General business · Software for franchise businesses

Follow every franchisee from first enquiry to royalty statement and renewal.

A franchise network is many small businesses running one brand. The franchise management software holds each candidate, territory, agreement and outlet on a record. Royalties are worked out from reported sales. Field audits and renewal dates come from the same place. Fee rules and reporting periods are set to your own agreement during implementation.

At a glance

A franchisor sells a method, a brand and a territory. Head office is paid on what each outlet reports, and it protects the brand by visiting the outlets. Both jobs depend on the signed agreement. Simple enough.

Network tracking for franchise businesses puts the agreement and the territory first, because every fee, audit and renewal date comes from them. Candidate, outlet and royalty records then share one franchisee number. Simple.

How the work runs today

The development team finds candidates through website enquiries, expos and broker referrals. A candidate receives the disclosure document, attends a discovery day, is checked for funds and background, and signs the franchise agreement for a defined territory. Site selection, fit-out and staff training follow. Then the outlet opens.

After opening, a franchisee reports sales for each period, and the finance team invoices the royalty and the marketing fund contribution from the rates in the agreement. Field consultants visit to score the outlet against brand standards and log actions. Support answers queries. Renewal, transfer and resale each bring a fresh round of approvals.

Where it breaks

What goes wrong for franchise businesses without a proper system.

Candidates sit in several lists

Enquiries from the website, expos and brokers are kept in separate sheets. The development team cannot see who has already received the disclosure document. Duplicates follow.

Territories overlap on paper

A territory is described in a clause and a map attached to a PDF. A new candidate’s postcode is checked by memory against the outlets already sold, and clashes are found late.

Royalties wait for sales reports

Franchisees email their sales in different layouts. Finance retypes the figures into a sheet before it can invoice the royalty and fund contribution for the period, which delays every statement. Errors creep in.

Audit findings are not followed up

A field consultant scores an outlet on a checklist and emails the notes afterwards. Nobody tracks whether each corrective action was closed before the next scheduled visit takes place. Scores drift.

Renewals arrive unnoticed

Agreement end dates, renewal fees and transfer approvals are held in individual contract files. A term ends before the conversation begins. That costs goodwill.

What the software does

What we would build for franchise businesses.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Candidate pipeline

Move each candidate from enquiry to disclosure document, discovery day, funds check, committee decision and signed agreement, with the documents, the dates and the person responsible kept at every stage. Nothing stalls unseen.

Territories and outlets

Define each territory, mark it sold, reserved or open, and keep the outlet’s address, opening date and operating status.

Franchise agreements

Hold the signed agreement with its fees, term, renewal option and transfer conditions, and raise a reminder ahead of the end date.

Royalty and fund billing

Capture sales reported for each period, work out the royalty and marketing fund contribution from the rates written into that franchisee’s agreement, then invoice both and record every payment received against them. Rates differ by outlet.

Field audits and brand standards

Score each visit against your own brand checklist, attach photographs, and track every corrective action until the consultant closes it. Open actions show on the next visit.

Opening checklist and training

Run the checklist for a new outlet, from lease and fit-out through staff training to grand opening sign-off.

Franchisee support and supply orders

Log franchisee requests as tickets, and take supply orders from your approved supplier list.

Common questions

Questions franchise businesses ask before they call.

Can royalty rates differ for each franchisee?

Yes. Rates, minimum fees and step changes are stored on each agreement. The calculation reads the rates that apply to the outlet and the period.

Do franchisees log in?

Yes. A franchisee sees his own sales submission, invoices, audit actions and support requests. He does not see another outlet’s figures.

Can it hold company-owned outlets as well?

Yes. A company-owned outlet is held with no agreement and no royalty. Network reports include it beside the franchised ones.

Is it suited to a network of three outlets?

Probably not yet. A small network can run on agreement files and a sales sheet. Once several territories, royalty periods and audits overlap, one shared record is worth setting up. Start small.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
