Sell access, time and experiences through one booking, membership and payment record.

Golf courses, clubs, cinemas, campgrounds, resorts, casinos and travel firms sell a place or a time slot, then collect payment at the counter, online or on account. The software described here ties bookings, members, stock and daily takings together on one record.

At a glance

Recreation businesses sell something that cannot be stocked. A tee time, a cinema seat, a pitch at a campground or a room for the weekend is gone once the slot passes, and an empty seat cannot be sold tomorrow. The booking calendar is the core record. Every gap in the diary shows up as lost income, and nobody gets that seat, pitch or round back once the hour has gone.

Membership sits beside it. A country club bills dues and house accounts, and a golf course sells season passes and green fees. A gym sells packages that are counted down by visit. Gyms, swimming pool companies and escape rooms all need entry checks, waivers and renewals.

A second group sells things as well as time. Boat dealers and RV dealers hold stock with serial numbers and trade-ins, and outdoor goods stores hold sizes and seasons. Travel agencies, tour operators and event companies build itineraries from many suppliers. Radio stations schedule advertising against airtime, while casinos and cinemas count takings across many tills and shifts.

The trades

Software for each kind of recreation and entertainment business.

Golf courses

A golf course sells tee times, memberships, lessons and retail, and it maintains a living surface that needs daily work. The golf course software keeps the tee sheet, member and visitor rates, cart hire, the pro shop and grounds tasks together. Tournament entries and handicap links are set up with you. Starter and clubhouse staff share one sheet.

Country clubs

A country club sells a membership and then bills for everything that member does inside the gates. The country club software keeps member accounts, dues, facility bookings, dining charges and events together. Guest passes and family linking are handled on the same record. The board’s reports come from those same entries.

Gyms and fitness studios

Gyms and fitness studios run on a membership register, a biometric door and PT sessions in trainers’ notebooks. A member who stops attending goes unnoticed until the renewal falls due. Members, check-ins, renewals, dues and PT balances are held together, built around your own plans, batch timings and trial passes.

Swimming pool companies

A pool company builds a pool once and visits it every week afterwards. The swimming pool software holds each pool’s volume, equipment and surface, the build stages, the weekly chemical readings and the repair calls. Route sheets, chemical stock and service agreements sit beside them. One record, many visits.

Movie theatres

A cinema earns from tickets, concessions and screen advertising, and these rarely share a record. Movie theatre software holds the screen schedule, seat sales, concession stock, film bookings and distributor settlements together. Box office, kiosk and online sales feed one count for each show. Managers read attendance, takings and stock without adding sheets by hand.

Casinos

A casino runs gaming tables, machines, restaurants, hotel rooms and a cash cage under one roof, and each area keeps its own records. The casino software links player accounts, comps, cage transactions and shift reports. Surveillance footage and the gaming system itself stay with their own suppliers. Links to those systems are scoped during implementation.

Campgrounds and RV parks

Campgrounds and RV parks sell the same pitch many times a season, to guests who arrive on different days with different rigs. The campground software keeps pitch bookings, hookup types, deposits and the camp store in one place. Seasonal and long-stay accounts are billed on their own cycle. Utility meter readings are added as part of the set-up work.

Resorts

Resorts sell cottages and rooms, but also day outings, meal packages, activity passes, weddings and corporate offsites. Bookings come from OTAs, travel agents, calls and WhatsApp, and the final bill draws on several counters. Our hotel software holds rooms, rates, folios and banquets, with restaurant billing beside it. Day-outing passes, activity slots and package pricing are added as custom work.

Hotels

Independent hotels run a PMS, several OTA extranets, a paper arrival register and a housekeeping WhatsApp group, and rooms get sold twice. Our hotel management software is a PMS that can replace those pieces, or we add the missing screens around the system you already pay for. Housekeeping, the restaurant and accounts then read from one folio, and travel agent dues are no longer a printout.

Travel agencies

Travel agencies book flights, hotels, visas and insurance across several supplier portals, and each client’s trip ends up scattered through an email thread and a WhatsApp chat. Date changes and re-issues follow. The booking desk keeps the bookings, documents, payments, refunds and supplier dues for a trip in one file, and builds the corporate invoice with its ageing from it.

Tour operators

Tour operators run fixed departures, FIT packages and school trips off a costing sheet, with rooming lists, vendor advances and traveller part payments living in Excel and WhatsApp. Profit shows up late. The system costs a departure, counts the pax who have paid, tracks what each hotel and coach owner is owed, and prices the next tour from the last one.

