Cook to the exact count of subscribers eating tomorrow, and pack every box by round.

Tiffin services run on a daily subscriber list that changes every evening with pauses, extra boxes and new starts. The tiffin product holds plans, the daily menu, diet variants, rounds and box returns together. Prepaid balances and renewals follow from the deliveries made.

At a glance

A tiffin service sells a daily habit. Subscribers choose a plan, a diet and a delivery slot, and the kitchen cooks to that count before the first round leaves. A pause received at nine at night changes how much rice is cooked at five in the morning, and the cook has to know it. Dawn is the deadline.

Most owners keep the list in a phone, a notebook and a chat group. Three people then work from three versions of it. The versions drift apart each night. Whoever cooks counts one thing, the packer another, and the rider finds a locked door or an extra box left over.

How the work runs today

Changes arrive overnight by call, message and the subscriber page. Someone reads them each morning and edits a sheet before the cooks start. It is slow work. The cook is then handed a count for each dish and each diet. Examples are no onion, low oil, a fasting day or a bigger portion, and the extras are added in by hand.

Packers fill the boxes at the counter and sort them into bags by round. Each bag carries a name, a flat or office and a slot. Riders take a round each and collect yesterday’s empty boxes at the same stop. A missing box or a wrong bag is found at the door, not before. Then the call comes.

Payment is a month, a week or a set of prepaid meals. Balances run down with each delivery, and a plan can end without anyone saying so. The owner learns at month end which plans lapsed, who still owes and how many steel boxes never came back from the offices and flats on the long weekday rounds.

Where it breaks

What goes wrong for tiffin services without a proper system.

Late pauses become wasted food

A subscriber who pauses after the cook has started still shows on the count. The portion is made and packed. Nobody eats it.

Diet variants are remembered, not recorded

No onion, no garlic, a vegan box or a nut allergy note lives in one packer’s head. A new packer sends the standard box and the subscriber complains.

Rounds are built from memory

A rider knows the route by heart until he is ill. The substitute does not know which gate needs a call, which flat takes two boxes, or which office closes its door at half past twelve for a meeting.

Box returns and deposits drift

Steel boxes and carry bags go out daily. Few are logged on return. Deposits are refunded on a guess, and the stock of boxes shrinks.

Prepaid balances are unclear

A wallet topped up in cash, by transfer or at the door is tracked in a notebook. The subscriber and the owner quote different balances at renewal.

What the software does

What we would build for tiffin services.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Plans, pauses and skip dates

Hold each subscriber’s plan, meal type, slot and start date, with pauses, holidays and extra boxes entered up to the cut-off hour.

Daily menu and kitchen count

Set the menu for the day and read a count per dish and diet variant, which the cooks work from before the first round leaves.

Packing list and rounds

Group boxes into rounds with stops, slots and door notes, and print a packing list for each rider with bag labels.

Delivery confirmation

A rider marks every stop as delivered, skipped or refused and notes the empty box picked up. When a subscriber complains, the office opens that stop’s entry first.

Box and deposit register

Track steel boxes and bags issued, returned and lost per subscriber, with the deposit held and refunded.

Prepaid wallet and renewals

Run balances down by delivery, list plans near their last meal for the day’s calls, and record cash, transfer and card payments.

Ingredient purchase list

Raise buying lists for vegetables, grain, oil and cooking gas from the coming days’ counts, and log what the kitchen received.

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Common questions

Questions tiffin services ask before they call.

Can a subscriber pause or add a meal from a phone?

Yes. Pauses, skips and extra boxes are entered before the cut-off the kitchen sets, and the next day’s count changes straight away. Whether subscribers use a page, a message or only a call to the owner is decided during set-up.

Does it plan delivery routes by itself?

It groups stops into the rounds you define and prints the packing order for each rider. Map-based route optimisation is not in the base product and would be quoted separately for a larger fleet.

How are steel boxes and deposits handled?

Each box issued is logged against the subscriber with a deposit line, and each empty collected is ticked at the stop. Unreturned boxes show on a list, so a refund rests on the register and not on memory.

We cook for forty subscribers. Is a spreadsheet enough?

Often yes, for a while. When diet variants, pauses and several rounds begin to clash, a shared list starts to matter. Tell us how many diet variants and pauses you handle, and we will say if a shared list is due.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
