.

Attendance and results marked in the room

Let teachers, trainers and faculty mark attendance and enter marks from a phone at the end of each session, so reports are read from the record and not counted at month end.

Messages about one person

Send absence alerts, test results and fee dues to the parent, trainee or HR contact concerned, about their own person only, by WhatsApp, SMS or email.

Proof prepared for the outside party

Export attendance, assessment and placement lists in the columns a funder or exam body asks for, and number each certificate so a later check starts from the record. Uploads to a scheme portal stay with the centre.

Common questions

Questions education and training businesses ask.

Can one product run a school and a coaching centre?

No. A school needs classes, sections, report cards and routes, while a coaching centre needs batches, instalments and weekly tests. The school and college system fits the first, and the tuition and coaching product fits the rest, with extras added during implementation for skill and certification institutes. Corporate trainers need a small, separate system.

Can it run online classes or recorded lectures?

Not on its own. Batches here assume a room, a slot and a trainer, and attendance is marked for each session. Live classes need a separate platform.

Will it upload to a scheme portal or register learners with an exam body?

No. Lists can be exported in the columns a funder or an exam body asks for. The upload, or the learner’s registration, happens in your own login on the funder’s or the exam body’s site, and nothing here submits it for you.

Is software worth it for a single tutor or a small class?

Often not. A register and UPI suit one tutor with a handful of students, and a solo coach may manage with a calendar, a notes app and an invoicing tool. It earns its place once batches multiply.