Learn more

Event management companies

An event is planned in weeks and paid for over months. Vendor advances leave early, client payments arrive late, and the margin is clear only when the last bill arrives. The event software quotes on head count, follows vendor advances through to settlement, and keeps each quotation version as the client changes guests, theme or scope while planning goes on. What each event billed and cost sits on one page.

Limousine companies

A limousine company sells a booked journey, so the record behind each booking matters. Limousine company software holds the reservation, the quote, the vehicle, the chauffeur and the trip sheet together. Airport transfers, weddings, corporate accounts and hourly hire follow one flow. Deposits, extras and invoices settle against the same booking that dispatch worked from.

Radio stations

A radio station sells airtime and keeps a log of what aired. Radio station software holds advertiser accounts, rate cards, spot bookings, sponsorship contracts, studio and outside broadcast bookings and invoices together. Sales, traffic and accounts all work from one booking. Equipment and music licence dates sit alongside, so renewals are seen before they lapse.

Boat dealers

Boat dealers sell new and pre-owned boats, engines and trailers, broker boats for private owners and run a service yard. Each hull has its own identification number, options, deposits and paperwork. The dealer software holds stock, enquiries, deals, trade-ins, commissioning, storage and service jobs. Brokerage listings and owners’ settlements sit on the same system.

Learn more

RV dealers

An RV dealership sells a unit once and services it for years. The RV dealer software holds each coach by serial number, from the manufacturer’s invoice to the deal sheet, and then the repair orders, warranty claims and storage booking that follow. Parts, accessories and consignment units sit beside it.

Outdoor and sports goods stores

Outdoor product businesses sell tents, packs, boots, clothing and climbing or fishing gear that vary by size, colour and season. Its software holds the item list, variant stock, shop and online sales, dealer orders, warranty serials and returns in one record. Buying follows the selling season, and each brand’s terms stay with its supplier.

What they share

Where these businesses lose time and money.

Calendars are split across channels

Phone bookings, walk-ins, online reservations and agent allotments are noted in different places, so a slot is sold twice or left empty while a customer is turned away. Nobody sees the true position.

Members and guests are not recognised at the door

Staff cannot tell who has paid, whose pass has lapsed or who has signed a waiver. Entry is decided by a face and a guess.

Takings arrive from many tills

Gate sales, food and drink, pro shop, rentals and online payments are totalled separately at each till. Reconciling the day against the bank takes a manual pass. Errors hide in the gaps.

Seasonal demand outruns the spreadsheet

Holiday weekends, tournaments, premieres and festivals bring a surge of demand. Rates, capacity and staffing are adjusted by hand, and often too late for the busiest days of the season.

High-value stock and equipment is tracked loosely

A boat, a caravan, a rental kayak or a projector has a serial number, a service history and a status. The details sit with whoever last handled it. Others guess.

What the software does

What we build across recreation and entertainment.

One calendar for every slot

Hold tee times, showings, pitches, rooms, court hours and tour departures in a single calendar. Phone, counter and online bookings draw from the same availability, so a slot is sold once.

Members, passes and packages on a record

Keep dues, season passes, visit packages and guest rights against the person. Renewals, lapses and freezes are listed for the front desk, so nobody is turned away by mistake or let in on an expired card.

Waivers, check-in and access control

Collect signed waivers and ID, then check people in by card, code or QR. Counts per session, per area and per day reach managers. Capacity is never a guess.

Rates, tickets and point of sale together

Set peak and off-peak prices, group rates and add-ons, then sell them at the counter or online. Food, rentals and retail post to the same account. One bill closes the visit.

Serial-numbered stock and inventory

Record boats, RVs, rental gear and sports goods with serial numbers, condition, trade-in values and service dates, so sales and rentals draw from one stock list. Nothing is sold twice.

Itineraries, suppliers and settlements

Build trips and events from hotels, transport, venues and vendors. Supplier costs, client invoices and commissions are settled from the same booking, so margin is visible on each trip before the final payment is taken.

Common questions

Questions recreation and entertainment businesses ask.

Is there a single product for all recreation trades?

No. Golf courses, campgrounds and travel agencies each have a product built around their bookings. Hotels, resorts and gyms are built to order instead, shaped by the rooms, classes or sessions on sale and your tariff.

Will it talk to our card readers and turnstiles?

Often, but not on its own. Each terminal, turnstile or card reader is scoped per model once the hardware is known, because every device sends its data differently.

Can bookings from online travel sites flow into the same calendar?

Yes, where the site offers a connection. Channel links are reviewed during implementation. Each partner has its own format, and some limit how often availability can be refreshed or how many rooms or seats can be offered.

Can it manage gaming or licensed activity rules?

It records the data that regulators and auditors may ask for, such as access logs and transactions. Licensing stays between you and the authority.
